You can get a copy of your W-2 online in a few different ways, and the fastest is almost always your employer’s payroll portal. If that isn’t an option, the IRS, the tax software you filed with, and the Social Security Administration each offer alternatives. Which one fits depends on how quickly you need the form, how far back you’re looking, and whether your employer is still in business.
Start With Your Employer’s Payroll Portal
Most mid-size and large employers deliver W-2s through payroll platforms like ADP, Workday, Gusto, or Paychex. Sign in with the credentials you used for pay stubs while working there, then look for a section called something like “Tax Documents,” “Pay & Taxes,” or “Year-End Forms.” Pick the tax year, and the system will show a PDF you can download or print.
Some portals require a two-factor code sent to the phone or email on file before releasing tax documents. If you no longer have access to either, contact the employer’s HR or payroll team to update your contact information. This is the fastest route because the file comes straight from payroll and includes every box on the form, state and local tax data included.
Pull a Wage and Income Transcript From the IRS
The IRS offers a free Wage and Income Transcript through your online account at irs.gov. It summarizes the income and withholding your employer reported and covers up to 10 prior tax years.1Internal Revenue Service. Transcript or Copy of Form W-2 It’s a solid substitute when the employer portal is gone or the company has closed.
One catch: the Wage and Income Transcript doesn’t include state or local tax information from your W-2.1Internal Revenue Service. Transcript or Copy of Form W-2 If you need state withholding to file a state return, you’ll have to get the actual W-2 from your employer or use another method below.
Verifying Your Identity for an IRS Online Account
To use the online transcript tool, you verify your identity through ID.me, the IRS’s third-party provider. You’ll need a government-issued photo ID (driver’s license, state ID, or passport) and take a selfie the system matches to your ID photo.2Internal Revenue Service. How to Register for IRS Online Self-Help Tools If the selfie match fails, ID.me can connect you to a live video chat agent to finish verification.
Requesting the Transcript by Mail
If online verification doesn’t work, request the transcript by mail. The IRS sends it to the address from your most recent return within 5 to 10 calendar days.3Internal Revenue Service. Get Your Tax Records and Transcripts You can also call the automated transcript line at 800-908-9946. Records you retrieve through the IRS are protected by federal confidentiality rules that limit who can view your return information.4Office of the Law Revision Counsel. 26 USC 6103 – Confidentiality and Disclosure of Returns and Return Information
Check Your Tax Software Account
If you filed online through TurboTax, H&R Block, or TaxAct, the W-2 data is likely stored with your return. TurboTax keeps online-filed returns for seven years; H&R Block retains them for about six. Sign in, open the prior-year returns section, and select the year you need. The W-2 that was uploaded or entered during filing will appear as part of the stored return, usually downloadable as a PDF.
These copies reflect the data entered when you filed. If your employer later issued a corrected W-2 and you didn’t update your software, the stored version is out of date. Treat this as a backup for a year you know was accurate at filing.
Use the Social Security Administration Earnings Record
The SSA tracks your yearly wages because those figures set your future retirement and disability benefits. You can view your earnings history by creating or signing in to a “my Social Security” account at ssa.gov.5Social Security Administration. Get Your Social Security Statement The SSA suggests checking your record each August to confirm the prior year’s wages posted correctly.6Social Security Administration. Review Record of Earnings
The free online record shows only total annual earnings per year. It doesn’t break out federal tax withheld, state tax, or other W-2 box details. For an itemized statement, you can request one using Form SSA-7050 for a fee.7Social Security Administration. Form SSA-7050 – Request for Social Security Earnings Information This route helps most when a former employer has closed and you need to verify total earnings.
If Your Employer Never Sends a W-2
Employers must provide your W-2 by January 31 each year, with the deadline shifting to the next business day when that date falls on a weekend or holiday.8Internal Revenue Service. Employment Tax Due Dates If nothing has arrived by mid-February, contact payroll or HR first. A wrong address on file or a portal lockout is often the whole problem.
Still nothing by the end of February? Call the IRS at 800-829-1040. Have your name, address, Social Security number, dates of employment, and the employer’s name, address, and phone number ready. The IRS will contact the employer on your behalf and request the form.9Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
Filing With Form 4852 as a Substitute
If April is approaching and the W-2 hasn’t arrived, file with Form 4852, the substitute for a missing W-2.10Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R Estimate income and withholding as accurately as you can. Your final pay stub for the year is the best source. Attach Form 4852 to the back of your return before any supporting schedules.
The form asks how you calculated the figures and what steps you took to get the W-2 from your employer. If the real W-2 turns up later with different numbers, file Form 1040-X to amend the return.10Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R
If the W-2 You Downloaded Has an Error
If a downloaded W-2 shows a wrong Social Security number, misspelled name, or bad wage or withholding figures, contact payroll right away. Employers are expected to issue a corrected Form W-2c as soon as they discover an error.11Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing The correction usually shows up in the same portal as the original.
If the employer refuses to correct it or has gone out of business, the process is the same as a missing W-2: call the IRS at 800-829-1040, describe the error, and use Form 4852 when you file.9Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong On the form, note that you received an incorrect W-2, describe the error, and give your best estimate from pay stubs or other records.
