How to Get a Business Tax Return Transcript From the IRS

To get a business tax return transcript from the IRS, you have four options: pull it instantly online through a Business Tax Account, mail or fax Form 4506-T, call the Business and Specialty Tax Line at 800-829-4933, or visit a local Taxpayer Assistance Center by appointment. A transcript is a free IRS summary of the data from your filed return, not a photocopy of the return itself, and it’s what lenders and other third parties typically want when they ask you to “send your business taxes.”1Internal Revenue Service. Which Transcript to Request

The IRS produces several business transcripts, and the right one depends on what the person asking actually needs.

A tax return transcript shows most line items from the return you filed (Form 1120, 1065, 1120-S, or another business return) exactly as submitted, with no later IRS adjustments. This is the one third parties ask for most often when they want to confirm reported income and deductions.

A tax account transcript shows what happened on your account for a given period: liability, payments, penalties, interest, refunds, and any post-filing adjustments. Use it to document payment history or to understand a balance due.

A record of account transcript combines the two above into one document. When a requester doesn’t specify, this is the safe default because it covers both the return and the account activity.1Internal Revenue Service. Get a Business Tax Transcript

An entity transcript shows the identifying information the IRS has on file for your business (name, EIN, address, filing requirements) and is useful when you need to confirm or correct that data.

What to Have in Front of You Before Requesting

IRS systems reject requests when any field doesn’t match the master file. Pull your most recent filed return for the period you want and gather:

  • The exact legal business name as it appears on that return, including punctuation and “Inc.” or “LLC.”
  • The Employer Identification Number.
  • The specific form number you filed (1120, 1065, 1120-S, 941, and so on). You can only request one form type per request.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return
  • The tax period end date in MM/DD/YYYY format (12/31/YYYY for calendar-year filers).
  • The mailing address that was on the return for that period. If you’ve moved since, you’ll need both the old and current addresses.
  • The transcript type.

If your business qualifies, the IRS Business Tax Account lets you view, print, or download transcripts immediately instead of waiting for mail.1Internal Revenue Service. Get a Business Tax Transcript

Eligibility isn’t universal yet. The IRS currently offers Business Tax Account access to sole proprietors with an EIN who file Schedule C or Schedule F, partnerships filing Form 1065, S corporations filing Form 1120-S, C corporations filing Form 1120, single-member LLCs that file as an S corporation or partnership, government entities, tax-exempt organizations, and Indian Tribal governments. LLCs that file as sole proprietors on Schedule C or Schedule F are not eligible at this point.3Internal Revenue Service. Business Tax Account

Registering means verifying your identity through the IRS’s third-party identity provider. The IRS then confirms your relationship to the business and sets what you can see. If you register as a Designated Official, you’ll need to renew annually inside a six-week renewal window; miss it and you register from scratch.3Internal Revenue Service. Business Tax Account

Once inside, you can pull tax return, tax account, record of account, and entity transcripts directly.

By Mail or Fax: Form 4506-T

If your business isn’t eligible for online access, or you need the transcript sent to a third party, use Form 4506-T, “Request for Transcript of Tax Return.” The form includes a line to designate a third-party recipient.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return

Send the completed form to the IRS service center for the state where your business was located when the return was filed. Business transcripts are handled at two centers: Ogden, Utah, and Kansas City, Missouri. The correct address for your state is listed on the IRS’s “Where to File” page for Form 4506-T, and the wrong center means delay.4Internal Revenue Service. Two timing rules matter. The IRS must receive the form within 120 days of your signature date; late forms get rejected and you’ll sign a new one. And if you only recently filed, the transcript doesn’t exist yet: wait two to three weeks after e-filing, or six to eight weeks after mailing a paper return, before you request.1Internal Revenue Service. Most requests process within 10 business days, with the transcript mailed to the business’s address of record (or to the third party you listed). Fill in every applicable line and make sure the form is legible; the IRS tosses incomplete or unreadable submissions without processing.

By Phone

Call the IRS Business and Specialty Tax Line at 800-829-4933, Monday through Friday, 7 a.m. to 7 p.m. local time (Alaska and Hawaii use Pacific time).5USAGov. Contact the IRS for Questions About Your Tax Return The caller has to be an authorized person for the business (such as a corporate officer or partner) and able to verify the business’s identifying data. The transcript still goes to the address of record, so phone is most useful for confirming availability before you commit to a mail or fax request.

When a Lender Is Pulling It: Form 4506-C and IVES

If a mortgage lender, bank, or credit union needs to verify your tax information, they’ll usually hand you a Form 4506-C rather than Form 4506-T. That’s normal. Form 4506-C is the authorization used under the IRS’s Income Verification Express Service (IVES), which lets approved participants receive transcripts electronically instead of waiting for paper mail.6Internal Revenue Service. You can also authorize the lender through your Business Tax Account. Either way, the lender’s IVES participant submits the request. The same 120-day signature window and one-form-type-per-request limits apply, and IVES participants face IRS penalties for accessing or re-sharing your information without authorization.7Internal Revenue Service. Who Can Sign the Request

The IRS rejects transcript requests signed by someone without proper authority, and the form requires the signer to attest they’re authorized.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return

For a corporation, the signer must be an officer with legal authority to bind the corporation, someone designated by the board, or an officer or employee acting on the written request of a principal officer attested by the secretary or another officer. A shareholder owning at least 1 percent of outstanding stock can sign with supporting documentation.

For a partnership, any person who was a member of the partnership during any part of the requested tax period can sign.

For other entities, including LLCs, authorization documentation must be attached. In an LLC that typically means a member (if member-managed) or a manager (if manager-managed).

A tax professional can sign on your behalf only if you’ve specifically delegated that power on Form 2848 (Power of Attorney), line 5, and the completed Form 2848 is attached to the transcript request.

Why Requests Get Rejected

Most failures trace back to a handful of avoidable mistakes.

The biggest is a name or address mismatch. The business name on your request has to match the IRS master file character-for-character. If the business changed its name or address after the tax period you’re asking about, use the name and address from that period’s return and include your current address separately. A request that uses the current name “Smith Consulting Inc.” for a year when the entity was still “Smith Consulting LLC” will come back rejected.

Next is requesting the wrong form type. If you filed Form 1120-S and request Form 1120, no record matches. Check the exact form number on your filed copy. A wrong tax period, even by one digit, produces the same result.

And don’t ask too early. An e-filed return isn’t available as a transcript for two to three weeks; a paper return takes six to eight weeks. Until then the data isn’t in the system, and no amount of correct information will produce a transcript that doesn’t yet exist.1Internal Revenue Service. Get a Business Tax Transcript
