You can find your employer’s EIN without a W-2 by checking pay stubs and other tax documents you already have, asking the employer’s payroll or HR department, pulling it from public filings if the company is publicly traded or a nonprofit, or requesting a Wage and Income Transcript from the IRS. The number is nine digits in a XX-XXXXXXX format, and it doesn’t change from year to year unless the company restructures.1Internal Revenue Service. Employer Identification Number
Start With Documents You Already Have
Before calling anyone, spend five minutes looking through paperwork and old emails. The EIN shows up on several documents you may already have filed away.
- Pay stubs. Most stubs print the federal EIN near the employer’s name and address at the top. Don’t confuse it with the state tax ID, which is a separate number.
- Prior-year W-2. If you worked for the same employer last year, box b on that W-2 has the EIN, and it will be the same this year in most cases.2Internal Revenue Service. Transcript or Copy of Form W-2
- Form 1095-C. If your employer is a large company that offered health coverage, the EIN appears on line 8 in Part I.3Internal Revenue Service. 2025 Form 1095-C – Employer-Provided Health Insurance Offer and Coverage
- Form 1099-NEC. If you were paid as an independent contractor, the payer’s EIN is in the field labeled “PAYER’S TIN” near the top.4Internal Revenue Service. Form 1099-NEC (Rev. April 2025) – Nonemployee Compensation
Ask the Employer
A quick call or email to payroll or HR is usually the fastest fix. These offices handle EIN requests routinely during tax season. Expect to confirm your identity with your full name, Social Security number, and rough dates of employment before they release the number.
For former employers, the same request works because companies are required to keep payroll records. If the company was acquired, try the successor’s HR department, which typically inherits the prior payroll files.
Public Filings for Public Companies and Nonprofits
If your employer is publicly traded, the EIN is already sitting in a public database. The SEC’s EDGAR system hosts every public company’s annual Form 10-K, and the number appears on the cover page in a field labeled “I.R.S. Employer Identification No.”5U.S. Securities and Exchange Commission. Form 10-K Search the company on EDGAR, filter to 10-K filings, and open the most recent one.6U.S. Securities and Exchange Commission. Search Filings
Tax-exempt organizations file Form 990, and those filings are public.7Internal Revenue Service. About Form 990, Return of Organization Exempt from Income Tax The EIN is in the header of every 990. ProPublica’s Nonprofit Explorer is fully free; Candid (formerly GuideStar) offers free basic profiles but may require registration for some features.
Request a Wage and Income Transcript From the IRS
This is the reliable route when the employer has gone out of business, moved, or won’t cooperate. The IRS receives copies of every W-2 and 1099 filed for you, and the Wage and Income Transcript lists each employer’s name, address, and EIN alongside your reported wages and withholding.8Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
One timing point matters. W-2 data generally doesn’t appear on the transcript until the first week of February, after the IRS processes employer submissions.8Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them Trying in late January is too early.

Social Security Administration Copies
Employers submit W-2s to the SSA before the data reaches the IRS, so the SSA is another source. You can request W-2 copies for any year from 1978 to the present by writing to the SSA’s Office of Earnings and International Operations, with your Social Security number, the exact name on your card, the years you need, and the reason. There’s a $62 fee per request when the copies aren’t needed for a Social Security-related purpose.11Social Security Administration. If Your W-2 Never Arrived
Federal law requires every employer to furnish a W-2 by January 31 of the year after wages were paid.12Office of the Law Revision Counsel. 26 U.S. Code 6051 – Receipts for Employees If it hasn’t shown up, ask the employer directly first. If nothing arrives by the end of February, call the IRS at 800-829-1040.13Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
Have this ready when you call:
- Your name, address, and phone number
- Your Social Security number
- Dates you worked for the employer
- The employer’s name, address, and phone number
The IRS will contact the employer on your behalf and send you Form 4852 to use as a substitute if the W-2 still doesn’t arrive.14Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted
File With Form 4852 If You Still Can’t Find the EIN
If every path is closed, you can file using Form 4852 as a substitute for the missing W-2.15Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement On line 6, enter any known taxpayer identification number for the employer. If you have none at all, leave the field blank and explain on line 10, where the form asks you to describe your attempts to obtain the W-2.
Use your final pay stub to estimate wages and withholding for lines 7 through 9, and explain on line 10 how you arrived at those figures. The IRS expects a genuine effort to get the real W-2 first, so document every attempt: calls to the employer, emails, the date you contacted the IRS.
If the actual W-2 arrives later and the numbers differ from what you reported, you’re required to file an amended return using Form 1040-X.16Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted
File an Extension If You Need More Time
If April is closing in and you’re still hunting for the EIN, file Form 4868 for an automatic extension to October 15.17Internal Revenue Service. Get an Extension to File Your Tax Return The extension gives you more time to file, not more time to pay. Estimate what you owe and pay by the April deadline to avoid interest and late-payment penalties. The extra months are usually enough to get a Wage and Income Transcript or resolve a dispute with an uncooperative employer.
