How to Find Your 941 Quarterly Report Online: IRS or Payroll

Who Is Allowed to Access the Records

The IRS restricts who can retrieve a business’s employment tax records. A sole proprietor signs in for their own business. A corporation needs a president, vice president, or other principal officer. A partnership or unincorporated organization needs a responsible partner or member with knowledge of the business’s affairs. Someone outside that list can access the records only if a valid power of attorney is on file.5Internal Revenue Service. Instructions for Form 941 (Rev. March 2026)

Downloading Form 941 from the IRS Business Tax Account

Sign in at the IRS Business Tax Account and open the dashboard. Along with your business profile, account balances, and payment history, you will see a “Tax records” section. What you download from the portal is a transcript, not a photocopy of the return you signed. A transcript is a line-by-line summary of what you reported.7Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them Two versions are usually offered:

The return transcript is usually enough for a lender or an internal review. The record of account is the right one when you need to verify what you actually paid or reconcile a notice from the IRS.

Sole Proprietors and Single-Member LLCs

Sole proprietors use the Business Tax Account, not the Individual Online Account, to see Form 941 records. You can register as a sole proprietor as long as you have a Social Security number (or ITIN) and an EIN. There is one gap worth flagging: the Business Tax Account is not yet available for single-member LLCs that file as sole proprietors using Schedule C or Schedule F.6Internal Revenue Service. Pulling the Return from Your Payroll Provider

If a payroll service files Form 941 on your behalf, that platform keeps copies in its records archive. Providers like ADP, Gusto, and QuickBooks store filed returns in an administrative area usually labeled something like “Tax Forms,” “Compliance,” or “Reports.” The exact name varies by provider.

Inside that section, quarterly returns are listed by filing period and date. Choose the quarter you want and download or print it. This route is often the fastest because you are getting the filed document itself, not a transcript summary. If you switched payroll companies at some point, your former provider should still hold the returns from the quarters they handled; contact them directly for those.

One caution: the IRS requires employers to keep employment tax records for at least four years after filing the fourth-quarter return for that year.9Internal Revenue Service. Employment Tax Recordkeeping Many payroll providers retain records longer, but that is a business choice, not a rule. Download and store your own copies rather than relying on a vendor to keep them forever.

If You Need Older Records or a Full Copy

Two situations push you off the online portal: quarters from before 2023, and any time you need an exact reproduction of what you filed rather than a summary.

For a transcript by mail or fax, use Form 4506-T (Request for Transcript of Tax Return). Enter “941” on Line 6, check the box for the transcript type you want, and send it to the address listed for your state. There is no fee. You can also call the IRS business and specialty tax line and request the transcript over the phone.8Internal Revenue Service. Get a Business Tax Transcript Both take longer than the online portal.

For an actual copy of the return, file Form 4506 (Request for Copy of Tax Return). The fee is $30 per return, and the IRS waives it for taxpayers affected by a federally declared disaster if you note the disaster designation at the top of the form. Processing runs several weeks, so a transcript is the better choice when time is short.10Internal Revenue Service. Topic No. 159, How to Get a Wage and Income Transcript or Copy of Form W-2

Keep Your Own Copies While You Can

Employment tax records must be retained for at least four years after the fourth-quarter return for that year is filed. Records tied to qualified sick leave wages, qualified family leave wages, or the employee retention credit should be kept for at least six years.9Internal Revenue Service. Employment Tax Recordkeeping Because the Business Tax Account only shows transcripts back to 2023, the simplest way to guarantee future access to a filed Form 941 is to save a PDF to your own systems each time one is filed. Then the IRS portal, the payroll provider, and Form 4506-T become backups instead of your only options.
