How to Fill Out Form 1040 With a W-2: Wages, Withholding, Refund

To fill out Form 1040 with a W-2, copy the wages from Box 1 of your W-2 to Line 1a of the 1040, copy the federal income tax withheld from Box 2 to Line 25a, subtract your standard deduction to get taxable income on Line 15, look up the tax on Line 16, subtract any credits, and compare total tax to total withholding to see whether you owe or get a refund. For a return with only W-2 income, that’s the whole job. The rest is knowing which filing status to check, which credits you qualify for, and how to catch a problem before the IRS does.

What You Need in Front of You

Employers must send W-2s by January 31, so every wage statement for the tax year should be in hand by early February.1Social Security Administration. Deadline Dates to File W-2s If you worked more than one job, you need a separate W-2 from each employer, and every one of them goes on the return.

Four boxes on the W-2 do most of the work:

  • Box 1 — total wages, tips, and other compensation subject to federal income tax.
  • Box 2 — federal income tax your employer already withheld and sent to the IRS.
  • Box b — your employer’s EIN, which e-file software uses to verify the income source.
  • Box 12 — coded entries such as Code D for 401(k) contributions or Code W for employer HSA contributions. Code W triggers Form 8889.

Check the name, Social Security number, and dollar amounts before you enter anything. If something is wrong, ask your employer for a corrected W-2 (a W-2c) before filing. Fixing a mistake now is far easier than amending later.

Filing Status and Dependents

The top of the 1040 wants your legal name, address, and Social Security number exactly as they appear on your Social Security card. A name mismatch with SSA records will stall the return.2Internal Revenue Service. Name Changes and Social Security Number Matching Issues

Filing status sets your standard deduction, your tax brackets, and which credits are available.3Internal Revenue Service. Filing Status The five options are Single, Married Filing Jointly, Married Filing Separately, Head of Household, and Qualifying Surviving Spouse. Head of Household applies if you’re unmarried and paid more than half the cost of keeping up a home for yourself and a qualifying dependent; it gives a larger deduction and wider brackets than Single. Qualifying Surviving Spouse is available for two tax years after a spouse’s death if you have a dependent child, and it uses the same deduction and brackets as Married Filing Jointly.

List each dependent by full legal name and Social Security number, and check the box indicating whether they qualify for the Child Tax Credit (children under 17) or the Credit for Other Dependents. A dependent generally must be a U.S. citizen or resident who lives with you and gets more than half of their support from you.4Internal Revenue Service. Dependents

Wages: W-2 Box 1 to Form 1040 Line 1a

This is the main transfer. Take the amount from W-2 Box 1 and enter it on Form 1040, Line 1a.5Internal Revenue Service. Other income types go on the lines below, and Line 1z sums the whole Line 1 block.

The IRS gets its own copy of every W-2 and runs automated matching against what you report.6Internal Revenue Service. 4.1.27 Document Matching, Analysis and Case Selection A mismatch generates a notice, and an accuracy-related penalty of 20% on the underpaid amount can apply.7Internal Revenue Service. If W-2 wages are your only income, Line 1z and total income on Line 9 will be the same number, and you generally won’t need Schedule 1. Adjustments like student loan interest, educator expenses, or HSA contributions would change that.

Withholding: W-2 Box 2 to Form 1040 Line 25a

Box 2 shows the federal income tax your employer already paid in on your behalf throughout the year. That amount goes on Line 25a.8Internal Revenue Service. Instructions for Form 1040 – Section: Line 25a Forms W-2 Multiple W-2s again means adding all the Box 2 amounts and entering the total.

Line 25a feeds the Payments section (Lines 25 through 33), which is subtracted from your total tax to determine a refund or a balance due. Leaving a W-2 off here is one of the most common mistakes, and it costs you directly because the missing withholding is money you already paid but didn’t claim credit for. Standard Deduction and Taxable Income

After total income on Line 9, subtract any adjustments on Line 10 to reach adjusted gross income on Line 11. Most W-2 filers with no side income have no adjustments, so AGI equals total income.

From AGI, subtract either the standard deduction or your itemized deductions, whichever is larger. For 2025 returns filed in 2026, the standard deduction is:

  • Single or Married Filing Separately: $15,750
  • Married Filing Jointly or Qualifying Surviving Spouse: $31,500
  • Head of Household: $23,625

Filers who are 65 or older or blind get an additional $1,600, or $2,000 if unmarried and not a surviving spouse.10Internal Revenue Service. Topic No. 551, Standard Deduction Most W-2 earners without a mortgage or large medical bills come out ahead with the standard deduction.

The result on Line 15 is your taxable income. That’s the number the tax rates actually apply to, not gross wages. A single filer with $55,000 in Box 1, for example, has taxable income of $39,250 after the standard deduction.

Tax, Credits, Refund or Balance Due

Line 16 is your tax. The 1040 instructions include tax tables organized in $50 increments: find the row that includes your taxable income, move across to your filing status, and read the tax. Software does this automatically.

Credits then reduce that tax dollar for dollar. The two most common for W-2 filers with families:

  • Child Tax Credit — up to $2,200 per qualifying child under 17 for 2025, with the full amount available if income is $200,000 or less ($400,000 for joint filers). Up to $1,700 per child is refundable through the Additional Child Tax Credit if your tax liability is too low to use the full credit.11Internal Revenue Service. Child Tax Credit
  • Earned Income Tax Credit — for 2025, the maximum runs from $649 with no qualifying children to $8,046 with three or more, with income limits that vary by filing status.12Internal Revenue Service. Earned Income and Earned Income Tax Credit Tables

Credits go on Lines 19 through 21, with Schedule 3 for additional credits. Subtract total credits from the tax on Line 16 to reach total tax on Line 24. Then compare Line 24 to Line 33 (total payments, including the withholding you entered on Line 25a). Payments larger than tax means a refund. Tax larger than payments means you owe the difference.

Sign the return under penalty of perjury. Both spouses must sign a joint return. If you owe, you can pay by electronic funds withdrawal, card, or check with Form 1040-V.13Internal Revenue Service. If a W-2 Is Missing or Wrong

If a W-2 hasn’t arrived by mid-February, contact the employer first. Still nothing by the end of February? Call the IRS at 800-829-1040. The IRS will contact the employer and send you Form 4852, a substitute W-2. You’ll estimate wages and withholding from your final pay stub and explain how you got the numbers.16IRS.gov. If a W-2 has wrong amounts, ask the employer for a Form W-2c. Not yet filed? Use the corrected numbers. Already filed? Compare the W-2c to what you reported; if it changes your tax, file Form 1040-X with a copy of the W-2c to amend.17IRS.gov. Form W-2c, Corrected Wage and Tax Statement

Deadlines and What Late Filing Costs

The deadline for 2025 returns is April 15, 2026. Form 4868 filed by that date gets an automatic six-month extension to October 15, 2026.18IRS.gov. Missing the deadline with a balance owed triggers two separate penalties under 26 U.S.C. § 6651:19Office of the Law Revision Counsel. 26 U.S. Code 6651 – Failure to File Tax Return or to Pay Tax

The failure-to-file penalty is ten times the failure-to-pay penalty. File on time even if you can’t pay in full. The IRS offers payment plans for the balance.
