A Western Union Quick Collect form sends a bill payment straight to a company, government agency, or correctional facility that has a registered account with Western Union, and filling it out correctly comes down to three biller-specific fields: the Pay To Name, the Code City, and your account number. Get those right, add your own information and the amount, hand the form to the agent with cash or a card, and the payment reaches the recipient within minutes. The receipt you walk away with is your only proof that you paid.
The Three Biller Details You Must Have Right
Before you touch the form, pull these from your bill, invoice, or the biller’s payment instructions page. Don’t rely on memory, and don’t guess at abbreviations.
- Pay To Name (Company Name). This is the biller’s registered name in Western Union’s system, which is not always the name on the letterhead. Federal inmate deposits go to “Federal Bureau of Prisons.” SEVIS I-901 visa fees go to “SEVISFEE.”1U.S. Immigration and Customs Enforcement. - Code City and State. A routing code that tells the network where to deliver the payment. The Federal Bureau of Prisons uses “FBOP, DC.” CoreCivic facilities use “TRUSTCCA” with the state “TN.”2Federal Bureau of Prisons. Community Ties3CoreCivic. SAMPLE Quick Collect Payment Form
- Account Number. The string of characters that tells the biller which customer or inmate account to credit. For a federal inmate, this is the eight-digit register number followed immediately by the inmate’s last name with no spaces or dashes, like “12345678DOE.” For other billers, copy the account number from your invoice exactly.2Federal Bureau of Prisons. One timing note for inmate deposits: wait until the person has physically arrived at the facility before you send money. Payments sent earlier cannot be matched to an account.2Federal Bureau of Prisons. Community Ties
Filling Out the Form Field by Field
At an agent location you fill out a paper form. Some locations hand you a form labeled “Quick Collect,” others use a general “Send Money / Pay a Bill” form where you check the “Pay a Bill” option. The fields are the same.
- Your information. Full legal name, address, and phone number. If someone else is paying on your behalf, the person physically making the payment enters their own information here, not yours.1U.S. Immigration and Customs Enforcement. SEVIS I-901 Fee Payment by Western Union Quick Pay Instructions
- Pay To Name and Code City. Enter them exactly as the biller gives them. Misspellings or abbreviations can keep the system from finding a match.
- Account number. Copy it character by character from the statement. For an inmate account, include the register number and last name as a single unbroken string.
- Amount. The dollar amount you owe. The service fee is calculated separately at the counter. Do not add the fee into this field yourself.
Hand the completed form to the agent. They enter the information into Western Union’s system, confirm the biller is a registered participant, and quote you the total including the service fee. After you pay, review the printed receipt carefully before signing. Your signature confirms the recipient details and binds you to the transaction.
Where You Can Submit It
You can file a Quick Collect through three channels, and the accepted payment methods differ.
At an Agent Location
Find a location through Western Union’s agent locator or by calling 1-800-325-6000. Cash is accepted at any location. Debit cards are accepted at select locations, and some locations also take credit cards.4Western Union. Send and Receive Money in Person Fees vary by location, biller, and amount; the agent will quote the exact fee before you commit.
Online or by Mobile App
Certain billers accept Quick Collect through westernunion.com or a specialized portal. Inmate deposits can be completed at send2corrections.com or in the Send2Corrections mobile app on iOS and Android. Online payments require a credit or debit card. You can also start a payment in the app and finish it with cash at an agent location.2Federal Bureau of Prisons. Community Ties
By Phone

What ID You Need to Bring
For in-person payments, Western Union requires at least one government-issued photo ID along with one non-identification supporting document. Accepted photo IDs include a driver’s license, state ID, passport, military ID, alien residence card, or Matricula Consular card.5Western Union. Federal anti-money laundering rules raise the bar for larger amounts. On a transaction of $3,000 or more, the agent must verify your identity and keep records of your name, address, the type and number of your ID, and your taxpayer identification number or passport details.6FFIEC BSA/AML InfoBase. Splitting a payment into smaller amounts to stay under the threshold is a federal offense called structuring.
Keep the Receipt and the MTCN
Every Quick Collect transaction generates a 10-digit Money Transfer Control Number printed on your receipt. The MTCN is your only tool for tracking the payment and your proof that you sent it.7Western Union. What Is a MTCN
Enter it on Western Union’s Track a Transfer page or call customer service to check status. The system reports one of several states as the payment moves: “In progress,” “Available,” “Paid,” “On hold,” “Cancelled,” or “Refunded.”8Western Union. What Is an MTCN Number “Available” means the funds have reached the biller but have not yet been posted to your specific account; that final step depends on the biller’s internal processing. Hold on to the receipt until the biller confirms the credit on your statement. If the biller claims the payment never arrived, the receipt and MTCN are the only way to open a formal trace.
Canceling or Refunding a Payment
You can cancel a Quick Collect only if the biller has not yet picked up or processed the funds. Once the status shows the transfer as sent or deposited, Western Union may not be able to refund it.9Western Union. Fraud Warning Signs This is the single biggest difference between Quick Collect and paying by check or card: there is essentially no chargeback mechanism once the money moves.
If the payment has not been picked up, contact Western Union customer service or return to the agent location where you sent it. Bring your MTCN and a valid photo ID. Approved refunds are typically processed within five business days, with a non-refundable processing fee deducted from the refund amount.10Western Union. Money Order Request Form Refunds are paid in cash at an agent location.
When Not to Use the Form
Because Quick Collect is fast and essentially irreversible, scammers push targets toward it. Western Union explicitly warns against sending money to anyone you have not met in person.9Western Union. Fraud Warning Signs Treat an unsolicited demand to pay by Quick Collect as a warning sign, especially for lottery winnings with upfront fees, emergency bail or hospital bills for a relative you cannot reach directly, mystery shopping tasks that ask you to forward part of a check, tax debts the caller insists must be wired immediately, or rental deposits for apartments you have not seen. No legitimate government agency demands payment through Western Union.
