How to Fill Out and Submit the Vanguard Account Transfer Form

The Vanguard account transfer form moves stocks, bonds, ETFs, mutual funds, and cash from an outside brokerage or bank into a Vanguard account. What to Have in Front of You Before You Start

Pull a recent statement from the firm you’re leaving. If the transfer can’t run electronically, Vanguard requires a statement dated within the last 90 days.2Vanguard. How to Transfer Money in 3 Steps Even for online submissions, the statement holds every field the form asks for:

  • Your account number at the delivering firm, entered exactly. One wrong digit sends the request back.
  • The Social Security number or Tax ID on that account. It has to match the registration on your Vanguard account.
  • The delivering firm’s name and its Depository Trust Company (DTC) participant number, which identifies the firm inside ACATS. The statement header or the firm’s website usually lists it.
  • The account type at the delivering firm: traditional IRA, Roth IRA, individual brokerage, joint tenants with right of survivorship, and so on. The type has to correspond to the Vanguard account receiving the assets so any tax-advantaged status carries over.

If you don’t already have a Vanguard account of the matching type, open one first. You cannot move a traditional IRA into a Roth IRA through a standard transfer without triggering a taxable conversion.

Online Submission or Paper Form

Vanguard’s online transfer portal is the fastest path. Log in, go to the account transfer section, and follow the prompts to enter the delivering firm, your account number there, and whether you want a full or partial transfer.3Vanguard. Use the paper form when the online system doesn’t support your situation, which can happen with certain retirement plan assets and trust accounts. Download the PDF from Vanguard’s forms library, fill the delivering firm’s information into the “from” section and your Vanguard details into the “to” section, and sign where indicated. Every account holder on the registration has to sign. Mail it to the address printed on the form itself; Vanguard uses different addresses for different account types, so follow what your version says rather than a general address. Use a trackable shipping method so you have proof of delivery.

Full Transfer or Partial Transfer

The form asks you to choose one. A full transfer moves everything and typically closes the outside account. It’s the cleaner option when you’re done with the delivering firm, but the delivering firm will almost certainly charge an account closing fee, and pending activity like a dividend about to pay or a recent trade still settling can hold up the close.

A partial transfer moves only what you specify. List each security by ticker symbol and the number of shares. The old account stays open, so no closing fee applies, though some firms still charge per position. Choose partial when you want to keep certain holdings where they are, or when you’d rather liquidate non-transferable assets on your own timing instead of letting the delivering firm do it during the transfer.

What Actually Moves

Most publicly traded stocks, bonds, ETFs, and widely held mutual funds move in kind, which means they arrive at Vanguard without being sold. That preserves your cost basis and holding period and avoids creating a taxable event.

Some holdings cannot come across in kind:

  • Proprietary mutual funds offered only by your current firm
  • CDs held directly with a bank
  • Cryptocurrencies
  • Limited partnerships and private placements
  • Annuities and life insurance policies
  • Commodities
  • Certain low-priced OTC and pink-sheet securities
  • Certain options positions and certificates

When the form encounters non-transferable assets, the delivering firm typically liquidates them into cash and sends the proceeds along with the rest.3Vanguard. If you own 52.347 shares of a stock, 52 whole shares move and the 0.347 fraction gets liquidated to cash, which is a small taxable event worth knowing about if you’re tracking basis carefully.

When a Medallion Signature Guarantee Is Required

A Medallion Signature Guarantee (MSG) is a stamp from a financial institution verifying your identity. It goes further than a notarization because the stamping institution takes on financial liability for a fraudulent signature. Vanguard may require one on the form in three situations:

  • The delivering firm doesn’t participate in electronic transfers, so the paper form with an MSG serves as identity verification
  • You’re transferring between unlike account types, such as from a joint account into an individual account
  • The name on your Vanguard account doesn’t exactly match the name registered at the delivering firm

Details That Get Transfers Rejected

Before submitting, verify the fields the ACATS system checks most strictly. Account holder names have to be spelled identically on both sides. Social Security numbers have to match. The account type at the delivering firm has to correspond to your Vanguard account type. And the account number has to be correct to the digit.

Rejections fall into hard rejects that end the transfer and soft rejects where the delivering firm proceeds once you supply what’s missing.6Depository Trust & Clearing Corporation (DTCC). ACATS/IPS Status Reason Codes The most common causes:

  • SSN mismatch between the form and the delivering firm’s records. Verify with both firms which number they have on file.
  • Account not found, which usually means a typo. Re-enter carefully from your statement.
  • Name mismatch, often a maiden name at one firm and a married name at the other, or a missing middle initial. Update the registration at one firm so the two match, or get a Medallion Signature Guarantee.
  • Outstanding margin balance or unsettled trades. The delivering firm won’t release assets while you owe money or have trades still settling (typically two business days for stocks). Clear these and resubmit.
  • Delivering firm mismatch, which happens when an account was moved between brokerages before and the ACATS record still shows the old firm. Confirm the current DTC participant number with the delivering firm.
  • Restricted account status from legal holds, pending death claims, or an existing transfer already in progress.

Vanguard alerts you with a reason code when a transfer is rejected. Fix the underlying issue and resubmit; you don’t need a new form, and most rejections add only a few days once resolved.

How Long It Takes and How to Track It

Once the form enters ACATS, the delivering firm has one business day to validate the instruction or raise an objection. After validation, it has three business days to complete the asset transfer.7FINRA. If your assets sit at a bank, credit union, insurance company, or other institution that doesn’t participate in ACATS, the transfer runs manually. The SEC notes there are no set regulatory time frames for manual transfers, so a few weeks is common and complex situations take longer.8U.S. Securities and Exchange Commission. Fees and Residual Assets

Vanguard doesn’t charge to receive an incoming transfer. The cost comes from the firm you’re leaving, which usually charges an account closing or transfer-out fee, commonly in the $50 to $125 range. It’s worth asking Vanguard whether any reimbursement applies to your situation if the balance you’re bringing over is large.

Even after the main transfer completes, small amounts often linger at the old firm: dividends declared before the transfer but paid after, interest accrued during the transition, and cash from fractional share liquidations. Retirement Accounts: Keep It a Direct Transfer

Using Vanguard’s transfer form for a retirement account moves the assets trustee-to-trustee between accounts of the same type, for example traditional IRA to traditional IRA. That is not a taxable event and does not count as a rollover, so it avoids both the 60-day deadline and the 20% mandatory federal withholding that apply when an employer-plan distribution is paid to you directly.10Internal Revenue Service. Direct trustee-to-trustee transfers are also exempt from the IRS one-rollover-per-year limit that otherwise caps IRA-to-IRA indirect rollovers at one across all your IRAs in any 12-month period. Violating that limit can turn the moved amount into taxable income, add a 10% early withdrawal penalty, and expose the receiving IRA to a 6% annual excess contribution tax.10Internal Revenue Service.
