How to Fill Out ADP Forms: W-4, Direct Deposit, and Prenote

To fill out ADP forms for a new job, log into your employer’s ADP portal with the registration code HR gave you, then work through three tasks: a federal Form W-4 for tax withholding, a Form I-9 to prove you’re authorized to work, and a direct deposit setup with your bank’s routing and account numbers. Most people can finish in twenty minutes if they have their documents in front of them before they start.

What to Gather Before You Log In

Starting the forms without the right information is the main reason people end up with a stalled first paycheck. Pull these together first:

  • Your Social Security number. Your employer uses it for tax reporting and can verify it against Social Security Administration records.1Social Security Administration. Social Security Number Verification Service Pamphlet
  • Your filing status (single, married filing jointly, or head of household), the number of dependents you plan to claim, and any additional income or deductions you want reflected in withholding.2Internal Revenue Service. What People New to the Workforce Need to Know About Income Tax Withholding
  • Documents for the Form I-9. You can use one List A document that proves both identity and work authorization (a U.S. passport is the common one), or pair a List B identity document (like a state driver’s license) with a List C work authorization document (like an unrestricted Social Security card). The I-9 requirement traces to the Immigration Reform and Control Act of 1986.3U.S. Citizenship and Immigration Services. Form I-9 Acceptable Documents4U.S. Citizenship and Immigration Services. • Your bank’s nine-digit routing number and your account number. Pull them from your bank’s app or a recent statement. A single transposed digit will bounce your deposit.

One warning about the W-4: the civil penalty for filing a withholding certificate with no reasonable basis is $500, and willfully supplying fraudulent information can bring a fine of up to $1,000, up to one year in prison, or both.5Office of the Law Revision Counsel. 26 USC 6682 – False Information With Respect to Withholding6Office of the Law Revision Counsel. 26 USC 7205 – Fraudulent Withholding Exemption Certificate or Failure to Supply Information Answer the questions honestly and you’ll be fine.

Logging Into the ADP Portal

Most employees sign in at signin.adp.com. If you’ve never used ADP before, you need a registration code from your employer. There’s no way to create an account without one.7ADP. Login and Support – MyADP Registration walks you through identity verification, setting a user ID and password, choosing security questions, and entering an activation code. Once you’re in, the tax withholding and direct deposit options live in the pay or profile section.

Some employers run ADP Workforce Now or ADP iPayStatements instead of the standard MyADP portal. Your HR contact will send you the link that matches your company’s setup. The forms themselves are the same either way.

Completing the W-4 for Federal Withholding

The W-4 inside ADP mirrors the paper IRS form. The current version doesn’t use the old personal allowances. Instead, it works from your filing status, dependent credits, and any adjustments for extra income or deductions.8Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate

Start with filing status. For someone with one job and no unusual income, that alone gets withholding close enough. If you have dependents, Step 3 lets you claim $2,200 per qualifying child under 17 and $500 per other dependent, provided your total income is $200,000 or less ($400,000 for married filing jointly).8Internal Revenue Service. Two situations need more attention. If you hold multiple jobs, or your spouse also works, use Step 2 to keep from under-withholding; the portal may include a built-in calculator for that. If you have significant non-wage income (freelance work, investments, rental income) or plan to itemize instead of taking the standard deduction, use Step 4 to adjust the amount withheld. Leaving Step 4(b) blank tells the system to assume the standard deduction, which is the right call for most filers.

Skip the W-4 entirely and your employer withholds at the default: single filing status with no adjustments, which usually pulls more tax than you owe. You can update the W-4 at any time through the portal, not just at hire.

State Tax Withholding

If you work in a state with an income tax, expect a separate state withholding certificate alongside the federal W-4. Nine states — Alaska, Florida, Nevada, New Hampshire, South Dakota, Tennessee, Texas, Washington, and Wyoming — have no broad-based personal income tax, so employees there skip this step.

Everywhere else, the form varies. Some states accept the federal W-4 for state purposes; others require their own certificate with different fields. ADP typically routes you to the right form based on your work location. If the state form doesn’t appear, ask payroll. An incomplete state setup means the employer withholds at the state’s default rate, which is rarely what you want.

Setting Up Direct Deposit

This is where most people trip up. Enter your bank’s routing number and account number, then mark the account as checking or savings.

ADP lets you split pay across multiple accounts. Two common approaches:

  • A flat-dollar split, where a fixed amount (say, $500) goes to a secondary account and the rest lands in your primary checking account.
  • A percentage split, where each account gets a set share of net pay (say, 20 percent to savings, 80 percent to checking).

Either way, your allocations need to add up to 100 percent of net pay. Designate one account as the “balance” or remainder account so rounding differences have somewhere to go.

Your employer cannot force you to use a particular bank; you pick the institution. If you’d rather skip direct deposit entirely, your employer must offer an alternative like a paper check, though many companies push electronic payment hard.

Submitting the Forms and Watching for the Prenote

Review every field before you hit save or submit. Your electronic signature carries the same weight as ink under the E-Sign Act, which validates electronic records and signatures in interstate commerce.9National Credit Union Administration. Electronic Signatures in Global and National Commerce Act (E-Sign Act)

Once you submit banking details, ADP sends a prenote, a zero-dollar test transaction through the ACH network to confirm your routing and account numbers point to a real, active account. If the bank doesn’t reject it within a few business days, the system treats the account as verified and starts routing live deposits there. Prenote periods vary by employer but commonly run about five business days. During that window, you may receive a paper check.

If the prenote fails, usually because of a typo, you’ll need to correct the numbers and start over. This is the single most common reason first paychecks arrive late.

You can track the status of your submission under the activity or history tab. “Pending” means payroll is still reviewing the paperwork or waiting on prenote verification. “Active” means your withholding and deposit instructions are live. Later changes, whether a new W-4 or a switched bank account, generally take effect within one to two pay cycles depending on where the change lands relative to payroll processing deadlines.

Deductions You’ll See That You Didn’t Enter

Your ADP pay stub will show more than the federal and state income tax you set up. Some deductions are automatic:

  • Social Security tax at 6.2 percent of wages, up to the annual wage base.
  • Medicare tax at 1.45 percent of all wages, with no cap. Wages over $200,000 trigger an additional 0.9 percent Medicare surtax.
  • Court-ordered deductions like child support or a wage garnishment, which your employer is legally required to withhold. Child support takes priority over other garnishments, with one exception: an IRS tax levy entered before the child support order was established comes first.10Administration for Children and Families. Processing an Income Withholding Order or Notice

Health insurance premiums, retirement contributions, and flexible spending accounts also show up as deductions, but you set those through benefits enrollment, not through the payroll forms covered here.

Getting Your W-2 at Year End

At the end of each tax year, your employer uses your ADP payroll data to generate Form W-2, which reports total wages and taxes withheld. Employers must deliver W-2s to employees by January 31. When that date falls on a weekend, the deadline moves to the next business day.11Social Security Administration. Deadline Dates to File W-2s For tax year 2025, January 31, 2026 is a Saturday, so the deadline shifts to Monday, February 2, 2026.

ADP usually posts W-2s electronically in the same portal where you manage your payroll forms. If you’ve consented to electronic delivery, the W-2 may appear before a mailed copy would arrive. Look under tax statements or year-end documents after mid-January. If the W-2 doesn’t match your final pay stub of the year, call payroll before you file your return. Fixing a W-2 after the fact requires the employer to issue a W-2c, and that slows everything down.
