To fill out a W-4P, work through five numbered steps on the form: enter your name, address, Social Security number, and filing status in Step 1; adjust for other jobs or pensions in Step 2; claim dependent credits in Step 3; add other income, extra deductions, or additional withholding in Step 4; then sign and date Step 5 and send the form to your pension or annuity payer, not to the IRS. Most retirees only need Steps 1, 5, and sometimes one of the middle three. If you skip the form entirely, your payer withholds as if you were single with no adjustments, which usually pulls out more tax than you owe.1Internal Revenue Service. Make Sure W-4P Is the Right Form
Form W-4P applies to periodic payments: installments paid at regular intervals over more than one year, like a monthly pension check or a lifetime annuity.2Internal Revenue Service. Pensions and Annuity Withholding Two situations look similar but call for a different form.
- A one-time or lump-sum withdrawal from a 401(k) or IRA uses Form W-4R. Default withholding on those nonperiodic payments is 10%, and eligible rollover distributions have a 20% minimum.3Internal Revenue Service. Form W-4R Withholding Certificate for Nonperiodic Payments and Eligible Rollover Distributions
- Social Security benefits use Form W-4V, which limits you to four flat rates: 7%, 10%, 12%, or 22%.4Social Security Administration. Request to Withhold Taxes
If you receive both a pension and Social Security, you file a W-4P with the pension payer and a W-4V with the Social Security Administration.
Step 1: Personal Information and Filing Status
Write your full legal name, current home address, and Social Security number. Verify the SSN carefully. It ties withheld tax to your IRS account.
Then pick one filing status:5Internal Revenue Service. About Form W-4P, Withholding Certificate for Periodic Pension or Annuity Payments
- Single or married filing separately
- Married filing jointly or qualifying surviving spouse
- Head of household, which requires that you be unmarried and pay more than half the cost of keeping up a home for a qualifying dependent
Filing status controls the bracket table and standard deduction your payer applies. A wrong pick can throw withholding off by thousands over a year. If you’re not sure you qualify as head of household, select single. It withholds slightly more and avoids a surprise bill.
Never sending in a W-4P is itself a choice. Your payer defaults to single with no adjustments: no credit for dependents, no recognition of deductions above the standard amount, no accounting for other income.1Internal Revenue Service. Publication 15-T (2026) Federal Income Tax Withholding Methods Some retirees treat that overwithholding as forced savings and take the refund in April. Others prefer to keep the money in each check.
Step 2: Adjust for Other Income
Skip Step 2 if this pension is your only income and your spouse doesn’t work or draw a separate pension. It exists because each payer calculates withholding as if it’s your only income source, which underwithholds you when there are two or more streams.
You have two ways to complete it. The cleaner one is the IRS Tax Withholding Estimator, which takes all your income into account and generates a ready-to-print W-4P.6Internal Revenue Service. Tax Withholding Estimator Use it if you have self-employment income, three or more income streams, or any real complexity.
The manual route is Step 2(b). Enter the total annual taxable pay from any jobs, yours and your spouse’s, then add annual payments from any other pension or annuity that pays less than the one this W-4P covers. Your payer combines those figures with this pension to size the withholding.
Step 3: Dependent Credits
Step 3 lowers your withholding to reflect credits you’ll claim on your return. For 2026, count $2,200 per qualifying child under 17 and $500 per other dependent.7Internal Revenue Service. Child Tax Credit Full credits are available at total income up to $200,000, or $400,000 for joint filers, and phase out above those levels.
Multiply, add, and put the total in the Step 3 box. There’s also a line for other credits you expect, such as foreign tax or education credits. That combined figure is subtracted from your calculated withholding each pay period.
Most retirees leave Step 3 blank. If you’re raising a grandchild or supporting an adult dependent, don’t. The $500 for other dependents adds up across twelve pension payments.
Step 4: Fine-Tuning
Step 4 has three lines and a checkbox. Each does a different job.
Step 4(a): Other Income Without Withholding
If you receive interest, dividends, capital gains, or rental income that no one withholds on, enter the annual total. Your pension payer will lift withholding enough to cover it. Taxable Social Security benefits can go here too, provided you haven’t already filed a W-4V to withhold from them.5Internal Revenue Service. Step 4(b): Deductions Above the Standard Amount
Use this line only if you’ll itemize and your itemized deductions exceed the standard deduction. The 2026 standard deduction is $16,100 single, $32,200 joint, and $24,150 head of household.8Internal Revenue Service. IRS Releases Tax Inflation Adjustments for Tax Year 2026, Including Amendments From the One, Big, Beautiful Bill
One point worth flagging for anyone filling out a W-4P: starting in 2026, filers 65 or older can claim an extra $6,000 on top of the existing senior addition, or $12,000 for a married couple where both spouses qualify.9Internal Revenue Service. Check Your Eligibility for the New Enhanced Deduction for Seniors That larger standard deduction makes itemizing less common for retirees. Your payer already builds the senior amounts into the calculation using your date of birth, so leaving Step 4(b) blank is usually correct.
If you do itemize past the standard amount, work through the Deductions Worksheet on page 4 of the form and put the excess on line 4(b).
Step 4(c): Extra Withholding per Payment
Enter a flat dollar amount to add to every payment’s withholding. This is the fastest fix if you owed money at the last filing. Adding $50 or $100 per check can close a gap and head off an underpayment penalty, which the IRS charges when you owe more than $1,000 at filing and haven’t paid at least 90% of the current year’s tax or 100% of last year’s (110% if your adjusted gross income was over $150,000).10Internal Revenue Service. Underpayment of Estimated Tax by Individuals Penalty
The No-Withholding Checkbox
Step 4 also has a box to request no federal income tax withholding at all. You can use it for periodic pension payments delivered within the United States.2Internal Revenue Service. Pensions and Annuity Withholding Retirees with little tax liability, or those making quarterly estimated payments, sometimes check it. The risk is a large April bill, possibly with penalties, if the year turns out better than expected.
Step 5: Sign, Date, and Send
Sign and date the bottom. An unsigned W-4P is invalid, and payers are required to reject it and keep applying your prior instructions or the default.
Send the completed form to your pension plan administrator or the financial institution paying you. It never goes to the IRS.5Internal Revenue Service. About Form W-4P, Withholding Certificate for Periodic Pension or Annuity Payments Many administrators accept it through an online portal now, which is faster than mailing. Keep a copy.
New withholding usually shows up within one or two payment cycles. Check your next statement. If the number doesn’t match what you calculated, call the administrator before the following payment rather than waiting.
When to Update the Form
W-4P isn’t file-and-forget. Redo it when your situation changes: a spouse retires or starts a pension of their own, you begin Social Security, you sell property for a capital gain, your itemized deductions shift, or your filing status changes because of marriage or the loss of a spouse.
Even in a quiet year, running the IRS Tax Withholding Estimator once annually is worth ten minutes.6Internal Revenue Service. Tax Withholding Estimator Brackets, standard deductions, and credit amounts adjust for inflation, so a W-4P from three years ago may no longer reflect your actual tax picture. The estimator uses current-year figures and hands you a completed form ready to send in.
