You may need schedules attached to your 1040. Schedule A is for itemized deductions.9Internal Revenue Service. Filling Out Form 1040

Use blue or black ink and write legibly. A data entry clerk at the IRS will be reading your handwriting. Start with the top of the form: your name, address, Social Security number, and filing status. The rest of the return follows a straight sequence from top to bottom.

Income and Adjusted Gross Income

Transfer the totals from your W-2s and 1099s onto the income lines on the first page. Add up wages, interest, dividends, and any other income. Standard Deduction or Itemize

Next, pick between the standard deduction and itemized deductions. Whichever is larger saves you more tax. For the 2025 tax year:

  • Head of Household: $23,625

Most filers take the standard deduction because their mortgage interest, giving, and medical expenses don’t add up to more than those figures. If yours do, complete Schedule A and attach it. Subtract whichever deduction you use from your AGI to get taxable income.

Looking Up Your Tax and Subtracting Credits

Then subtract credits. Refundable credits like the Earned Income Tax Credit can bring your tax below zero and generate a refund.14Internal Revenue Service. The bottom line tells you whether you owe or are due a refund.

Errors to Watch For

Paper returns have no software checking your work. Common mistakes that trigger IRS math-error notices include basic addition and subtraction slips, inconsistencies between Form 1040 and an attached schedule, deductions or credits above their statutory limits, and missing or incorrect Social Security numbers for dependents.13Internal Revenue Service. Assembling the Envelope

Place Form 1040 on top. Attach your W-2s (and any W-2c corrections) directly to the front of the return. Any Form W-2G for gambling winnings or Form 1099-R for retirement distributions with taxes withheld goes on the front as well. If You Owe

Include Form 1040-V (Payment Voucher) with a check or money order made out to “United States Treasury.” Write your Social Security number, daytime phone number, and “2025 Form 1040” on the check. If You’re Getting a Refund

Sign, Address, Mail

Sign and date the return in ink. If you’re filing jointly, both spouses have to sign. An unsigned return is treated as not filed, which can trigger the failure-to-file penalty.18Internal Revenue Service. Failure to File Penalty

The IRS mailing address depends on your state and on whether you’re enclosing a payment. The two addresses are different, and sending to the wrong one delays processing. The Deadline and What Late Filing Costs

Your paper return must be postmarked by April 15, 2026 for the 2025 tax year. If that date falls on a weekend or holiday, the deadline shifts to the next business day. Need more time? Any tax owed is still due April 15, and interest starts accruing on unpaid balances the next day.

Missing the deadline when you owe money triggers a failure-to-file penalty of 5% of your unpaid tax per month or partial month, up to 25%.18Internal Revenue Service. The filing penalty is ten times steeper than the payment penalty.

After You Mail It

Paper returns take longer to process than electronic ones. Expect at least six weeks from the date the IRS receives your return before a refund is issued, and often longer during peak season.25Internal Revenue Service. If the IRS finds a problem, whether a math error, a missing schedule, or an inconsistency with information reported by your employer or bank, it sends a notice by mail. Respond promptly. Ignoring a notice usually escalates to more penalties and interest. Keep a full photocopy of your entire return, all attachments, and your proof of mailing.

How Long to Keep Your Records

The IRS can audit a return for three years from the filing date under normal circumstances. That extends to six years if you underreported income by more than 25%, and there’s no time limit at all on returns you never filed or filed fraudulently.27Internal Revenue Service. Fixing a Mistake After You Mail

If you catch an error after mailing, whether a missed 1099, a wrong filing status, or an overlooked deduction, file Form 1040-X, the Amended U.S. Individual Income Tax Return. Don’t send a second Form 1040. The IRS will treat it as a duplicate and reject it.

To amend on paper, put a completed and corrected Form 1040 behind your Form 1040-X, followed by any new or changed schedules in attachment-sequence order. To claim a refund through an amended return, you generally have three years from the date you filed the original or two years from the date you paid the tax, whichever is later.29Internal Revenue Service. File an Amended Return If you filed early, the three-year clock starts from the April deadline, not the date you mailed it. Miss that window and the refund is gone, no matter how valid the claim.

State Returns Are Separate

A federal paper return only covers federal income tax. Most states also require a separate state return filed with the state revenue department. A handful of states have no income tax. State deadlines often align with the federal April 15 date, but not always. Check with your state tax agency for its forms, instructions, and mailing address, and gather the state paperwork at the same time as your federal documents so you’re not hunting twice.
