Documents to Have Ready

Start with your Form W-2. Have Social Security numbers on hand for yourself, your spouse if you file jointly, and every dependent you plan to claim. The IRS uses those numbers to match your return against employer records, and without a valid Social Security number for a dependent you cannot claim credits like the Child Tax Credit.

Choosing an Online Filing Platform

If your adjusted gross income for tax year 2025 is $89,000 or less, you qualify for IRS Free File, which offers guided tax preparation through eight partner software companies at no cost.1Internal Revenue Service. These are the same commercial products people otherwise pay for, unlocked for qualifying filers under an IRS agreement.

Above the $89,000 threshold, you can still use Free File Fillable Forms, the electronic version of the paper forms with basic math built in and no interview questions. That works if you already know which lines apply to you. If you don’t, paid software from providers like TurboTax, H&R Block, or TaxAct walks you through an interview format and translates your answers into the correct forms. Paid options typically run from about $30 to over $100 depending on how complex your return is, and most have a mobile app.

Walking Through the Return

Whichever platform you use, the sequence is roughly the same. You confirm your name, address, filing status, and Social Security number, then move to income.

Entering Income

You enter Box 1 wages and Box 2 withholding from your W-2. Most software lets you import the W-2 by employer identification number or by uploading a photo, but typing the numbers works fine. The software then asks about other income: interest from a 1099-INT, side income from a 1099-NEC, and anything else. Those figures roll up into your total income.

Adjustments and Your Deduction

Some expenses come off your income before tax is calculated. You can deduct up to $2,500 of qualifying student loan interest, for instance.6Internal Revenue Service. From AGI, you subtract either the standard deduction or your itemized deductions, whichever is larger. Credits

Credits reduce the tax you owe dollar for dollar, so they are worth more than deductions of the same size. The Child Tax Credit is worth up to $2,200 per qualifying child for tax year 2025.9Internal Revenue Service. Signing and Submitting

Before transmitting, the software runs a diagnostic to catch math errors, missing Social Security numbers, and empty fields. Fix anything it flags. A rejected return means resubmitting and can delay a refund by weeks.

Then the software shows a summary of your refund or balance due. If you’re getting a refund, enter your bank routing and account numbers for direct deposit; it’s much faster than a paper check. If you owe, you can authorize an electronic funds withdrawal, pay by credit or debit card, or schedule payment for any date up to April 15. Once the summary looks right, submit. The e-signature has the same legal weight as a handwritten one.

The Filing Deadline and Extensions

Returns for tax year 2025 are due April 15, 2026.12Internal Revenue Service. One catch trips people up every year: an extension to file is not an extension to pay. Any tax owed is still due April 15, and interest and penalties on the unpaid balance start the next day.14Internal Revenue Service. If You Owe and Can’t Pay

File anyway. The penalty for filing late is far worse than the penalty for paying late, so filing on time is the cheap half of the problem even when you can’t pay. The IRS lets you set up a payment plan online without calling anyone.15Internal Revenue Service. Payment Plans; Installment Agreements

  • A short-term plan for individuals who can pay within 180 days and owe less than $100,000 has no setup fee.
  • A long-term installment agreement for balances of $50,000 or less has an online setup fee of $22 if you pay by direct debit or $69 for other payment methods.

Interest and the failure-to-pay penalty keep accruing on the unpaid balance under either plan, so pay as much upfront as you can.

Penalties for Filing or Paying Late

The failure-to-file penalty is 5% of the unpaid tax for each month a return is late, capped at 25%.16Internal Revenue Service. After You File

The IRS usually accepts or rejects an e-filed return within 24 to 48 hours. Your software will show the status, and the IRS “Where’s My Refund?” tool updates about 24 hours after a current-year return is e-filed.19Internal Revenue Service. Most refunds for e-filed returns with direct deposit arrive within 21 days. Paper checks take longer. Fixing a Mistake After Filing

If you notice missing income, a wrong deduction, or another error after submitting, file Form 1040-X to amend.
