To file Form 990-EZ online, submit the return through an IRS-authorized e-file provider using the Modernized e-File (MeF) system. Paper filing is no longer allowed for tax years ending July 31, 2021, or later, so electronic submission through a third-party provider is the only route the IRS accepts.1Internal Revenue Service. Confirm Your Organization Can Use Form 990-EZ
Two financial thresholds control eligibility. Your organization qualifies to file the 990-EZ if gross receipts were less than $200,000 for the tax year and total assets were less than $500,000 at year end.3Internal Revenue Service. Form 990 Series Which Forms Do Exempt Organizations File Filing Phase In Exceed either one and you must file the full Form 990. Organizations with gross receipts normally at or below $50,000 can file the shorter Form 990-N e-Postcard instead, though nothing stops them from filing a 990-EZ voluntarily.4Internal Revenue Service. Annual Exempt Organization Return: Who Must File
Some organizations cannot use the 990-EZ no matter how small they are. Private foundations file Form 990-PF. The IRS requires the full Form 990 from sponsors of donor-advised funds, organizations operating hospital facilities, Section 501(c)(29) nonprofit health insurance issuers, and certain controlling organizations under Section 512(b)(13). Group returns also require the full Form 990.5Internal Revenue Service. 2025 Instructions for Form 990-EZ
Gather Your Records Before You Log In
Having the right documents in hand prevents the errors that trigger rejections or IRS follow-up notices. Pull these together first:
- Your Employer Identification Number (EIN). A mismatched EIN is one of the most common rejection causes.
- Legal name and address exactly as registered with the IRS.
- A concise mission statement describing your exempt purpose.
- Revenue records broken out by source: contributions, grants, program service revenue, and other income.
- Expense records by category: grants paid, program costs, salaries, and operating expenses.
- Beginning-of-year net assets, for reconciling year-end fund balances.
- A list of every officer, director, trustee, and key employee who served during the year, with titles, hours worked, and compensation.
Review a blank copy of Form 990-EZ from the IRS website before you begin entering data. Matching your internal books to specific form lines in advance keeps your electronic entries consistent.
Figure Out Which Schedules You Need
The 990-EZ is a core return with supplemental schedules attached as your activities require. Missing a required schedule is a common filing mistake.
- Schedule A is mandatory for every Section 501(c)(3) organization filing a 990-EZ, documenting public charity status.6Internal Revenue Service. Instructions for Schedule A (Form 990)
- Schedule B is required if any single contributor gave $5,000 or more during the year. Some organization types have different thresholds, so check the schedule instructions for your classification.7Internal Revenue Service. Schedule B (Form 990) (Rev. December 2024)
- Schedule C applies if you spent money on political campaign activities or lobbying, with different rules for 501(c)(3) and 501(c)(4) organizations.8Internal Revenue Service. Instructions for Schedule C (Form 990)
- Schedule L reports loans and certain business transactions between the organization and its officers, directors, or other insiders.9Internal Revenue Service. Instructions for Schedule L (Form 990)
- Schedule O is the overflow page for narrative explanations and required responses to certain Part V questions.10Internal Revenue Service. Instructions for Schedule O (Form 990)
Choose an IRS-Authorized E-File Provider
The IRS publishes a list of e-file providers that have passed its testing requirements for tax-exempt returns. Verify that any service you use appears on that list.11Internal Revenue Service. Exempt Organizations and Other Tax-Exempt Entities Modernized e-File (MeF) Providers Some providers offer free 990-EZ filing; others charge fees that typically run under $100.
Complete the Form Parts
Once you create an account with the provider and start a return, the software walks you through the parts of the form. Knowing what each part asks for keeps you from guessing at entries.
Part I: Financial Activity
Part I captures revenue, expenses, and changes in net assets. Income is separated by source, including government grants, private contributions, program service revenue, and other categories. Expenses include grants paid, salaries, and other operating costs. Total revenue minus total expenses gives the net change in assets for the year.12Internal Revenue Service. Instructions for Form 990-EZ (2025)
Part III: Program Accomplishments
Part III describes what your organization did during the year. For each of your three largest programs by total expenses, you explain the services provided and give concrete measurements such as clients served, events held, or publications distributed.12Internal Revenue Service. Instructions for Form 990-EZ (2025)
Part IV: Officers, Directors, and Key Employees
Part IV lists every person who served as an officer, director, trustee, or key employee at any point during the tax year, along with compensation. Unpaid officers still appear here with zeros in the compensation columns. The IRS uses this section to flag potential issues with excessive pay or personal benefit to insiders.12Internal Revenue Service. Instructions for Form 990-EZ (2025)
Sign and Transmit the Return
A return is not filed until it carries an authorized electronic signature. You have two options:
- PIN method. An authorized officer signs through an electronic return originator using a personal identification number via Form 8879-TE.
- Scanned signature. The officer signs Form 8453-TE on paper, scans it to PDF, and the provider transmits it with the return.13Internal Revenue Service. 2025 Form 8453-TE
After the return is signed and submitted, the provider transmits it and returns a confirmation that the IRS received the transmission.
Know Your Deadline
Form 990-EZ is due by the 15th day of the 5th month after your tax year ends. Calendar-year organizations have a May 15 deadline. If that date falls on a weekend or federal holiday, the due date shifts to the next business day.14Internal Revenue Service. Return Due Dates for Exempt Organizations: Annual Return
To buy more time, file Form 8868 before the original deadline for an automatic six-month extension. No explanation is required.15Internal Revenue Service. Instructions for Form 8868 For a calendar-year filer, the extended deadline is November 15.14Internal Revenue Service. Return Due Dates for Exempt Organizations: Annual Return
After the IRS Accepts Your Return
Watch your provider’s dashboard for an acceptance or rejection notice. A rejection identifies the specific problem, often a mismatched EIN or a missing required field. Correct and resubmit promptly so you do not run past the deadline.
If you find an error after acceptance, you can file an amended 990-EZ. Use the form for the tax year you are correcting, check the “Amended return” box in Item B, and complete the entire form with corrected information. On Schedule O, identify which parts and schedules changed and describe the corrections.5Internal Revenue Service. 2025 Instructions for Form 990-EZ
Federal law also requires you to make the filed return available for public inspection. Anyone who requests it, in person or in writing, is entitled to see it. You must keep it available for three years, starting from the due date of the return including extensions or the date actually filed, whichever is later.16Internal Revenue Service. Public Disclosure and Availability of Exempt Organizations Returns and Applications: Documents Subject to Public Disclosure Posting the return on your website or through a service like GuideStar satisfies the requirement and reduces the administrative work of individual requests.
What Happens If You File Late or Not at All
Late filing carries daily penalties. For organizations with gross receipts under $1,208,500, the penalty is $20 per day, capped at the lesser of $12,000 or 5 percent of gross receipts. Larger organizations face $120 per day, capped at $60,000.17Internal Revenue Service. Filing Procedures: Late Filing of Annual Returns
The bigger risk is automatic revocation. If your organization fails to file a required return or notice for three consecutive years, the IRS automatically revokes tax-exempt status, effective on the due date of the third missed return.18Internal Revenue Service. Automatic Revocation of Exemption Once revoked, your organization is no longer exempt from federal income tax, cannot receive tax-deductible contributions, and lands on a public revocation list. Getting reinstated requires a new exemption application and the applicable user fee.19Internal Revenue Service.
