To file a W-2c, complete Form W-2c with the previously reported figures alongside the corrected ones, submit it to the Social Security Administration either electronically through Business Services Online or on paper with a Form W-3c cover sheet, give the employee their corrected copies, and file an amended employment tax return if the correction changed wage or tax totals you already reported to the IRS. That is the full arc of how to file a W-2c, and the sections below walk through each step and the deadlines and penalties that sit behind them.
When You Need to File a W-2c
A W-2c is required any time a W-2 you already filed contains incorrect information, whether that is the employee’s name, Social Security number, or any dollar figure in the wage and tax boxes.1Internal Revenue Service. About Form W-2 C, Corrected Wage and Tax Statements The SSA uses these filings to keep each worker’s lifetime earnings record accurate, which feeds directly into retirement and disability benefit calculations.2Social Security Administration. Social Security Credits and Benefit Eligibility
One boundary worth knowing before you start. Under the de minimis error safe harbor, you will not face penalties for an incorrect dollar amount if the difference is $100 or less, or $25 or less for tax withholding.3Federal Register. De Minimis Error Safe Harbor Exceptions to Penalties for Failure To File Correct Information Returns or Furnish Correct Payee Statements If the employee asks for a corrected form, though, you must provide one no matter how small the discrepancy. And the safe harbor only shields you from penalties. The underlying data is still wrong, so filing a W-2c is still the right move when you know an amount is off.
Completing Form W-2c
Form W-2c uses a two-column layout. For each box you are fixing, enter the amount “previously reported” next to the “correct information.” Leave any boxes you are not correcting blank.4Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) Have your Employer Identification Number, the tax year of the original W-2, and the employee’s name and SSN exactly as they appeared on the incorrect form before you begin.
Name or Social Security Number Only
If the only error is the employee’s name or SSN, complete boxes d through i (the identification section) and leave boxes 1 through 20 blank.4Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) Ask the employee to correct the SSN or name on their copy of the original W-2 for their own records.
Wage and Tax Amounts
When dollar amounts are wrong, enter the originally reported figure in the “Previously reported” column and the correct figure in “Correct information” for each affected box. Box 2 (federal income tax withheld) has a trap. The IRS limits Box 2 corrections to administrative errors, meaning the amount you entered on the original W-2 was not what you actually withheld. You cannot use a W-2c to change withholding after the fact because you later decided more should have come out of the employee’s pay.4Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026)
Box 13 Checkboxes
The form also lets you correct the Box 13 checkboxes for statutory employee status, retirement plan participation, and third-party sick pay, with the same “previously reported” and “correct information” split.5Internal Revenue Service. Form W-2c (Rev. January 2026) The retirement plan box matters more than it looks: an incorrect check can affect the employee’s ability to deduct traditional IRA contributions.
Filing Electronically Through Business Services Online
The SSA’s Business Services Online (BSO) portal handles electronic W-2c filings. If you have not signed in recently, the login has changed. Old BSO user IDs and passwords no longer work for employer services. You need a Login.gov account or an ID.me credential.6Social Security Administration. Business Services Online (BSO)
Once inside, you have two paths. The W-2c Online tool lets you key in corrected data for up to 25 forms per submission, with a limit of 50 saved but unsubmitted reports at any one time.7Social Security Administration. Electronic W-2 Filing User Handbook That is enough for most small employers correcting a handful of forms. Larger filers can upload a formatted data file that meets the SSA’s electronic filing specifications, which handles bulk corrections without manual entry.
Before you submit an upload, run it through AccuWage Online. AccuWage checks W-2 and W-2c files against SSA formatting requirements and returns a report you can use to fix errors, and you can retest as many times as needed.8Social Security Administration. AccuWage Online 2025 Help Guide It is a formatting check, not a content check, so it will not catch a wrong name-to-SSN pairing. After a successful submission, BSO generates a receipt and tracking number. Save both as proof of timely filing.
Filing on Paper
For paper filings, place Form W-3c on top of the stack of W-2c forms it covers. Form W-3c is the transmittal that totals the previously reported and corrected amounts across the batch, and it is required with paper submissions even if you are only sending one W-2c or the only correction is a name or SSN change. Electronic filers do not submit a separate W-3c.9Internal Revenue Service. Form W-3c (Rev. June 2024) Transmittal of Corrected Wage and Tax Statements File a separate W-3c for each tax year you are correcting.
Send the package to the SSA’s Direct Operations Center in Wilkes-Barre, Pennsylvania. The address depends on carrier:10Social Security Administration. Paper Forms W-2 and Instructions
- U.S. Postal Service: Social Security Administration, Direct Operations Center, P.O. Box 3333, Wilkes-Barre, PA 18767-3333.
- Private delivery (FedEx, UPS, certified mail): Social Security Administration, Direct Operations Center, Attn: W-2c Process, 1150 E. Mountain Drive, Wilkes-Barre, PA 18702-7997.
Use a trackable method so you have a delivery record. Do not fold or staple the forms. The SSA runs them through high-speed scanners, and creases or staple holes cause processing problems. Keep Copy D of each W-2c and your W-3c for your records.
Amending Your Employment Tax Return
This is the step most employers forget. When a W-2c changes wage or tax amounts, the corrected totals need to match what the IRS has on file for the same period on your quarterly or annual employment tax return. If they do not, file the corresponding amended return.11Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) Which one depends on what you originally filed:
- Form 941-X corrects the quarterly Form 941, which most employers file.
- Form 943-X corrects the annual Form 943 for agricultural employers.
- Form 944-X corrects the annual Form 944 for small employers.
- Form CT-1X corrects the annual railroad retirement tax return.
On Form 941-X, you must check a box certifying that you have filed (or will file) the corresponding W-2c forms with the SSA. That box has to be checked even if the 941-X corrections do not change the amounts on the employee W-2c forms.12Internal Revenue Service. Instructions for Form 941-X The IRS cross-references the two filings, so submitting one without the other reliably generates a notice.
Getting Corrected Copies to the Employee
After filing with the SSA, give the employee their W-2c copies as soon as you can.13Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing They need Copies B and C to reconcile their records and, when the change affects their reported income or tax, file an amended personal return on Form 1040-X.5Internal Revenue Service. Form W-2c (Rev. January 2026) You can deliver electronically through a secure portal or by mail, but electronic delivery typically requires prior employee consent. Check whether your state or local tax authority also wants a copy; many do.
If a mailed W-2c comes back undeliverable, keep the undelivered copies for four years, or maintain the ability to reproduce the form electronically through April 15 of the fourth year after the tax year. Do not forward undeliverable employee copies to the SSA.4Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026)
Timing and Penalties
There is no fixed calendar deadline for a W-2c. The SSA says to file “as soon as possible” after finding the error and to get the employee copy out on the same timeline.13Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing The IRS penalty schedule is what gives that phrase teeth. For 2026 filings, the tiers are:14Internal Revenue Service. Information Return Penalties
- Corrected within 30 days of the original due date: $60 per form.
- Corrected after 30 days but by August 1: $130 per form.
- Corrected after August 1 or never filed: $340 per form.
- Intentional disregard: $680 per form.
These penalties apply separately for failing to file a correct return with the SSA and for failing to furnish a correct statement to the employee, so exposure on the same error can effectively double. Annual caps limit total liability, with smaller businesses facing lower caps and larger ones facing caps roughly three times higher.11Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) Move quickly and the cost stays in the lowest tier.
