How to File 1099-NEC Electronically with the IRS

To file Form 1099-NEC electronically with the IRS, collect a completed Form W-9 from each contractor, apply for a Transmitter Control Code, and submit your returns through either the Information Returns Intake System (IRIS) or the Filing Information Returns Electronically (FIRE) system by January 31. If you file 10 or more information returns of any type in the calendar year, electronic filing is mandatory.1Internal Revenue Service. General Instructions for Certain Information Returns (2025)

Are You Required to E-File

Treasury Decision 9972, effective for returns filed on or after January 1, 2024, lowered the mandatory electronic filing threshold from 250 returns to 10. The count is not limited to 1099-NEC forms. Add up every information return you file during the calendar year, including Forms 1099-MISC, 1099-INT, 1098, W-2, and others. If the combined total reaches 10, every return in that batch must be filed electronically.1Internal Revenue Service. General Instructions for Certain Information Returns (2025) Four Forms 1098 and six Forms 1099-NEC, for instance, put you at the threshold.

Below 10 returns, paper filing remains permitted, but you can still choose to e-file. The electronic route is faster, produces an instant confirmation, and avoids mail delays.

What to Gather Before You File

Every 1099-NEC starts with a completed Form W-9 from the contractor. The W-9 provides the recipient’s legal name, business name if different, mailing address, and Taxpayer Identification Number.2Internal Revenue Service. About Form W-9, Request for Taxpayer Identification Number and Certification The TIN is a Social Security Number for an individual or an Employer Identification Number for a business entity. Request the W-9 when you first engage the contractor, not in January.

You will also need your own business name, address, and federal EIN. For each contractor, the central figure is Box 1: total nonemployee compensation paid during the year. Before submitting, run each contractor’s name-and-TIN combination through the IRS’s free TIN Matching service. It works one record at a time or in bulk.4Internal Revenue Service. One reporting note worth confirming as you compile totals: payments made by credit card, debit card, or through a third-party network such as PayPal or Venmo do not go on the 1099-NEC. Choose Your Portal: IRIS or FIRE

The IRS operates two electronic filing systems for information returns. Both require a Transmitter Control Code (TCC), and each system uses its own TCC. Applications can take up to 45 days, so start the process well before January.6Internal Revenue Service. E-File Information Returns

IRIS is the newer system and is designed for direct use through a web-based Taxpayer Portal. You can key returns in manually or upload a CSV file with up to 100 records per file, with no cap on the number of files. FIRE is the older system. It has no manual-entry interface; you upload a data file formatted to the specifications in IRS Publication 1220, which generally means using software that produces that file.8Internal Revenue Service. Filing Information Returns Electronically (FIRE)

The IRS has announced that FIRE will be retired after filing season 2027, covering tax year 2026 returns, leaving IRIS as the sole intake system.8Internal Revenue Service. Filing Information Returns Electronically (FIRE) The IRS recommends that current FIRE users transition to IRIS now, and new filers should start with IRIS directly.

Filing Through the IRIS Taxpayer Portal

For most small and mid-sized businesses, IRIS is the simplest path. Sign in at IRS.gov/IRIS using your credentials. From there you have two choices: type each return into the portal by hand, or upload a CSV file of up to 100 records. If you have more than 100 contractors, upload multiple files.7Internal Revenue Service. E-File Information Returns With IRIS

Once your data is entered or uploaded, review the summary screen. Confirm each contractor’s TIN, legal name, and Box 1 amount against your records. Digitally sign and submit the batch. The portal returns a confirmation number. Save it. That number is your proof of timely filing.

Filing Through the FIRE System

If your accounting software or a service provider already generates files formatted to Publication 1220, FIRE remains a working option. Log in at the FIRE portal, choose the upload option, and transmit the formatted file. The system processes the file and returns an acknowledgment.8Internal Revenue Service. Treat FIRE as transitional. Building a new FIRE workflow now means replacing it within a year.

After You Submit: Statuses and Corrections

Once your batch is transmitted, watch the status in the portal. “Accepted” means the IRS received the data and found no formatting problems. “Accepted with Errors” means most returns processed but specific records were flagged, typically for mismatched TINs or missing fields. Those individual records must be reviewed and corrected.

If you find an error after a return has been accepted, whether a wrong payment amount, an incorrect TIN, or a name that needs updating, you can file the correction electronically through the IRIS Taxpayer Portal. Corrections have to be entered manually through the portal interface; the CSV upload is not available for them.7Internal Revenue Service. The January 31 Deadline

Form 1099-NEC has a single, firm deadline: January 31 of the year following the tax year. That date applies to both the IRS copy and Copy B furnished to each recipient, whether you file on paper or electronically.9Internal Revenue Service. Information Return Reporting If January 31 falls on a weekend or legal holiday, the deadline moves to the next business day.

Unlike most other information returns, the 1099-NEC does not qualify for an automatic 30-day extension. To get more time you must file Form 8809 and show a specific hardship; a general request will not be granted.10Internal Revenue Service. State Filing

Filing with the IRS does not automatically satisfy state reporting. Many states require their own copy of the 1099-NEC. The IRS Combined Federal/State Filing (CFSF) Program forwards electronically filed data to participating states, which can spare you a separate state submission.11Internal Revenue Service. If you withheld state income tax from a contractor’s payments, report the withheld amount in Box 5 and the state information in Boxes 6 and 7.3Internal Revenue Service. Instructions for Forms 1099-MISC and 1099-NEC Check your state tax department’s website to confirm whether CFSF coverage is sufficient or a direct filing is still required.

Penalties for Late or Incorrect Filing

The IRS charges separate penalties for each information return filed late or incorrectly and for each payee statement furnished late or incorrectly. For returns due in 2026, the per-form amounts are:12Internal Revenue Service. Information Return Penalties

  • Filed up to 30 days late: $60 per form
  • Filed 31 days late through August 1: $130 per form
  • Filed after August 1 or not filed at all: $340 per form
  • Intentional disregard: $680 per form, with no maximum annual cap

The numbers accumulate quickly across a contractor roster. A business that misses the deadline for 50 forms faces at least $3,000 even if it corrects the problem within 30 days. Verifying TINs before submission and filing through IRIS well ahead of January 31 are the most effective ways to keep these charges off the books.
