How to File 1040 Electronically: Steps, Deadlines, and Payment

To file a Form 1040 electronically, gather your income documents and last year’s Adjusted Gross Income, choose an IRS-approved filing option, enter your information, sign with a five-digit PIN, and transmit before the April 15 deadline. For the 2026 filing season, the IRS began accepting e-filed returns on January 26, 2026, and returns are due April 15, 2026.1Internal Revenue Service. IRS Opens 2026 Filing Season The rest of this guide walks through each step in order.

What to Gather Before You Start

Missing paperwork is the fastest way to get stuck halfway through. Pull everything together first.

Every person on the return, including your spouse and each dependent, needs a Social Security Number or Individual Taxpayer Identification Number.2Internal Revenue Service. Individual Taxpayer Identification Number (ITIN) Check each name and number against the Social Security card. Mismatches are one of the most common reasons the IRS rejects an e-filed return.

For income, collect W-2s from every employer and any 1099s reporting interest, dividends, freelance income, retirement distributions, unemployment compensation, or other earnings. If you sold investments or earned rental income, have those statements ready too.

Prior-Year AGI

When you e-file, the IRS verifies your identity by asking for your prior-year Adjusted Gross Income. If the number you enter doesn’t match its records, the return is rejected. You’ll find your prior-year AGI on line 11 of last year’s Form 1040.3Internal Revenue Service. Validating Your Electronically Filed Tax Return

Don’t have last year’s return? Log into your IRS online account to view it, request a transcript by mail (5 to 10 business days), or call the automated transcript line at 800-908-9946. First-time filers over age 16 enter zero as their prior-year AGI, and the same applies if last year’s return is still being processed.3Internal Revenue Service. Identity Protection PIN

If the IRS has assigned you an Identity Protection PIN, you must enter it or the return will be rejected. The IRS sends a new six-digit IP PIN each year, typically by mail in a CP01A notice, to identity-theft victims, taxpayers flagged as possible victims, and anyone who opted into the program.4Internal Revenue Service. Frequently Asked Questions About the Identity Protection Personal Identification Number (IP PIN) Lost it? Retrieve it through the IRS’s Get an IP PIN tool.

Pick a Way to File

You have several IRS-approved paths, and the right one depends on your income and how complicated your return is.

IRS Direct File

The IRS’s own free tool, Direct File, is available for the 2026 season to taxpayers in 36 states with an AGI of $89,000 or less, and to active-duty military at any income level.5Internal Revenue Service. E-file: Do Your Taxes for Free It handles straightforward returns well but doesn’t cover every situation. Rental income, significant self-employment, or itemized deductions push you elsewhere.

IRS Free File

Free File is a partnership between the IRS and private software companies. If your 2025 AGI was $89,000 or less, you can prepare and e-file your federal return using brand-name software at no charge.6Internal Revenue Service. 2026 Tax Filing Season Opens With Several Free Filing Options Available Each participating company adds its own eligibility rules around age, state, or military status. State returns may cost extra.

VITA and TCE Volunteers

Volunteer Income Tax Assistance (VITA) sites prepare returns for free for taxpayers earning about $69,000 or less, people with disabilities, and those with limited English proficiency. Tax Counseling for the Elderly (TCE) serves anyone 60 or older, with a focus on retirement questions.7Internal Revenue Service. Free Tax Return Preparation for Qualifying Taxpayers Use the VITA locator on irs.gov to find a nearby site.

Commercial Software

If you’re over the free-file thresholds, or your return involves a business, investments, or rentals, commercial products like TurboTax, H&R Block, and TaxAct guide you through with interview-style questions. Costs generally start around $50 for simple returns and climb into the hundreds for complex ones, with state returns priced separately.

Authorized E-File Providers

CPAs, enrolled agents, and other tax professionals can e-file for you after being approved as authorized e-file providers, which requires background and tax-compliance checks and an Electronic Filing Identification Number.8Internal Revenue Service. Become an Authorized E-File Provider Fees vary by complexity and location.

Enter and Review Your Information

Whichever platform you choose, the flow is the same. You transfer numbers from your W-2s and 1099s into the corresponding fields. Most software auto-maps them: enter box 1 of your W-2 and it lands on the correct line of Form 1040.

After income, you’ll choose between the standard deduction and itemizing. For most filers, the standard deduction is larger and simpler. The software then computes your tax, applies credits, and shows whether you owe or are due a refund. Getting a refund? Enter your bank’s routing and account numbers for direct deposit. That’s the fastest way to receive the money.9Internal Revenue Service. Direct Deposit Fastest Way to Receive Federal Tax Refund

Before you transmit, check every entry against your source documents. Software catches math errors, but it can’t tell if you typed $54,000 when your W-2 said $45,000. Mismatches with what your employer reported to the IRS lead to notices and delays.

Sign and Transmit

Your signature is a five-digit Self-Select PIN, which can be any five numbers except all zeros. Both spouses need their own PIN on a joint return.10Internal Revenue Service. Self-Select PIN Method for Forms 1040 and 4868 Modernized E-File (MeF) Entering it carries the same legal weight as a handwritten signature. You’re declaring under penalty of perjury that the return is true and correct, and willfully filing a return you know to be false is a felony.11Office of the Law Revision Counsel. 26 U.S. Code 7206 – Fraud and False Statements Honest mistakes aren’t prosecuted under that statute.

Once you enter your PIN and hit transmit, your return travels through encrypted servers to the IRS. A confirmation screen with a submission ID appears. Save or screenshot it.

Pay a Balance

If you owe, the payment method you choose can cost you real money.

IRS Direct Pay transfers funds from your checking or savings account to the IRS at no cost, no IRS account required.12Internal Revenue Service. Direct Pay With Bank Account You can schedule the payment for a future date up to the deadline and modify or cancel it until two business days before it processes. The Electronic Federal Tax Payment System (EFTPS) is also free but requires advance enrollment.

Credit and debit card payments go through IRS-approved third-party processors that charge a fee. For personal credit cards, the fee runs 1.75% to 1.85% of the payment (with a $2.50 minimum), so a $5,000 balance costs roughly $88 to $93 extra.13Internal Revenue Service. Pay Your Taxes by Debit or Credit Card or Digital Wallet Direct Pay is almost always cheaper.

If You Can’t Pay in Full

Owing more than you can pay isn’t a reason to skip filing. The IRS offers short-term plans of up to 180 days with no setup fee, and long-term installment agreements with an online setup fee of $22 for automatic withdrawals or $69 for other payment methods. Low-income taxpayers can have the setup fee waived. To apply online, you must owe $50,000 or less in combined tax, penalties, and interest for a long-term plan, or less than $100,000 for a short-term plan.14Internal Revenue Service. Payment Plans; Installment Agreements Interest and the late-payment penalty still accrue on the unpaid balance, but filing on time and requesting a plan reduces the total cost significantly.

Track the Return and Refund

The IRS sends an acknowledgment showing whether your return was accepted or rejected. You can check refund status through the “Where’s My Refund?” tool within 24 hours of submission using your Social Security number, filing status, and exact refund amount.15Internal Revenue Service. Refunds The IRS2Go app offers the same lookup.

Most e-filed refunds arrive in fewer than 21 days when paired with direct deposit. Paper returns take six weeks or more before the IRS even begins researching status.16Internal Revenue Service. Why It May Take Longer Than 21 Days for Some Taxpayers to Receive Their Federal Refund Some returns take longer regardless of format. If you claim the Earned Income Tax Credit or the Additional Child Tax Credit, the IRS is required by law to hold your refund until mid-February.

Deadlines, Extensions, and Late Penalties

The federal filing deadline for the 2026 season is April 15, 2026.1Internal Revenue Service. IRS Opens 2026 Filing Season Need more time? You can request an automatic six-month extension that pushes the filing deadline to October 15. File the extension through IRS Free File, or simply make a payment and check the box indicating it’s for an extension.17Internal Revenue Service. Get an Extension to File Your Tax Return

An extension gives you more time to file, not more time to pay. Taxes are still due April 15. Filing late without an extension triggers a penalty of 5% of the unpaid tax per month, up to 25%.18Internal Revenue Service. Failure to File Penalty Filing on time but not paying triggers a separate 0.5% per month failure-to-pay penalty on the unpaid balance, also capped at 25%.19Internal Revenue Service. Topic No. 653, IRS Notices and Bills, Penalties and Interest Charges Filing on time and paying what you can is always cheaper than doing nothing.

Fixing Rejections and Amending Returns

Rejections usually come from a mismatched name and SSN, an incorrect prior-year AGI, or a dependent already claimed on someone else’s return. You’ll receive an error code explaining the problem. Most fixes are quick: correct the entry and retransmit. If your return was originally submitted before April 15 and gets rejected, you have a five-day grace period to correct and resubmit while still being treated as timely filed.

If you can’t resolve the rejection electronically, such as when someone has fraudulently claimed your dependent, you’ll need to print and mail the return with an explanation. Manual processing takes considerably longer.

Found a mistake after the IRS accepted your return? File Form 1040-X. Most tax software supports e-filing an amended return for tax years 2021 and later, and if the amendment produces a refund you can request direct deposit. You’re allowed up to three amended returns for the same tax year.20Internal Revenue Service. File an Amended Return Amendments often take 16 weeks or more to process, so don’t file one for typos or minor math errors; the IRS corrects those automatically. Save amendments for real changes to income, deductions, or credits.
