How to E-File Your Taxes: Steps, Refunds, and Rejections

To e-file your taxes, you gather your identification and income documents, enter the numbers into IRS-approved tax software, sign the return digitally, and transmit it to the IRS through a secure connection. For the 2026 filing season, the system accepts returns for tax year 2025 and the two prior years (2024 and 2023), and refunds on clean e-filed returns typically arrive within about three weeks.

What to Gather Before You Start

Pull together the full legal name, date of birth, and Social Security number for everyone on the return. The IRS uses Social Security numbers as its primary taxpayer identifier, and a single mistyped digit will bounce your return back immediately.1Office of the Law Revision Counsel. 26 USC 6109 – Identifying Numbers

Know your filing status. The IRS recognizes five: single, married filing jointly, married filing separately, head of household, and qualifying surviving spouse. That choice sets your standard deduction and tax bracket, so it changes the entire return.2Internal Revenue Service. Filing Status For tax year 2026, the standard deduction runs from $16,100 for single filers to $32,200 for married couples filing jointly, with head of household at $24,150.3Internal Revenue Service. Then the income paperwork. Employers must send W-2 forms by January 31, and most 1099 forms from banks, brokerages, and clients follow the same deadline.4Social Security Administration. Deadline Dates to File W-2s If you sold goods or services through a payment app or online marketplace and received more than $20,000 across more than 200 transactions, expect a Form 1099-K too.5Internal Revenue Service. IRS Issues FAQs on Form 1099-K Threshold Under the One Big Beautiful Bill The IRS gets copies of these same forms and runs automated matching, so the numbers on your return need to line up exactly with what your payers reported.

Finally, you need a way to authenticate your e-signature. Most software asks for your prior-year Adjusted Gross Income, which sits on line 11 of last year’s Form 1040.6Internal Revenue Service. Definition of Adjusted Gross Income If you can’t find last year’s return, use an Identity Protection PIN from the IRS. Anyone with a Social Security number can request an IP PIN through their IRS online account, even without a history of identity theft.7Internal Revenue Service. Pick the Software You’ll File Through

For the 2026 filing season, if your AGI is $89,000 or less you can use IRS Free File, which offers brand-name tax software at no cost for the federal return.8Internal Revenue Service. 2026 Tax Filing Season Opens With Several Free Filing Options Available Each Free File partner sets its own eligibility rules on age, income, and state, so compare a few offers.

IRS Direct File, which let eligible taxpayers submit returns directly through IRS.gov, is not available this filing season. The Treasury Department ended the program in late 2025, so anyone who used it before needs to move to Free File or commercial software.

Commercial software is the main option above the Free File income threshold, and it also handles more complex situations like rental property, business depreciation, or foreign tax credits. Prices vary and most providers charge extra for the state return. Some states run their own free e-filing portals through the state revenue department, which can save that fee.

You can also file through an enrolled agent, CPA, or other paid preparer using professional software. The preparer transmits the return, but you still sign it and you remain responsible for what’s on it.

Enter Your Income, Deductions, and Credits

Most software uses an interview format: it asks questions and drops your answers into the right lines. Transcribe W-2 and 1099 numbers exactly as they appear. Box 1 of a W-2 is your federal taxable wages; Box 2 is federal income tax withheld. Confirm that the Employer Identification Number on your W-2 matches what the software pulls up, because a mismatch delays processing.

Some programs can import W-2 and 1099 data automatically using document ID numbers, which cuts down on typos. Compare the imported figures against your own copies anyway. Automated import occasionally grabs the wrong employer or misses state withholding.

The software then walks you through deductions and credits. If your itemized deductions don’t beat the standard deduction for your filing status, it will default to the standard deduction, and for most filers that’s the right choice.

Sign, Transmit, and Save the Confirmation

When the entries are done, the software runs a final review looking for missing Social Security numbers, incomplete schedules, math errors, and inconsistencies between forms. Fix everything it flags.

Then you apply a digital signature. It carries the same legal weight as an ink signature on paper, and by signing you affirm under penalty of perjury that the return is true and correct.9Internal Revenue Service. 10.10.1 IRS Electronic Signature (e-Signature) Program The software authenticates you with either your prior-year AGI or your IP PIN, encrypts the return, and transmits it.

The upload takes seconds. The IRS sends back a confirmation number or submission ID. Save that receipt along with a PDF of the completed return. The confirmation is your proof of timely filing if there’s ever a question about whether you met the April 15 deadline.10Internal Revenue Service. When to File

If You Owe a Balance

When the return shows tax due, choose a payment method during or right after submission. The cleanest options are IRS Direct Pay, which debits a checking or savings account for free, and the Electronic Federal Tax Payment System (EFTPS), which requires enrollment and handles payments up to any amount.11Internal Revenue Service. Payments Direct Pay caps individual transactions at $10 million, which is more than enough for individual filers.12Internal Revenue Service. Direct Pay With Bank Account

Credit and debit card payments go through IRS-authorized processors, but they charge convenience fees of 1.75% to 2.95%, with a $2.50 minimum.13Internal Revenue Service. Pay Your Taxes by Debit or Credit Card or Digital Wallet On a $5,000 balance that’s roughly $90 to $150. Unless card rewards outweigh the fee, pay from a bank account.

Missing the deadline triggers two separate penalties. The failure-to-file penalty is 5% of unpaid tax per month, capped at 25%.14Internal Revenue Service. Failure to File Penalty The failure-to-pay penalty is 0.5% per month on the unpaid balance, also capped at 25%.15Internal Revenue Service. Topic No. 653, IRS Notices and Bills, Penalties and Interest Charges On top of both, the IRS charges interest on unpaid balances at 7% annually as of early 2026, compounded daily.16Internal Revenue Service. Quarterly Interest Rates If you can’t pay in full, file on time anyway. The failure-to-file penalty is ten times the failure-to-pay penalty.

Getting Your Refund

Direct deposit is faster and safer than a paper check. Enter your bank routing and account numbers during filing, and most refunds arrive within about three weeks of e-filing.17Internal Revenue Service. Refunds

New for 2026: if you file without bank account information, the IRS freezes the refund until you provide direct deposit details or specifically request a paper check. The agency sends a CP53E notice explaining how to respond through your online account. You generally have 30 days to act; after six weeks with no response, a paper check goes out.18Taxpayer Advocate Service (TAS). Direct Deposit Changes for 2026 Could Affect How and When You Get Your Refund The IRS also caps direct deposits at three refunds per bank account per year. Anything past the third converts to a mailed check automatically.19Internal Revenue Service. Direct Deposit Limits

Claiming the Earned Income Tax Credit or Additional Child Tax Credit means a longer wait. Federal law makes the IRS hold these refunds until mid-February even when you file in January. Most early filers who chose direct deposit and have no other issues see EITC or ACTC refunds by early March.20Internal Revenue Service. Tracking the Refund

Refund status becomes available about 24 hours after you e-file. Use either the Where’s My Refund? page on IRS.gov or the IRS2Go app. Both ask for your Social Security number, filing status, and the exact whole-dollar refund amount from your return.17Internal Revenue Service. Refunds Common causes of longer waits include math errors, certain credit claims, incomplete information, and identity verification holds.21Internal Revenue Service. If the IRS Rejects Your Return

A rejection is not an audit. It happens during initial processing and usually flags something the IRS systems catch instantly: a Social Security number that doesn’t match the name on file, a dependent already claimed on another return, or a missing prior-year AGI for identity verification.

The rejection notice with an error code typically arrives within 48 hours. Open your software, look up the code, correct the specific issue, and retransmit. Most software lets you fix and resend without re-entering the whole return. If you can’t resolve it electronically, you have 10 calendar days from the rejection date to mail a paper return and still have it treated as timely.22Internal Revenue Service. Age, Name, SSN Rejects, Errors, Correction Procedures That 10-day window matters most when a rejection lands right around April 15.

If You Need More Time

Can’t finish by April 15? File Form 4868 electronically through your tax software or Free File for an automatic six-month extension, moving the filing deadline to October 15, 2026, for most calendar-year filers.23Internal Revenue Service. Due Dates and Extension Dates for E-File

A useful shortcut: an electronic tax payment through Direct Pay or EFTPS by April 15 is treated as an extension request automatically, with no separate Form 4868 needed.24Internal Revenue Service. Form 4868, Application for Automatic Extension of Time to File US Individual Income Tax Return

The point that trips people up: an extension to file is not an extension to pay. Any tax due is still owed by April 15, and interest runs from that date even though the return isn’t due until October.25Internal Revenue Service. Topic No. 304, Extensions of Time to File Your Tax Return If you expect to owe, estimate the amount and pay as much as you can with the extension to reduce penalties and interest.

Fixing a Return After It’s Accepted

Spot an error after acceptance? File Form 1040-X electronically through most major tax software, submitting a full corrected version of the original return along with any schedules that changed.26Internal Revenue Service. File an Amended Return

You can file up to three amended returns for the same tax year. E-filed amendments generally take 8 to 12 weeks to process, though some take up to 16.27Internal Revenue Service. Form 1040-X, Amended US Individual Income Tax Return Frequently Asked Questions Track the status through the Where’s My Amended Return? tool on IRS.gov starting about three weeks after submission. Don’t amend for simple math errors; the IRS corrects those automatically during processing.

Prior-Year and State Returns

The IRS e-file system takes the current tax year and the two prior years. In 2026 that means you can electronically file for 2025, 2024, and 2023.28Internal Revenue Service. Benefits of Modernized e-File (MeF) Anything older goes on paper. Prior-year extension requests on Form 4868 also can’t be e-filed, so a late extension for an older year has to be mailed.

If your state has an income tax, you likely need a state return too. Most commercial tax software handles it alongside the federal return, though many charge a separate state e-filing fee. Before paying, check whether your state revenue department runs a free direct e-filing portal. Several do, and filing through the state’s own site costs nothing.
