If a box on your W-2 is wrong, the fix starts with your employer: they issue Form W-2c, the Corrected Wage and Tax Statement, showing the original figure next to the corrected one. That is how to correct a W-2 with Form W-2c. If the corrected numbers change what you owed or were refunded, you then file Form 1040-X to amend your federal return.
Check the W-2 Against Your Own Records First
Employers must send W-2s by January 31.1Social Security Administration. Deadline Dates to File W-2s When yours arrives, compare every box to your final year-end pay stub and your deposit records. The errors that turn up most often are a wrong Social Security number, a misspelled name, wrong wages in Box 1, and federal withholding in Box 2 that doesn’t match what came out of your paychecks. Boxes 3 and 5, Social Security and Medicare wages, come off the same gross pay figures, so a mistake in one usually shows up in the other.2Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3
Federal law requires your employer to give you a written statement of wages paid and taxes withheld for the year.3Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees If a box looks wrong, contact payroll or HR right away. Early flags get faster fixes, and your employer has its own reasons to move quickly: filing an incorrect information return carries a per-return penalty that climbs the longer the correction sits.4Internal Revenue Service. 20.1.7 Information Return Penalties
How Your Employer Issues Form W-2c
Once the discrepancy is confirmed, your employer prepares Form W-2c to correct the original filing.5Internal Revenue Service. About Form W-2 C, Corrected Wage and Tax Statements The form shows the previously reported amount next to the corrected amount in each box that changed, so both you and the government can see exactly what moved.2Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3 Give payroll documented proof of the error, such as your final pay stub or your deposit records, so the revised numbers are right the first time.
Your employer files the W-2c with the Social Security Administration rather than sending it directly to the IRS. The SSA shares wage data with the IRS, so the correction reaches both agencies. A Form W-3c transmittal must accompany every W-2c, even when the only change is a name or Social Security number.6Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing
If Your Employer Won’t Cooperate
Some employers stall. If yours has not corrected your W-2 by the end of February, call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center. Have your name, address, Social Security number, dates of employment, and your employer’s contact information ready.7Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
The IRS will send your employer a letter within 10 days asking for a corrected W-2. At the same time, the IRS sends you Form 4852, a substitute for Form W-2 that lets you file your return using the best estimates you can make from your pay records. Filing with an estimate can slow your refund while the IRS verifies the numbers, and if the corrected W-2 eventually arrives with different figures, you will need to file Form 1040-X to reconcile.8Internal Revenue Service. When a W-2c Means You Need to Amend
Not every W-2c triggers an amended return. If the correction only fixes your name or Social Security number and every dollar figure stays the same, your original return’s math still holds and you do nothing further. You need Form 1040-X when the W-2c changes a dollar amount that affects your tax: wages, federal withholding, or Social Security and Medicare figures.
Simple arithmetic mistakes and a missing schedule are not reasons to amend either. The IRS catches math errors during processing and sends a notice with the corrected calculation.9Internal Revenue Service. When a Taxpayer Should File an Amended Federal Tax Return An amendment is for situations where the underlying data was wrong, which is exactly what a W-2c is telling you.
Filling Out Form 1040-X
Form 1040-X uses three columns. Column A holds the amounts from your original return, Column B shows the net change up or down, and Column C shows the corrected amounts.10Internal Revenue Service. About Form 1040-X, Amended U.S. Individual Income Tax Return Pull out your original filed return before you start, because without those baseline figures Column A goes wrong and the rest of the math falls apart.
A change in wages almost always moves your adjusted gross income, and AGI touches a lot of other lines. A higher AGI can reduce your Earned Income Tax Credit, shrink allowable charitable deductions, or increase the taxable portion of Social Security benefits. A lower AGI can open up credits or deductions you didn’t originally qualify for. The 1040-X instructions list the items to recheck.11Internal Revenue Service. Instructions for Form 1040-X
If your W-2c raises your withholding, that usually means a larger refund. If it raises your wages without a matching bump in withholding, expect to owe more, and interest on that balance runs from the original due date of the return.
What to Attach and What to Explain
Part II of Form 1040-X asks why you’re amending. Be specific: “Received corrected Form W-2c from [employer name] showing higher wages in Box 1” is the level of detail the IRS wants.11Internal Revenue Service. Instructions for Form 1040-X Use a separate statement if you need more room.
Every form or schedule the change touches has to be attached, or the IRS sends the package back. For a W-2c correction, that means at minimum:
- A copy of the Form W-2c that triggered the amendment.
- For paper-filed amendments, a complete updated Form 1040 (or 1040-SR or 1040-NR) reflecting your corrected figures.
- Any schedule the wage change affects, such as a corrected Schedule A if your itemized deductions shift, or a corrected Form 8959 if your Additional Medicare Tax changes.11Internal Revenue Service. Instructions for Form 1040-X

Deadline to File the Amendment
You generally have three years from the date you filed the original return, or two years from the date you paid the tax, whichever is later.16Office of the Law Revision Counsel. 26 USC 6511 – Limitations on Credit or Refund If you filed before the due date, the IRS treats the return as filed on the due date for this purpose.17Internal Revenue Service. 18Internal Revenue Service. Time You Can Claim a Credit or Refund For most W-2c corrections, the three-year rule is what governs.
Interest if the Amendment Shows You Owe More
Interest on an underpayment runs from the original due date of the return, not from the date you file the amendment. The IRS compounds interest daily at the federal short-term rate plus three percentage points, and the rate adjusts every quarter. For 2026, the underpayment rate is 7% in Q1 and 6% in Q2.19Internal Revenue Service. Quarterly Interest Rates
If you already know a W-2c means you owe more, paying the estimated balance before the 1040-X finishes processing stops the interest from growing. You can pay through IRS Direct Pay or the Electronic Federal Tax Payment System and note that the payment is for an amended return.
Don’t Forget Your State Return
A W-2c that changes your federal return almost always affects your state return too, since most state returns build on federal adjusted gross income or federal taxable income. The IRS confirms that a federal change can affect state liability and directs you to your state tax agency for the correction procedure.20Internal Revenue Service. Topic No. 308, Amended Returns Each state has its own amended-return form and its own deadline, so check your state revenue department’s website once the federal 1040-X is on its way.
