How to Correct a W-2 Form Before and After Filing

To correct a W-2 form, start with your employer: they file Form W-2c (Corrected Wage and Tax Statement) with the Social Security Administration and give you a copy. If you had already filed your tax return before the correction arrived, you then use Form 1040-X to amend it. The whole process can stretch across several months, and a few deadlines along the way decide whether you keep a refund or owe interest.

Confirm the W-2 Is Actually Wrong

Before calling anyone, pull your last pay stub of the year and compare it line by line with the W-2. Box 1 (taxable wages) should equal your gross pay minus pre-tax items like 401(k) contributions, health insurance premiums, and HSA contributions.1Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3 Boxes 3 and 5 (Social Security and Medicare wages) include those retirement deferrals even though Box 1 does not, so a gap between Box 1 and Boxes 3 or 5 is usually normal.

Common mistakes are a misspelled name, a transposed Social Security number, incorrect withholding, or wages that don’t reflect a mid-year benefits change. If the year-end stub matches the W-2, the form is probably right even if the numbers surprise you.

Ask Your Employer to Issue a W-2c

Contact the payroll or HR department that issued the W-2. The IRS directs taxpayers to go to the employer first before doing anything else.2Internal Revenue Service. What to Do When a W-2 or Form 1099 Is Missing or Incorrect Be specific: give the box number, the amount shown, and the amount you believe is correct, backed by your pay stubs or bank records.

Name and Social Security number errors deserve extra urgency. If SSA can’t match the name and number on your W-2 to its records, those earnings won’t be credited to your lifetime work history, which can reduce your future Social Security benefits.3Social Security Administration. Questions Employers Ask for the Employer Correction Request Notice A dollar-amount error affects one tax return; a name or SSN error can follow you for decades.

The employer also files Form W-3c to transmit the corrected data to the SSA.5Social Security Administration. If Your Employer Won’t Cooperate

Some employers stall, go out of business, or simply refuse. If your W-2 still hasn’t been corrected by the end of February, call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center to file a formal complaint.6Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted Have this ready:

  • Your name, address, Social Security number, and the dates you worked for the employer.
  • The employer’s name, full address including ZIP code, and phone number.

The IRS will contact the employer and remind them of their filing obligations.7Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong

File on Time Even If the W-2c Hasn’t Arrived

If the filing deadline is closing in and you still don’t have a corrected W-2, file your return using Form 4852, Substitute for Form W-2.8Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement You’ll estimate wages and withholding from the best records you have: final pay stub, bank deposits, prior pay statements. Be as accurate as you can. The IRS will eventually compare your figures to whatever the employer reports.

If the W-2c later shows different numbers than what you put on Form 4852, file an amended return to reconcile them. Form 4852 keeps you compliant with the deadline; it isn’t a permanent fix.

Amend Your Return With Form 1040-X

If you already filed before the W-2c arrived, use Form 1040-X, Amended U.S. Individual Income Tax Return, to update the numbers. The form uses three columns: what you originally reported, the net change, and the corrected amount. Attach a copy of the W-2c (or Form 4852) to the front of the 1040-X.9Internal Revenue Service. Instructions for Form 1040-X (Rev. December 2025)

You can file Form 1040-X electronically through tax software to amend Form 1040, 1040-SR, or 1040-NR for the current or two prior tax years.10Internal Revenue Service. About Form 1040-X, Amended U.S. Individual Income Tax Return Paper is still allowed for any year, and it’s the only option for years older than two back.

The IRS generally processes amended returns in 8 to 12 weeks, though some run to 16 weeks.11Internal Revenue Service. Where’s My Amended Return? About three weeks after you submit, you can track it with the IRS “Where’s My Amended Return?” tool. To confirm the change actually posted, request a Record of Account Transcript; a standard tax return transcript won’t show changes made after the original return was processed.12Internal Revenue Service. If the Correction Means You Owe More

When the corrected W-2 raises your taxable income, pay the additional tax as quickly as possible. Interest runs from the original due date of the return, not from the date you file the amendment. For the first quarter of 2026, the IRS charges 7% annual interest on underpayments, and the rate is updated quarterly.13Internal Revenue Service. Quarterly Interest Rates

On top of interest, a failure-to-pay penalty of 0.5% of the unpaid tax accrues each month or part of a month, up to 25% total.14Internal Revenue Service. Failure to Pay Penalty Filing the 1040-X promptly and paying with it is the cheapest way to stop both from growing.

If the Correction Means a Refund, Watch the Statute

If the correction shows you overpaid, you’re owed a refund, but only if you file the amended return in time. The deadline is the later of three years from the date you filed the original return or two years from the date you paid the tax.15Internal Revenue Service. Time You Can Claim a Credit or Refund A return filed before the due date counts as filed on the due date for this rule, and withholding or estimated payments count as paid on the original due date.

Miss the window and the refund is gone for good, no matter how clean the W-2c is. This is where people lose real money: they finally track down a years-old W-2 error, get the W-2c, file the 1040-X, and then learn the refund statute has already run. Count the years before you put in the effort on an old one.

Don’t Overlook the State Return

A change to your federal return almost always changes your state income tax return. The IRS notes that a federal amendment may affect state liability and directs taxpayers to their state tax agency.16Internal Revenue Service. Topic No. 308, Amended Returns Most states with an income tax require a state amended return within a set window after a federal change, commonly 90 to 120 days. Forms and deadlines vary, so check your state tax agency’s site. Skip this step and you can end up with state penalties or a lost state refund.

Confirm Your Social Security Earnings Record Updated

Corrections flow through to the Social Security Administration, but it’s worth checking that your earnings record actually reflects the change. The benefits you and your family may eventually collect depend on the earnings shown in your SSA record, and missing or understated wages can mean lower monthly payments in retirement.17Social Security Administration. How to Correct Your Social Security Earnings Record

Create a “my Social Security” account at ssa.gov and review your earnings statement once enough time has passed for the W-2c to process. If the corrected wages still don’t appear, contact the SSA directly with your W-2c as proof. Resolution can take anywhere from 10 to 90 days depending on the issue. Catching this now is far easier than trying to reconstruct payroll records decades into retirement.
