When Your Update Is Due

- The last digit gives you the month. 1 is January, 2 is February, on through 9 for September. A 0 means October.
- The next-to-last digit gives you the year. Odd means you file in odd-numbered years (2025, 2027). Even means even-numbered years (2026, 2028).
A USDOT number ending in 54 is due by the last day of April in even years. One ending in 31 is due by the last day of January in odd years. What to Have Ready Before You File
The form is the Motor Carrier Identification Report, MCS-150. Before you start, pull together your legal business name, any DBA name, the physical address where your safety records are kept, your mailing address, phone, and email. You’ll need your Employer Identification Number. Sole proprietors without an EIN may use a Social Security number, though FMCSA encourages getting an EIN.4Federal Motor Carrier Safety Administration. On the operations side, be ready to report your carrier type, cargo classifications, number of commercial motor vehicles broken out by owned, term-leased, and trip-leased, total driver count including part-time and leased drivers, and vehicle miles traveled over the past 12 months. If You Hold a Hazmat Safety Permit
Hazardous materials safety permit holders file Form MCS-150B instead. It combines the identification report with the HM permit application. Filing Online Through the FMCSA Portal
FMCSA recommends filing online, and the primary route is the FMCSA Portal at portal.fmcsa.dot.gov. To use it you need a Login.gov account and your USDOT PIN. The company official listed on your USDOT record uses the PIN one time to link Login.gov to the portal; after that the PIN isn’t needed for routine access.6Federal Motor Carrier Safety Administration. One detail causes most first-time login failures: the email on your Login.gov account has to match the email in your FMCSA Portal profile exactly. Getting Your PIN
Request a USDOT PIN through the SAFER website at safer.fmcsa.dot.gov. FMCSA can email or text the PIN, or mail it to the address on file. Mail delivery takes 7 to 10 business days, so choose electronic delivery if you’re close to your deadline. For PIN problems, FMCSA technical support is at 1-800-832-5660.
Uploading Instead

Portal submissions often process the same day. Save your submitted form and any confirmation number. Mailed submissions need at least eight business days before checking status.

What Happens If You Miss the Deadline
Two things follow a missed biennial update. FMCSA can deactivate your USDOT number, which cuts off your authorization to operate.11Federal Motor Carrier Safety Administration. The amounts are adjusted periodically for inflation.
Reactivating a Deactivated USDOT Number
If your number has already been deactivated for a missed update, the fix is filing the MCS-150. FMCSA reactivates your number once the filing is processed. Check current status on the Company Snapshot tool before you file, and download the form directly from fmcsa.dot.gov because third-party copies may be outdated and expired versions are rejected.8Federal Motor Carrier Safety Administration. If your deactivation came from a New Entrant Safety Audit revocation rather than a missed biennial update, the reinstatement process is different and you should contact FMCSA directly.8Federal Motor Carrier Safety Administration. If You’ve Stopped Operating
Closing the business doesn’t cancel the biennial update. Stop interstate operations without notifying FMCSA and you still owe the update, and you’re still exposed to penalties for missing it.3Federal Motor Carrier Safety Administration. Once it’s formally deactivated at your request, the biennial obligation ends with it.
How to Spot Renewal Scams
Every renewal cycle brings mailers, emails, and calls from companies impersonating government agencies. They charge fees, commonly around $149, for a filing FMCSA does for free.3Federal Motor Carrier Safety Administration. Updating Your Registration or Authority Some use official-sounding names like “FMCSA Compliance Processing Group” and threaten daily fines or out-of-service orders to force a quick payment.
FMCSA has stated it never initiates contact asking for immediate payment or sensitive information, never uses telemarketers or robocalls, and never asks for credit card numbers over the phone.
