How to Complete the Shopify Dispute Form: Chargebacks and App Charges

Shopify does not use a single dispute form. The path depends on what you’re contesting: a Shopify billing charge goes through live chat with Shopify Support, a customer chargeback is answered inside your Shopify admin, a third-party app charge is handled by the app developer, and an account deactivation uses a dedicated dispute link Shopify emails to the store owner. Picking the wrong channel is the most common reason merchants stall on these, so start by identifying which type of dispute you actually have.

Figure Out Which Dispute You Have

Four situations get called “disputes” on Shopify, and each has its own route:

  • You believe Shopify overcharged you for a subscription, transaction fee, or platform fee. Handled by Shopify Support.
  • A customer contested a charge with their bank, and Shopify is asking you to submit evidence. Handled inside your Shopify admin; the card-issuing bank decides the outcome.
  • An app installed through the Shopify App Store billed you for something you want reversed. Handled by the app developer, not Shopify Support.
  • Shopify suspended or closed your store and you want to challenge that decision. Handled through a specific dispute link Shopify emails you.

The chargeback distinction matters most. Shopify states it is not involved in chargeback outcomes and is not liable for chargebacks that occur on the platform.1Shopify Help Center. Chargebacks and Inquiries Filing a support ticket about a customer chargeback will not change the bank’s decision.

Disputing a Shopify Billing Charge

If you think Shopify billed you incorrectly for a subscription fee, transaction fee, or other platform charge, act fast. The Terms of Service give you roughly two weeks from the billing date to raise and settle a billing issue.2Shopify. Shopify Terms of Service That window is shorter than many merchants expect, so review invoices as soon as they post.

The relevant terms sit in Section 5, which defines three fee categories: Subscription Fees (your plan’s monthly or annual cost), Transaction Fees (percentage charges when you use non-Shopify payment providers), and Additional Fees (apps, themes, domains, shipping labels, and similar add-ons).2Shopify. Before You Open the Chat

Have this ready:

  • The invoice showing the disputed charge. Pull it from your admin under Settings then Billing.
  • The transaction date, amount, and description exactly as they appear on the invoice.
  • The Order ID for any transaction-linked fees. This is the unique identifier Shopify assigns each transaction and is visible in your admin dashboard.3Shopify. Shopify Dispute
  • Documentation supporting your position: the plan pricing you signed up for, screenshots of the charge, or correspondence showing what you were told.

Reaching Support

For stores on Basic, Grow, or Advanced plans, live chat is the only way to reach a support advisor. There is no phone or email support on these plans. Shopify Plus and Retail plan holders also get phone and email options, with email tickets carrying a typical 48-hour response time.6Shopify Help Center. How to Contact Shopify Support

To start a chat:

  1. Go to help.shopify.com and try the AI Search bar first. It runs around the clock and often surfaces step-by-step instructions for common billing issues without a wait.
  2. If that doesn’t resolve it, click “Chat with a human” at the bottom-right of the page.
  3. Log in with your Shopify credentials. If you can’t get into your account, use the login-issue form at help.shopify.com/en/contact/login-issue.
  4. Select the affected store. The chat window opens and shows your estimated wait time.

A support advisor reviews your case and decides whether a refund or credit is appropriate. Neither is guaranteed. One caution: disputing a charge does not pause Shopify’s collection timeline. If a payment method fails and the balance stays unpaid, Shopify may suspend your account after 28 days, and if the balance stays unpaid for 60 days after suspension, Shopify reserves the right to terminate the account entirely.2Shopify. Responding to a Customer Chargeback

When a customer disputes a charge with their bank, Shopify notifies you and opens a chargeback case in your admin. This is where merchants get confused: Shopify’s role is limited to passing evidence between you and the card network, and the card-issuing bank makes the final decision.7Shopify Help Center. Resolving a Chargeback or Inquiry There is no chat form to fill out. You respond inside the admin.

If you use Shopify Payments, the platform automatically populates part of the evidence for you: product details, shipping and tracking information, fulfillment dates, billing and shipping addresses, the order date, and the customer’s IP address. For “product not received” disputes, Shopify also includes AI-generated insights in the submission, and you can opt out of that.7Shopify Help Center. Resolving a Chargeback or Inquiry

You add your own evidence on top. What matters most depends on the chargeback reason. A “product not received” dispute calls for delivery confirmation and tracking. A “fraudulent” dispute calls for proof of customer authorization: order confirmations, IP match, prior order history, or communications with the customer. Format your files so they’re readable without zooming or cropping, and use high-contrast images that print clearly in black and white, since many banks still receive chargeback evidence by fax.7Shopify Help Center. If the submission deadline passes without a response from you, Shopify submits the basic order information it already has. Your chances of winning drop significantly without additional merchant-supplied evidence.

Some merchants are enrolled in Network Dispute Resolution Programs, which change the process. Under an NDRP, new customer disputes are resolved automatically: the full order amount is refunded to the customer, and the merchant pays a program fee for each resolved dispute instead of going through the full chargeback cycle.8Shopify Help Center. Disputing a Third-Party App Charge

Charges from apps installed through the Shopify App Store appear on your Shopify bill, but Shopify directs you to the app developer to request a refund or dispute the charge.9Shopify Help Center. App Charges on Your Shopify Bills That applies to both pending and already-paid charges. Opening a chat with Shopify Support about an app charge just gets you pointed at the developer.

If an app charges you directly outside of Shopify’s billing system, uninstalling the app does not cancel the subscription. You have to cancel it with the developer separately.9Shopify Help Center. App Charges on Your Shopify Bills

App developers can issue refunds through the Shopify Partner Dashboard, including partial refunds. They cannot refund individual charges over $1,000 or invoices older than 12 months without contacting Shopify Support themselves.10Shopify. Refund App Charges If your dispute falls in either of those brackets, tell the developer so they know to escalate.

Challenging an Account Deactivation

When Shopify deactivates a store for a policy violation, the account owner receives an email with a link to a form titled “Dispute action on Shopify Store.” That form is the dispute form for deactivations, and it is separate from the general support chat. It goes to a specialized team.

Standard support advisors cannot override deactivation decisions. Opening a new chat about it will not help, and opening multiple tickets can push your case further back in the queue. Reply to the deactivation email, or use the dispute link from that email, and stick with that one thread. Add any additional information the team requests as a reply to the same ticket. These cases can take several days to a couple of weeks depending on how much identity verification is needed.

After You File

Every support chat generates a ticket in your Support Inbox. Log into the Help Center, click your profile icon, and select Support Inbox to see your conversation history, ticket status, and the estimated reply time for open issues.11Shopify. For chargebacks, the timeline depends on the card network and the issuing bank, not Shopify. Once you submit evidence through your admin, the card company reviews it and issues a decision. If the chargeback is resolved in your favor, the held funds and any associated chargeback fee are returned to your account.

If You’re the Buyer, Not the Merchant

If you’re a customer whose payment method was used for unauthorized purchases on a Shopify store, your protection comes from federal law rather than from Shopify. Under Regulation E, your liability for unauthorized electronic fund transfers depends on how quickly you report the problem to your financial institution.12eCFR. 12 CFR 1005.6 – Liability of Consumer for Unauthorized Transfers

  • Report within 2 business days of discovering the loss: liability caps at $50 or the amount transferred before you notified the bank, whichever is less.
  • Report after 2 business days but within 60 days of your statement: maximum liability rises to $500.
  • Report after 60 days from when your statement was sent: you could be liable for the full amount of unauthorized transfers that occurred after that 60-day window.

Report unauthorized charges to your bank or card issuer first. A chargeback filed through your bank is what starts the dispute process with the merchant’s Shopify store, and the bank decides the outcome.

Keep the Paper Trail

Refunds, chargebacks, and billing credits all affect your business’s taxable income. The IRS requires you to keep records long enough to prove the income or deductions on your tax return, and the system you use must clearly show your income and expenses.13Internal Revenue Service. If Shopify’s Process Doesn’t Resolve It

If you have exhausted Shopify’s internal process and still believe you’re owed money, the Terms of Service specify that disputes with Shopify for U.S. and Canadian merchants fall under the exclusive jurisdiction of the courts of the Province of Ontario, Canada.2Shopify. Shopify Terms of Service That jurisdictional clause makes casual litigation impractical for most small merchants, which is one more reason to raise billing disputes inside the two-week window and to document everything from the first invoice.

For chargebacks that didn’t go your way, there is no formal appeal through Shopify. Some card networks offer a second cycle called pre-arbitration or arbitration, but those carry additional fees and aren’t guaranteed. If the dollar amount is large enough, an initial conversation with a commercial attorney is worth the cost before escalating.
