How to Complete and Submit the Emergency Visa Appointment Request Form

An emergency visa appointment request asks a U.S. embassy or consulate to move your nonimmigrant visa interview to an earlier date because of an unforeseen, urgent reason to travel. You submit it through your profile at ustraveldocs.com after you have finished the DS-160, paid the MRV fee, and booked a standard appointment. A consular officer reviews the request and emails a decision. Approval depends on whether your reason fits a recognized emergency category and whether the post has open slots.

Reasons That Qualify

Consular posts apply the criteria in the Foreign Affairs Manual, which limits expedites to genuinely urgent travel.¹ Most embassies recognize five categories.

Medical emergency. You or your child needs urgent treatment in the United States that cannot wait for the standard appointment. Submit a signed letter from a licensed physician describing the condition and why U.S. treatment is necessary.
Death or serious illness of an immediate family member. You need to attend a funeral, arrange repatriation of remains, or visit a critically ill relative in the United States. Support the request with a death certificate, hospital documentation, or a letter from a funeral home.
Unforeseen business urgency. A U.S. company faces significant financial loss if you cannot travel immediately for a meeting, contract signing, or training that was not predictable when you booked. Include a letter from the U.S.-based company on official letterhead describing the specific need and the consequences of delay.
Student or exchange visitor program start date. If you hold an F, M, or J visa and your program begins before the earliest standard appointment, you can request an expedite. You need your I-20 or DS-2019 in hand; the officer checks the program start date printed on that form. Include your SEVIS number.²
ESTA denial with imminent travel. Travelers from Visa Waiver Program countries whose Electronic System for Travel Authorization has been denied can qualify for an expedited B1/B2 appointment if their travel date falls before the next standard slot. Upload the ESTA denial notice.³⁴

The common thread is that the need was not foreseeable and cannot wait. Emergency slots are limited, and a request that looks like poor planning rather than a real emergency is unlikely to succeed.

What You Need Before the Request Link Appears

The emergency option only unlocks after you finish several prerequisite steps. Skip any one and the form stays hidden.

Submitted DS-160. Complete the Online Nonimmigrant Visa Application at ceac.state.gov and keep the barcode confirmation page.⁵
Paid MRV fee. The nonrefundable Machine Readable Visa fee depends on visa category: $185 for most non-petition categories (B, F, J, M, and others), $205 for petition-based categories (H, L, O, P, Q, R), $265 for K fiancé(e) or spouse visas, and $315 for E treaty trader/investor visas. Save the receipt number.⁶
A scheduled standard appointment. Book a regular interview on the next available date before the emergency link becomes active. This is where most applicants get stuck. The system will not display the emergency option until a standard appointment already sits in your profile.⁷
Supporting documents ready to upload. Match the evidence to your stated reason: physician’s letter for a medical emergency, death certificate or funeral home letter for a death, company letter on letterhead for business urgency, I-20 or DS-2019 for a student, ESTA denial notice for a VWP traveler. Scan or photograph each one.

Submitting the Request

Log into your profile at ustraveldocs.com for the country where you will interview. With your standard appointment showing on the dashboard, look for the “Emergency Request” link in the left sidebar.⁷ Some posts label it “Expedite Request,” and a few handle emergency requests by email instead of the portal, so check your embassy’s website for any local instructions before you submit.

Select the appointment you want to move earlier. The form asks you to explain in a few sentences why you need a sooner date. Be specific. “My mother is hospitalized in New York with a cardiac emergency and doctors expect surgery within two weeks” carries far more weight than “family medical issue.” Attach the documents, then submit. The portal confirms receipt on screen and by email.

What Happens After You Submit

A consular officer reviews the request and emails a decision. Response times vary by post. Some embassies reply within two to three business days; others take five or longer during peak travel seasons.⁴ There is no way to check status in real time, so watch your inbox and spam folder.

If approved, the email tells you to log back in and pick from a new set of earlier appointment dates. These slots fill quickly, so book immediately. The earlier date does not change the interview itself. The consular officer still runs a full eligibility review and can approve or deny on the same grounds as any standard appointment. You just get to that evaluation sooner.

If Your Request Is Denied

A denial usually means either the post did not find the circumstances urgent enough or it lacked the capacity to fit you in.⁸ Some embassies explicitly ask that you not send a follow-up email seeking reconsideration. Your standard appointment stays in place, so a denied expedite does not cost you your slot.

If your circumstances genuinely change, you can submit a new request with updated evidence. A second request built on the same facts and the same documents is unlikely to produce a different result. Otherwise, keep the standard appointment and watch the portal for cancellation openings, which occasionally appear when other applicants reschedule.

What to Bring to the Interview

An approved expedite waives none of the standard interview requirements. Bring printed copies of your appointment confirmation letter, your DS-160 barcode page, a passport-style photo taken within the last six months, your current passport, all previous passports, and the original MRV fee receipt.⁷ Applications are not accepted without all of these.

Bring the originals of every document you uploaded with the emergency request: physician’s letter, death certificate, company letter, I-20 or DS-2019, ESTA denial notice. The officer may want to verify them at the window. Any other documents that support your visa eligibility, such as financial statements, an employment letter, or evidence of ties to your home country, should come along too, just as they would for a routine appointment.

A Warning About Exaggerating an Emergency

Fabricating or overstating a reason to move up the line carries lasting consequences. Under Section 212(a)(6)(C)(i) of the Immigration and Nationality Act, using fraud or willful misrepresentation to obtain a visa benefit makes you inadmissible to the United States.⁹ That inadmissibility lasts for life unless a waiver is granted, and waivers are discretionary and difficult to obtain.¹⁰ An inflated doctor’s letter or a fake funeral notice is not worth it. If your situation does not clearly fit one of the qualifying categories, keep your standard appointment. Arriving a few weeks later is far better than being permanently barred from U.S. travel.
