What You Need Before You Start

Most employers also want a voided check attached to the form as visual proof of the numbers. Some employers skip the voided check entirely and just have you type the numbers into a payroll portal.

Filling Out the Form

The form is short. Mark whether the money should go into a checking account or a savings account. Checking and savings use different ACH transaction codes, so picking the wrong type can cause the transfer to bounce back to your employer even when the account number is right.

Choosing How Much Goes to Canvas

Most forms give you two choices: deposit the entire net paycheck into Canvas, or deposit a fixed dollar amount and send the rest elsewhere. If you pick a set amount, say $500 a pay period, your employer routes that portion to Canvas and follows your other instructions for the remainder.

If the form has multiple rows, you can split your paycheck across more than one account. A common setup is a fixed amount into a Canvas savings account for an emergency fund with the balance going into checking for day-to-day spending. How many splits you can create depends on your employer’s payroll system, not on Canvas, so ask HR how many allocations they support before you fill in extra rows.

Sign and Date

Your signature at the bottom is what authorizes your employer to send recurring ACH credits into your account. Without it, payroll will send the form back. Sign using your legal name as it appears on your Canvas account and date the form the day you sign.

Submitting the Form to Your Employer

You do not send this form to Canvas. It goes to your employer’s HR or payroll team. At companies still running paper processes, hand over the completed form plus your voided check or substitute document. At companies using portals like ADP, Workday, or Paylocity, you may upload the form as a PDF, or you may skip the paper form entirely and enter the routing and account numbers directly into the portal.

Digital portals almost always trigger multi-factor authentication when banking information changes. Expect to confirm your identity through a text code, an authentication app, or a security question before the system saves the update. It is standard anti-fraud practice.

Keep a copy of whatever you submit. If a paycheck goes missing weeks later, having proof of what you turned in and when saves considerable back-and-forth with payroll.

When the Deposit Will Actually Start

Payroll systems don’t switch over the instant you submit the form. Most employers first send a prenote, a zero-dollar test transaction, through the ACH network to confirm the routing and account numbers work and that Canvas will accept the entry. Under Nacha rules, the employer must wait at least three banking days after that prenote settles before sending a real paycheck. In practice, direct deposit becomes active within one to two pay cycles from the day you turn in the form.

During the waiting window, you’ll still get paid the old way, usually by paper check or by deposit to a previous bank. If a full two pay cycles go by with no Canvas deposit, call your payroll department first. The usual culprits are a data-entry error on the employer’s side, a missing signature, or a mismatch between the account type you selected and what Canvas has on file.

Once the first real deposit lands, verify it inside Canvas online banking or the mobile app. Match the amount against your pay stub, and if you set up a split, confirm each piece landed in the right account.

Changing or Stopping Direct Deposit

Switching banks, opening a new Canvas account, or adjusting a split all follow the same path: submit a new direct deposit form to your employer with the updated information. The new instructions replace the old ones once payroll processes them.

Do not close your Canvas account before at least one paycheck lands in your new account. If a deposit hits a closed account, the receiving bank rejects it, the funds bounce back to your employer, and getting the money reissued typically takes five to ten business days without pay.

Federal Benefits Don’t Use This Form

The Canvas direct deposit form is for employer payroll. If you want Social Security, VA disability, VA pension, or education benefits sent into your Canvas account, you set that up through the paying agency, not through Canvas.

For VA payments, the simplest route is updating your direct deposit information inside your VA.gov profile. For Social Security, use your my Social Security account at ssa.gov, call 800-772-1213, or visit a local Social Security office. In every case, the agency will ask for Canvas’s routing number (302075830) and your account number.

If a Deposit Is Wrong or Unauthorized

Errors fall into a few categories, and the fix depends on which one you’re dealing with.

Employer-Initiated Reversals

If your employer sends the wrong amount, a duplicate paycheck, or a deposit meant for another employee, they can initiate a reversal through the ACH network. Unauthorized Transfers

Federal law caps your liability when someone initiates an unauthorized electronic transfer from your account. Under the Electronic Fund Transfer Act, your maximum loss is $50 if you notify Canvas within two business days of learning about the problem. Error Resolution Timeline

When you report an error, Canvas must investigate and resolve it within 10 business days. Canvas can extend the investigation up to 45 days, but only if it provisionally credits your account within the initial 10-day window so you aren’t left short during the review. You have 60 days from the date Canvas sends the statement showing the error to report it. Fees Worth Knowing

Setting up direct deposit is free. A few Canvas fees do become relevant if something goes wrong around your account: as of February 2026, the insufficient funds fee is $30 per transaction and a deposited item return is $9 per item.3Canvas Credit Union.
