How to Claim a Tax Refund in the USA: Deadlines, Filing, and Tracking

To claim a federal tax refund in the USA, file an accurate Form 1040 for the tax year, showing that the tax withheld from your pay or paid through estimated taxes was more than you actually owed. The IRS returns the difference. For tax year 2025, filed in 2026, the standard deduction alone is $15,750 for single filers and $31,500 for married couples filing jointly,1Internal Revenue Service. Standard Deduction which is why so many households end up owing less than what was withheld. File electronically, choose direct deposit, and the money typically arrives within about three weeks.

The April 15 Deadline and Extensions

The federal filing deadline for tax year 2025 is April 15, 2026.2Internal Revenue Service. When to File If it falls on a weekend or federal holiday, the deadline shifts to the next business day.

Need more time? File Form 4868 before April 15 for an automatic extension to October 15, 2026.3Internal Revenue Service. Taxpayers Who Need More Time to File a Federal Tax Return Should Request an Extension The extension is for paperwork only. If you owe money, it’s still due April 15. If you’re expecting a refund rather than owing, there’s no penalty for filing after the deadline, but no reason to wait either. The IRS holds your money until you claim it.

What You Need Before You Start

Every return needs a Social Security Number or ITIN for you, your spouse if filing jointly, and each dependent.4Office of the Law Revision Counsel. 26 USC 6109 – Identifying Numbers These have to match IRS and Social Security records exactly. One transposed digit can delay your refund by weeks.

Then gather your income documents:

  • W-2 from each employer, showing wages and withholding
  • 1099-NEC for freelance or contract work
  • 1099-INT for interest, 1099-DIV for dividends

The IRS receives copies of every one of these, so a missing form flags your return for follow-up and can hold up your refund.

Your return goes on Form 1040, which you can download from the IRS website.5Internal Revenue Service. About Form 1040, U.S. Individual Income Tax Return Report all income, then subtract either the standard deduction or your itemized deductions. For tax year 2025, the standard deduction is $15,750 for single filers, $23,625 for head of household, and $31,500 for married filing jointly.1Internal Revenue Service. Standard Deduction Most filers take the standard deduction because it exceeds what they could itemize.

The last section of Form 1040 asks where to send your refund. Enter a bank routing number and account number for direct deposit. That’s the fastest option. You can also split the refund across up to three accounts (checking, savings, even an IRA) by attaching Form 8888.6Internal Revenue Service. Get Your Refund Faster: Tell IRS to Direct Deposit Your Refund to One, Two, or Three Accounts For a single account, the direct deposit line on Form 1040 is enough on its own.

Credits That Can Grow Your Refund

Tax credits reduce what you owe dollar for dollar. Refundable credits go further: they can push your balance below zero, meaning the IRS sends you money even when your tax liability has already been wiped out. Two credits produce the biggest refunds most families see.

The Child Tax Credit for tax year 2025 is worth up to $2,200 per qualifying child, and up to $1,700 of that is refundable through the Additional Child Tax Credit.7Internal Revenue Service. Refundable Tax Credits The child must be under 17 at the end of the year, and the credit phases out at higher incomes.

The Earned Income Tax Credit is aimed at low- and moderate-income workers and can be worth much more. For tax year 2025, the maximum EITC ranges from $649 with no qualifying children to $8,046 with three or more.8Internal Revenue Service. Earned Income and Earned Income Tax Credit (EITC) Tables Millions of eligible taxpayers miss out every year because they don’t file or don’t realize they qualify. If your income is modest, check the EITC tables before assuming the credit doesn’t apply.

Keep records for anything you claim: school enrollment, childcare receipts, proof a dependent lived with you. The IRS does request documentation after the fact, and credit errors are one of the most common reasons refunds are delayed or reduced.

Filing Electronically Is the Fastest Route

E-filing with direct deposit is the combination the IRS itself recommends for the fastest refund. If your adjusted gross income is $89,000 or less, you can use IRS Free File and prepare your return through guided software at no cost.9Internal Revenue Service. Use IRS Free File to Conveniently File Your Return at No Cost The software walks you line by line, runs error checks, and transmits directly to the IRS. You get an electronic confirmation with a submission ID as proof.

Above the income threshold, commercial tax software works the same way, with the same diagnostic checks before transmission.

Paper is still an option. Print Form 1040, sign it in ink (an unsigned return gets returned to you unprocessed), staple copies of your W-2s to the front, and mail it to the address on the IRS website for your state. But processing a paper return takes the IRS significantly longer because staff have to open the envelope, verify the signature, and manually enter every figure. The difference between paper and electronic is measured in months, not days. If you have a choice, file electronically.

Tracking Your Refund

The IRS “Where’s My Refund?” tool at irs.gov is the reliable way to check your money’s status. You’ll need your Social Security Number, filing status, and the exact whole-dollar refund amount from your return. The IRS2Go mobile app shows the same information.10Internal Revenue Service. Refunds

For e-filed returns, the tool updates within about three weeks of transmission. Paper returns take six weeks or longer to show any status.10Internal Revenue Service. Refunds The tracker moves through three stages:

  • Received: your return arrived and entered processing.
  • Approved: the IRS verified the figures and authorized the refund.
  • Sent: the deposit went to your bank or a check was mailed.

If your return gets pulled for manual review, you may receive a CP05 notice. It means the IRS is verifying income, withholding, or credit claims before releasing the refund.11Internal Revenue Service. Understanding Your CP05 Notice Respond promptly to any document requests. Silence extends the delay.

The February 15 Hold for EITC and Child Tax Credit Filers

If you claim the Earned Income Tax Credit or the Additional Child Tax Credit, federal law prevents the IRS from issuing your refund before February 15, no matter how early you file.12Internal Revenue Service. Filing Season Statistics for Week Ending Feb. 6, 2026 The hold applies to the whole refund, not just the credit portion.13Internal Revenue Service. When to Expect Your Refund if You Claimed the Earned Income Tax Credit or Additional Child Tax Credit Most early filers with these credits who choose direct deposit see the money by early March, with “Where’s My Refund?” typically updating by late February.

Why Your Refund Might Be Smaller Than Expected

Even after the IRS approves your refund, the amount that reaches your bank account may be less than what you claimed. Under the Treasury Offset Program, the government can divert part or all of a refund to cover certain debts before sending you the balance.14Office of the Law Revision Counsel. 26 USC 6402 – Authority to Make Credits or Refunds Past-due child support is collected first, followed by federal agency debts such as defaulted federal student loans, and then state income tax debts and unemployment overpayments.15eCFR. 31 CFR Part 285 Subpart A – Disbursing Official Offset If an offset happens, you’ll get a separate notice explaining what was taken. “Where’s My Refund?” won’t show offset details, only the original approved amount.

Guarding Against Someone Else Claiming Your Refund

The worst refund-related surprise is finding that someone already filed a return using your Social Security Number and pocketed your refund. Your legitimate return then gets rejected as a duplicate, and untangling it can take months.

The best prevention is an Identity Protection PIN, a six-digit number the IRS assigns you each year. With the PIN on your return, no one else can file using your SSN.16Internal Revenue Service. Get an Identity Protection PIN Anyone with an SSN or ITIN can enroll. The fastest way is through your IRS online account. If online verification doesn’t work, you can apply by mail using Form 15227 (if AGI is below $84,000 single or $168,000 married filing jointly) or in person at a Taxpayer Assistance Center. Parents can request IP PINs for their dependents. Once enrolled online, you retrieve a new PIN from your IRS account each January.

If You Moved: Update Your Address

If you’re getting a paper check and your address is out of date, the check can bounce back to the IRS. The Postal Service change-of-address helps, but not every post office forwards government checks, so notify the IRS directly too.17Internal Revenue Service. Address Changes You can update by filing your new return with the current address, submitting Form 8822, or calling the IRS. Address changes take four to six weeks to process, so file the update well before you’re expecting the refund. If a check goes missing, start a refund trace through “Where’s My Refund?” or by calling 800-829-1954. Joint filers need to speak with a representative or submit Form 3911.10Internal Revenue Service. Claiming a Refund from an Earlier Year

You don’t have forever. Federal law requires you to file within three years of the original due date, or within two years of paying the tax, whichever is later.18Office of the Law Revision Counsel. 26 USC 6511 – Limitations on Credit or Refund After that window closes, the money goes permanently to the U.S. Treasury. The IRS has no authority to release it, even if you were clearly owed a refund.

This catches many people out. The IRS estimated that more than $1 billion in tax year 2021 refunds went unclaimed as the deadline approached.19Internal Revenue Service. More Than $1 Billion in 2021 Tax Refunds Still Unclaimed If you skipped a filing year or two and had taxes withheld from paychecks, check whether you’re owed money for those years. A bad-debt deduction or worthless-security loss extends the window to seven years from the return due date.20Internal Revenue Service. Time You Can Claim a Credit or Refund

Fixing a Mistake After You File

If you spot an error after your return is accepted, such as a wrong income figure, a missed deduction, or a forgotten credit, use Form 1040-X, the Amended U.S. Individual Income Tax Return.21Internal Revenue Service. About Form 1040-X, Amended U.S. Individual Income Tax Return You can e-file 1040-X for the current tax year and the two prior years, up to three amended returns per year electronically; beyond that, paper only.22Internal Revenue Service. Form 1040-X, Amended U.S. Individual Income Tax Return: Frequently Asked Questions

Amended returns take longer than originals to process. Expect eight to twelve weeks, sometimes up to sixteen. A mailed 1040-X can take up to three weeks just to show up in the IRS system before processing begins. If the amendment produces an additional refund, the IRS issues it separately after approving the amended return. Don’t amend for simple math errors. The IRS usually catches and corrects those without you.
