To check if your DOT number is still active, go to the FMCSA’s free SAFER system at safer.fmcsa.dot.gov, open the Company Snapshot, and search by your USDOT number, MC number, or company name. Your current operating status shows up in seconds. If it comes back as anything other than “Active,” you’re legally prohibited from running your commercial vehicles until the underlying issue is fixed, and the daily penalties for ignoring that can run past $1,500.1Federal Register. How to Run the SAFER Lookup
The Safety and Fitness Electronic Records (SAFER) system is the FMCSA’s official public database, and it’s free to search.2Federal Motor Carrier Safety Administration. SAFER WEB Three steps:
- Go to safer.fmcsa.dot.gov and click “Company Snapshot.”
- Enter your USDOT number (most reliable), MC/MX number, or company name.
- Review the snapshot. It shows your entity type, operating status, out-of-service date if any, legal name, physical address, and safety data including inspections, crashes, and safety ratings.
Don’t have your DOT number in front of you? It’s required to appear on both sides of every commercial vehicle you operate, legible from 50 feet in daylight.3eCFR. 49 CFR 390.21 – Marking of Self-Propelled CMVs and Intermodal Equipment Check the door of any truck in the yard.
What Each Status Means
The Company Snapshot returns one of several statuses, and only one of them means you can operate.
- Active. Your registration is current. You’re authorized to run.
- Inactive. Your registration has been deactivated, most often for a missed biennial update. You can’t operate until it’s reactivated.
- Not Authorized. You have a USDOT number but lack the operating authority (MC number) required for the type of hauling you’re doing.
- Out of Service. The FMCSA has ordered you to stop all operations, usually for serious safety violations or an imminent hazard determination. This is more severe than inactivity.
- Revoked. Your operating authority has been permanently withdrawn. Getting it back means a new application and new fees.
One thing worth noting on the snapshot: your USDOT registration status and each type of operating authority you hold are listed separately. You can have an active USDOT registration alongside a revoked MC authority, or vice versa. For a for-hire carrier, both need to be in good standing.4Federal Motor Carrier Safety Administration. Why Your Number Might Show as Inactive
Most inactive-status surprises come from administrative slip-ups, not safety findings. If your snapshot came back with a problem, run through these causes first.
A Missed Biennial Update
Every USDOT-registered carrier has to file Form MCS-150 every two years, even when nothing has changed.5Federal Motor Carrier Safety Administration. Is an Entity Required to File a Biennial Update if There Is No Change to Its Information Your deadline is derived from your DOT number itself:6Federal Motor Carrier Safety Administration. When Am I Required to File a Biennial Update
- The last digit sets the month. A “1” means file by the last day of January, a “2” by the end of February, and so on through “0” for October.
- The next-to-last digit sets the year. Odd means odd-numbered years (2025, 2027). Even means even-numbered years (2026, 2028).
A DOT number ending in “53” would need to file by the last day of March in every odd-numbered year. Miss it and the FMCSA deactivates the number without much warning.
An Insurance Lapse
If you hold operating authority, minimum insurance must be on file with the FMCSA at all times. Your insurance company files proof directly, so any gap between policies or a late renewal reaches the agency before it reaches you, and revocation proceedings begin.7Federal Motor Carrier Safety Administration. Insurance Filing Requirements
A Failed New Entrant Safety Audit
New carriers are monitored for 18 months, with a safety audit in the first 12. Fail the audit and skip a satisfactory corrective action plan, and your USDOT registration is revoked. Automatic failures include operating without a drug and alcohol testing program, using a driver without a valid CDL, or running without required insurance.8Federal Motor Carrier Safety Administration. New Entrant Safety Assurance Program
Other Triggers
Less common causes include voluntary deactivation (sometimes used when a carrier pauses operations), unpaid fuel taxes under the International Fuel Tax Agreement, and failure to complete Unified Carrier Registration. UCR is a separate annual registration with fees scaled to fleet size, starting at $46 for carriers with two or fewer vehicles.9UCR. Home
What It Costs to Keep Operating Anyway
Running trucks after your USDOT number goes inactive is prohibited under federal regulations, and the fines add up fast.10eCFR. Part 390 Federal Motor Carrier Safety Regulations – General
- At a roadside inspection, an inactive or out-of-service status means the vehicle stops moving until the issue is resolved.
- Failing to file biennial updates carries civil penalties up to $1,544 per day, capped at $15,445 per violation after inflation adjustments.1Federal Register. Revisions to Civil Penalty Amounts, 2024
- Hauling for hire without valid operating authority is a separate violation, with penalties of at least $10,000 per violation, or at least $25,000 per violation for passenger carriers.11Office of the Law Revision Counsel. 49 USC 14901 – General Civil Penalties
- Continuing to operate after an out-of-service order runs up to $29,221 per day.1Federal Register. Revisions to Civil Penalty Amounts, 2024
Even setting fines aside, shippers and brokers routinely check carrier status before booking loads. Most load boards flag or exclude carriers without active authority, so an inactive number means lost freight even if no inspector ever finds you.
How to Get Reactivated
The path back depends on why you were deactivated. Fix the underlying problem first, then file the right paperwork.
If You Missed the Biennial Update
File an updated MCS-150 through the FMCSA Portal at portal.fmcsa.dot.gov, which uses Login.gov for authentication. Online filing is fastest. Mail and fax submissions are accepted but slower. Pull the form directly from the FMCSA website so you’re not working from an outdated version.6Federal Motor Carrier Safety Administration. When Am I Required to File a Biennial Update
If Your Insurance Lapsed
Reinstate coverage and have your insurer file proof with the FMCSA. The agency has to see the filing before it will reactivate authority. If your authority was formally revoked over the lapse, you’ll also need to file a reinstatement petition with an $80 fee.12eCFR. Part 360 – Fees for Motor Carrier Registration and Insurance
If You Failed a Safety Audit
Submit a corrective action plan to your regional FMCSA Service Center that addresses every deficiency identified in the audit. The plan has to show you actually corrected the safety management problems, not just acknowledged them.8Federal Motor Carrier Safety Administration. New Entrant Safety Assurance Program
How Long It Takes
Online submissions for operating authority reinstatement are typically processed within about a week of receipt with valid payment. Paper submissions may take up to eight days for review. The FMCSA will notify you if your application is placed on hold for additional information or vetting.13Federal Motor Carrier Safety Administration. How Do I Reinstate My Operating Authority (MC/FF/MX Number)
Staying Active After You’re Back
Reactivating is more expensive and slower than just staying current. A few recurring obligations trip up even experienced carriers.
The biennial update is the big one. Put a recurring calendar reminder against your DOT number’s filing schedule. Any MCS-150 update completed within the 12 months before your due date satisfies the biennial requirement, so a change-of-address filing six months early counts.5Federal Motor Carrier Safety Administration. Is an Entity Required to File a Biennial Update if There Is No Change to Its Information
Insurance is the second most common failure point. Build overlap between expiring and new policies so there’s never a gap on file. Your insurer does the filing, but the loss of authority lands on you.
And don’t forget the Unified Carrier Registration. It’s a separate annual registration with its own fees and enforcement timeline, and forgetting it stacks onto any other compliance problem you already have. The 2026 registration opened in October 2025, and enforcement is active.9UCR. Home
