Work through the options for individual tax inquiries, then choose prompts that lead to “other questions” until you reach a live agent. As soon as you are connected, say clearly that your question is about an employment tax refund filed on Form 843, not an income tax return. Different departments handle these two categories, and a standard income tax agent often has no visibility into a Form 843 file. Naming the form up front usually saves a transfer.

Once the agent locates your account, they can tell you whether the claim has been logged into the system and whether it has been assigned to an examiner. How Long Processing Takes

Six months from the date the IRS receives your paperwork is a realistic minimum. Many claims run longer, and timelines approaching a year are not unusual. The delay is built into the process: an examiner has to verify that your employer did not already refund the amount, confirm the basis for exemption (such as visa status), and cross-reference your claim against the employer’s payroll tax filings.

The IRS communicates during the review only by mail. If the agency needs more information, the letter goes to the address on your Form 843, and the review clock pauses until you respond. This is where claims quietly die. If you move and do not update your address with the IRS using Form 8822, you never see the letter, and the case eventually closes. Approved claims are paid by paper check. Form 843 has no field for direct deposit information, and the form’s instructions do not describe a direct deposit option for these refunds. Notices That Signal a Decision

The IRS uses specific notice letters to tell you what happened to your claim. A CP21A notice means the IRS made changes to your return that result in a refund or a reduced balance. If a notice asks for additional documents, respond by the deadline in the letter. A slow response does more than stretch the timeline; it can cause the IRS to close the case entirely. Send your response by certified mail so you have proof of the date.

Start by filing Form 911, which you can mail or fax to the TAS office serving your area. If you have not heard back within 30 days, call TAS at 877-777-4778. Once your case is accepted, an advocate is assigned and gives you a direct phone number along with an estimated resolution date. The advocate cannot change the outcome of your claim, but they can find a Form 843 that has been sitting untouched and push it back into the queue. Additional Medicare Tax Refunds Are Tracked Differently

The steps above cover refunds of the 6.2% Social Security tax and the 1.45% Medicare tax withheld in error and claimed on Form 843. The 0.9% Additional Medicare Tax works differently. Employers must start withholding it once your wages pass $200,000 in a calendar year, regardless of your final liability.
