How to Change Dependents on Your W-4: Step 3, Filing, Errors

To change the dependents on your W-4, fill out a new 2026 Form W-4, complete Step 3 with the dollar amounts for each qualifying dependent, sign it, and give it to your employer’s payroll or HR department. For 2026, you multiply each qualifying child under 17 by $2,200 and each other dependent by $500, add the two together, and enter the total on line 3.1Internal Revenue Service. Form W-4 (2026) Employee’s Withholding Certificate You don’t send anything to the IRS yourself; your employer keeps the form on file and adjusts your paychecks from there.2Internal Revenue Service. Confirm Each Person Counts as a Dependent

Before you write anything on the form, check that every person you plan to claim actually meets one of the two IRS dependent definitions. Getting this wrong is what turns a routine paycheck adjustment into a tax bill or a penalty later.

Qualifying Child

A qualifying child has to meet all four tests:3Internal Revenue Service. Publication 501, Dependents, Standard Deduction, and Filing Information

  • Relationship. Your son, daughter, stepchild, foster child, sibling, or a descendant of any of these, such as a grandchild or niece.
  • Age. Under 19 at the end of the tax year, or under 24 if a full-time student. No age limit if the person is permanently and totally disabled.
  • Residency. Lived with you more than half the year. Temporary absences for school, medical care, or military service still count.
  • Support. Did not provide more than half of their own support during the year.

Qualifying Relative

If someone fails the qualifying child tests, they may still count as a qualifying relative. That covers situations like an elderly parent or an adult child who is no longer a student. The requirements:

  • Residency or family relationship. The person either lived with you all year, or is a close relative (parent, grandparent, aunt, uncle, in-law) who doesn’t have to live with you.
  • Gross income. The person earned less than $5,300 in gross income for 2026.4Internal Revenue Service. Revenue Procedure 2025-32
  • Support. You provided more than half of the person’s total financial support for the year.

You’ll need each dependent’s full legal name and Social Security number when you fill out the form. Keeping birth certificates, adoption papers, or residency records within reach helps if questions come up later.

Fill Out Step 3 on the 2026 W-4

Download the current form from the IRS website or ask your employer’s HR department for a copy.5Internal Revenue Service. About Form W-4, Employee’s Withholding Certificate Complete Step 1 with your name, address, Social Security number, and filing status. Then work through Step 3, which the form titles “Claim Dependent and Other Credits.”

Step 3 has two lines:

Add the two subtotals, plus any other tax credits you expect (an education credit, for example), and enter the total on line 3. Your employer will spread that credit across your remaining paychecks for the year, which raises your take-home pay each period.

Sign and date the form at Step 5. An unsigned W-4 isn’t valid, and your employer will keep withholding under whatever version you last signed.

If You or Your Spouse Have More Than One Job

Complete Step 3 on only one W-4, the one for the highest-paying job. Leave Steps 3 through 4(b) blank on the other forms. Filling Step 3 in twice claims the dependents twice and pulls too little tax from your paychecks.1Internal Revenue Service. Form W-4 (2026) Employee’s Withholding Certificate

Multiple-job households also need to handle Step 2 on the higher-paying job’s form. The IRS Tax Withholding Estimator at irs.gov/W4App is the most accurate route and produces a pre-filled W-4 you can hand to your employer.6Internal Revenue Service. When You Must File the New Form

You can submit a new W-4 to your employer any time you want to. But certain changes legally require you to file an updated form within 10 days. The rule: if a change in your circumstances reduces the withholding you’re entitled to, you have 10 days to give your employer a new W-4.7Internal Revenue Service. Publication 505, Tax Withholding and Estimated Tax

For dependent changes specifically, the 10-day clock starts when you lose someone you previously claimed. Common triggers:

  • A child turns 17 during the year (they move from the $2,200 line to the $500 line).
  • A child moves out or no longer meets the residency or support tests.
  • A qualifying relative’s income rises above the $5,300 threshold, or they stop needing more than half their support from you.
  • Your filing status changes in a way that increases your tax, such as going from married filing jointly to single after a divorce.

Changes that increase what you can claim — a new baby, an adoption finalizing, taking in a parent — don’t carry a mandatory deadline. Filing promptly just means the larger paychecks start sooner instead of showing up as a refund next spring.7Internal Revenue Service. Publication 505, Tax Withholding and Estimated Tax

What Happens If You Get It Wrong

Honest mistakes are treated as mistakes. Deliberately inflating your dependent count or claiming credits you know you don’t qualify for is different. Two penalties can apply:

Even without any fraud, under-withholding across the year can result in an underpayment penalty when you file your return.7Internal Revenue Service. Publication 505, Tax Withholding and Estimated Tax That is the practical reason to update your W-4 promptly when a dependent situation shifts against you rather than waiting until the following January.

Hand the Form to Payroll

Deliver the signed W-4 to your employer’s payroll or HR department. Many workplaces let you enter Step 3 directly through an online HR portal, which usually processes faster and gives you an instant digital confirmation. If your employer uses paper, sign the form and hand it to the payroll administrator or mail it to the office they direct you to. Again, the W-4 does not go to the IRS; your employer keeps it.2Internal Revenue Service. Topic No. 753, Form W-4, Employees Withholding Certificate

The change generally takes effect within one or two pay cycles, depending on where you fall in your employer’s payroll schedule. Check the federal income tax withholding line on your next few pay stubs to confirm the new amount is coming through. If nothing has changed after 30 days, contact payroll to confirm the form is on file and active.

If you want to double-check your entries before filing, or your situation is complicated by a second job, a working spouse, self-employment income, or a dependent who will age out of the child tax credit partway through the year, the IRS Tax Withholding Estimator is the tool to use.10Internal Revenue Service. IRS Launches New Tax Withholding Estimator It walks through your income, deductions, credits, and dependents and tells you exactly what to write on each line of the new form.
