A Certified Acceptance Agent generally charges between $150 and $500 to help you apply for an Individual Taxpayer Identification Number (ITIN). Independent tax preparers usually sit in the $150 to $300 range, while larger accounting firms and law offices tend to charge $400 to $500. The fee covers the required interview, authentication of your identity documents, preparation of the Certificate of Accuracy, and mailing the completed package to the IRS.1Internal Revenue Service. What the Fee Buys You
A CAA’s flat fee typically bundles three services. The agent conducts a personal interview, either face-to-face or by video, to confirm you need an ITIN rather than a Social Security Number. The agent then inspects your original identity documents — most commonly a passport — and authenticates them on the spot, so you leave the appointment with your originals in hand. Finally, the agent completes the Certificate of Accuracy (Form W-7 COA), assembles the application package with your Form W-7 and any required tax return, and mails everything to the IRS ITIN Operation in Austin, Texas.1Internal Revenue Service. One point to clarify before you pay: the CAA fee covers the ITIN application only. If you also need someone to prepare the federal tax return that usually has to accompany the application, that is a separate charge. Ask for a total quote — application plus any return preparation — before you commit.
Why Prices Vary So Widely
The IRS does not regulate what an Acceptance Agent can charge, so pricing depends on the provider and the market. Solo practitioners and small tax offices usually charge $150 to $300 per applicant. Larger firms and legal practices charge $400 to $500, which reflects higher overhead and, in many cases, bundled services. Location matters too: urban providers and those in areas with fewer authorized agents tend to charge more.
If several family members need ITINs at the same time, ask about discounted per-person rates. Many agents reduce the fee for a spouse or dependent processed alongside a primary applicant, which can bring the effective per-person cost well below the standalone quote.
Is a CAA Worth It Compared to Free Options?
The value of paying a CAA turns on one practical question: do you want to hand your passport to the postal system for months? The IRS authorizes two kinds of agents, and they handle documents very differently. A standard Acceptance Agent reviews your originals but must mail them to the IRS with your application, and you will not get them back until processing finishes. A Certified Acceptance Agent authenticates most documents in person, returns them to you the same day, and sends only the Certificate of Accuracy to the IRS.2Internal Revenue Service. ITIN Acceptance Agents
Applying on your own by mail without any agent means either shipping your original passport to the IRS or obtaining a certified copy from the issuing government agency — a process that can itself take weeks and cost money. For most applicants, keeping the passport is the reason a CAA fee makes sense.
Free Alternatives
Two IRS-supported options cost nothing. You can book an appointment at an IRS Taxpayer Assistance Center that offers ITIN services; an IRS employee will authenticate your documents in person, review your Form W-7, return your documents at the end of the appointment, and mail the application at no charge.3Internal Revenue Service. How to Apply for an ITIN Not every TAC handles ITIN authentication, and appointments are hardest to get during tax season.
The Volunteer Income Tax Assistance (VITA) program offers free tax preparation to people who generally earn $69,000 or less, have a disability, or have limited English proficiency. Some VITA sites keep a CAA on staff who can process an ITIN application alongside the return.4Internal Revenue Service. Free Tax Return Preparation for Qualifying Taxpayers Availability varies by location and by the tax year.
So the trade-off is straightforward. If your schedule is flexible and a TAC or VITA site in your area handles ITINs, you can spend nothing. If you would rather pay for a scheduled appointment, faster turnaround on the paperwork side, and someone who takes responsibility for the package, $150 to $500 to a CAA is the going rate.
What a CAA Cannot Do for You
A CAA is not a shortcut past every document rule, and the limits matter when you decide whether the fee saves you real trouble. For dependents, a CAA can authenticate passports and civil birth certificates in person, but every other dependent document — including school records and medical records — still has to go to the IRS as an original or a certified copy from the issuing agency. A CAA also cannot authenticate a foreign military identification card for any applicant.1Internal Revenue Service. ITIN Acceptance Agent Program
A CAA also cannot speed up IRS processing. Expect roughly seven weeks in normal periods, and nine to eleven weeks during tax season (January 15 through April 30) or if you apply from abroad.5Internal Revenue Service. Individual Taxpayer Identification Number (ITIN) Any provider promising a faster turnaround than the IRS publishes is misrepresenting the service.
Verify the Agent Before You Pay
The IRS keeps an online directory of authorized Acceptance Agents and Certified Acceptance Agents, reachable from the Acceptance Agent Program page. Before you pay anyone, confirm the name appears in the current directory. A Certificate of Accuracy from someone who is not on the list will not be accepted, and you will have paid for a package the IRS will reject.1Internal Revenue Service. ITIN Acceptance Agent Program
A few other warning signs are worth watching for. Be cautious of anyone who guarantees a faster processing time than the IRS publishes, charges well above the typical range without explaining why, or asks you to sign blank forms. A legitimate CAA explains the process, gives you a receipt for payment, and provides copies of everything they submit on your behalf.
Getting the Most from What You Pay
Have your documents ready before the appointment. At a minimum, that means a valid passport, or, if you do not have one, two documents from the IRS-approved list that together prove both identity and foreign status.6Internal Revenue Service. Revised Application Standards for ITINs Documents not in English may need a certified translation. If you are applying with family, bring everyone to the same appointment to qualify for any multi-applicant discount and to avoid paying separate interview fees. And confirm in writing whether the quoted price includes tax return preparation or only the ITIN work, because that single line item is where fee surprises usually come from.
