An employee gets three copies of a W-2: Copy B, Copy C, and Copy 2. Each has a distinct job — one goes with your federal return, one stays in your records, and one is for state or local filing. What Each of Your Three Copies Is For
The three employee copies aren’t interchangeable. Sending the wrong one to the wrong place doesn’t usually cause a problem, but keeping them straight avoids having to photocopy or reprint later.
- Copy B is filed with your federal income tax return. If you paper-file your Form 1040, you attach it; if you e-file, you keep it available so the IRS can match the wages and withholding your employer reported.
- Copy C is your personal records copy. Hold onto it for at least three to four years in case questions come up during an audit, a loan application, or a dispute over past earnings.
- Copy 2 is for filing a state, city, or local income tax return where the jurisdiction requires proof of income and withholding.
If you live in one state and work in another, or you owe city tax on top of state tax, having a separate Copy 2 for the local filing keeps your Copy C untouched in your files.
Why the Packet Has More Than Three Copies
A complete W-2 packet has six copies, not three. The other three don’t come to you:2Internal Revenue Service. Form W-2 Wage and Tax Statement
- Copy A goes to the Social Security Administration, which uses it to track your earnings for future benefit calculations.
- Copy 1 goes to your state, city, or local tax department when that jurisdiction requires it.
- Copy D stays with your employer for their own records.
Your employer handles Copy A, Copy 1, and Copy D. You should only ever see B, C, and 2.
When You Should Have All Three
Federal law requires your employer to furnish your W-2 on or before January 31 of the year after the tax year in question.3Office of the Law Revision Counsel. 26 U.S. Code 6051 – Receipts for Employees When January 31 falls on a weekend or holiday, the deadline moves to the next business day. For the 2026 tax year, that puts the deadline at February 1, 2027.1Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026)
If you left a job before year-end, you can submit a written request for your W-2, and your former employer has 30 days to provide it. If that 30-day window would push past January 31, the standard January 31 deadline still applies.3Office of the Law Revision Counsel. 26 U.S. Code 6051 – Receipts for Employees
Delivery can be by mail to the address in your employer’s payroll system, or through a secure online portal. Electronic-only delivery requires your explicit consent first. If you never agreed to e-delivery, paper copies must keep coming. Many employers now ask for that consent during onboarding, so if you expect a digital W-2, check your payroll portal in late January.
If a Copy Is Missing
Start with your employer’s payroll or HR contact. Most companies can reprint the packet or restore digital access quickly. If your employer doesn’t respond, has gone out of business, or you’re still empty-handed by the end of February, call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center.4Internal Revenue Service. - Your name, address, Social Security number, and phone number.
- Your employer’s name, address, and phone number.
- The dates you worked there.
The IRS will contact your employer and mail you Form 4852, a substitute you can attach to your return if the W-2 never shows up.5Internal Revenue Service. You can also pull a Wage and Income Transcript, which shows the W-2 data your employer reported federally. It’s free through your online IRS account or by mailing Form 4506-T.7Internal Revenue Service. If a Copy Is Wrong
Errors — a misspelled name, wrong Social Security number, or off wage amount — should be fixed before you file. Tell your employer as soon as you notice. Corrections are issued on Form W-2c.9Internal Revenue Service.
