The IRS keeps full photocopies of tax returns for the current tax year and the seven years before it, and it keeps transcript data (a summary of what was filed and what happened after) for shorter or longer periods depending on the transcript type. Photocopies cost $30 per year and come only by mail. Transcripts are free and, through the IRS Individual Online Account, download in minutes. Anything older than seven prior years is no longer available as a full copy from the IRS at all.
Retention Windows by Record Type
How far back you can go depends entirely on which record you ask for.1Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
- Full photocopy of your return (Form 4506): current year plus seven prior years.2Internal Revenue Service. Taxpayers Can Request a Copy of Previous Tax Returns
- Tax return transcript: current and three prior tax years.
- Tax account transcript: nine prior years through the online portal; three prior years by mail or phone.
- Record of account transcript (combines the two above): same limits as the tax return transcript.
- Wage and income transcript (W-2s, 1099s, 1098s filed on your behalf): current and nine prior tax years.
- Verification of non-filing letter: current year (available after June 15) and three prior years online or by phone; older years by Form 4506-T.
The seven-year ceiling on full copies roughly tracks the IRS’s own audit authority. The general statute of limitations for assessing additional tax is three years from filing, six years if you left off more than 25% of your gross income, and unlimited for a fraudulent return or a return that was never filed.3Office of the Law Revision Counsel. 26 U.S. Code 6501 – Limitations on Assessment and Collection Seven years covers the vast majority of enforceable windows, which is why the agency stops keeping the paper images past that point.
Which Record You Actually Need
Most people asking for old tax records do not need a full photocopy. A free transcript is usually enough.
A tax return transcript shows most line items from your original Form 1040 as filed, along with forms and schedules. It does not reflect amendments or later IRS adjustments. Mortgage lenders and financial aid offices generally accept it.
A tax account transcript shows what happened after you filed: payments, penalty assessments, and any adjustments you or the IRS made. If you amended a return or received a notice changing your tax, this is the one that captures the change.
A record of account transcript is the two combined in a single document.
A wage and income transcript is what you want if you lost your W-2s or 1099s and need to see the information returns third parties sent to the IRS. Current-year data becomes available in early February, and only documents already processed by the IRS appear. It caps at roughly 85 income documents, which matters if you have many brokerage or freelance 1099s.
A verification of non-filing letter confirms the IRS has no record of a processed Form 1040 for a given year. It does not say whether you were required to file. Financial aid offices commonly request it from students or parents whose income was too low to require a return.
A full photocopy is a literal image of your Form 1040 and every attachment, including W-2s and schedules. It is the only way to get the actual documents you originally submitted. Most people never need this level of detail; it comes up mainly in legal disputes or when a requesting party specifically demands the original filing.4Internal Revenue Service. Processing takes up to 75 calendar days. That timeline catches people off guard in the middle of a loan closing or a legal deadline. If there is any chance you will need a full copy, start the request early. For most purposes, a free transcript works and arrives far faster.
If You Need Records Older Than Seven Years
The IRS does not have full copies of returns older than the current year plus seven prior years. Tax account and wage and income transcripts extend back nine prior years through the online portal, but for anything earlier, the agency has no record it can send you. If you filed those returns yourself, your own copies or your preparer’s files are the only source. This is worth knowing before you promise old records to a lender, court, or immigration case.
How Long to Keep Your Own Copies
Relying entirely on the IRS is risky because the agency’s retention is bounded and its transcript data does not include everything on your original return. The IRS recommends keeping records that support items on a return until the statute of limitations for that return expires, which is generally three years from the filing date.9Internal Revenue Service. Publication 583 – Starting a Business and Keeping Records If you underreported income by more than 25%, keep records at least six years.
Property records need to be kept longer. Purchase documents, improvement receipts, and depreciation schedules should stay in your files until the statute of limitations expires for the year you sell or dispose of the property. Buy a rental in 2010 and sell it in 2030, and you need those 2010 purchase records available in 2033 at the earliest. If you acquired property in a tax-free exchange, keep records for both the old and the new property until you finally sell the replacement in a taxable transaction. Cost basis is exactly the kind of information IRS transcripts do not carry, and reconstructing it years later from memory is a problem worth avoiding now.
