How Long Can an Embassy Hold Your Passport and What to Do

There is no universal rule on how long an embassy can hold your passport. In practice, most holds run from a few days to several weeks, and some visa categories stretch to several months. The exact wait depends on the country, the service you requested, and whether the case runs into extra review. If you need to travel before the embassy is done, you usually have options: apply for a second passport book, withdraw the application, or request an emergency passport from your own government abroad.

Embassies keep the physical document because a visa is placed inside it as a sticker or stamp. Your own country’s consulate may also hold it during a renewal abroad. Either way, the document stays in the embassy’s custody until the service is complete.

Typical Timelines by Service

Published estimates vary widely by country and visa class. A few benchmarks from official sources:

U.S. passport renewal runs 4 to 6 weeks for routine service, not counting mail transit. Expedited service takes 2 to 3 weeks for an additional $60.¹
UK visitor and work visas usually take about 3 weeks. Family visas such as spouse or partner visas take around 12 weeks.²
Schengen tourist visas are typically decided within about 15 calendar days, with EU rules allowing up to 45 days for additional checks and up to 60 days in exceptional cases.

Treat these as estimates, not commitments. The State Department warns that its own timelines shift with demand, with late winter through summer being the busiest period.¹ Don’t book non-refundable travel around an embassy’s published window.

What Pushes a Hold Longer

Incomplete Applications

Missing documents, form errors, and photos that don’t meet specifications trigger requests for more information and push the return date past the standard window.¹ Most foreign embassies work the same way.

Administrative Processing

For U.S. visa applicants, extended holds usually come from “administrative processing,” which typically follows a refusal under Section 221(g) of the Immigration and Nationality Act. The consular officer needs more information or is waiting on background checks. The State Department says “the duration of the administrative processing will vary based on the individual circumstances of each case,” with no fixed maximum.³

If additional documents are requested, you have one year from the date of refusal to submit them. Miss that deadline and you must reapply from scratch and pay a new fee.³ Your passport stays with the embassy the whole time. Other countries have their own versions of extended review with the same practical result.

Seasonal Volume

Summer and major holidays drive demand at most embassies. Fall and early winter tend to bring shorter waits.

Checking Your Status

If your passport has been gone longer than the published time, check the embassy’s tracking portal before calling. For U.S. visa applications, the Department of State’s Visa Status Check lets you look up your case by visa type and case number.⁴ If the portal offers nothing new and you’ve passed the window, contact the consular section directly using the phone number or email on its official website. Have your passport number and application reference ready.

Getting a Second U.S. Passport Book

This is the option most travelers don’t realize exists. U.S. citizens with a valid passport book can apply for a second book when a foreign embassy is holding the first. The State Department lists exactly this situation as qualifying: “You need a U.S. passport for urgent travel, and a foreign country delayed your application for a visa or cannot process it in time for your travel.”⁵

A second book is valid for up to four years. You apply with Form DS-82 if you can submit your current passport, or DS-11 if the embassy has it, along with a signed statement explaining the need and a new photo. If you’re traveling in fewer than three weeks, you can book an appointment at a passport agency for faster service.⁵ Frequent international travelers and people who regularly need visas from multiple countries also qualify, so applying before a crunch is a reasonable move if your work demands it.

Emergency Passports Abroad

If you are already overseas and need to travel but cannot get your passport back in time, U.S. embassies and consulates can issue a limited emergency passport. These are 12-page documents with up to one year of validity, and genuine emergencies can be processed in as little as one to two business days. You’ll need to show urgent travel plans, such as a flight itinerary.

One caution: some countries do not accept these short-validity emergency passports for visa-free entry, and you may only be able to transit rather than enter. Confirm your destination’s entry rules first. Citizens of other countries should contact their own embassies for equivalent emergency procedures.

Withdrawing the Application To Reclaim Your Passport

You can ask for your passport back at any time by withdrawing the visa application. Contact the consular section, explain the situation, and ask about the withdrawal process. The trade-off is direct: your application is canceled, fees are not refunded, and after your trip you start over with a new application and new fee. For U.S. visa cases in administrative processing, the published wait times don’t include the time needed to courier or mail the passport back to you, so build that in.³

If the reason is a genuine emergency such as a family medical crisis or a death, say so plainly and provide documentation like a doctor’s letter or death certificate. Some embassies expedite returns in those situations.

Before You Hand Over the Passport

A few steps in advance can save real trouble later:

Photograph or scan every page, including the data page, all visa stamps, and blank pages. Keep digital and printed copies.
Don’t submit your passport for a visa if you have other international travel inside the processing window. Account for both processing and mailing time when planning.¹
If you travel internationally for work, consider getting a second passport book before you need it.⁵
Check what your travel insurance actually covers. Standard policies rarely cover delays caused by an embassy holding a passport longer than expected.
