An eVisa is a digital travel authorization linked to your passport number and stored in a government immigration database instead of being stamped or pasted into your passport. Around 95 countries now issue some form of online visa for tourism, business, or short-term medical visits, and understanding how eVisas work means knowing what to prepare, where to apply, how the approval reaches you, and what rules attach to it once you travel. You apply through the destination country’s official web portal, pay a fee, and receive approval by email, without a consulate visit or mailed documents. The process is faster and cheaper than a traditional visa, but the details catch out more travelers than you’d expect.
Make Sure You Actually Need an eVisa
Travelers often confuse eVisas with Electronic Travel Authorizations (eTAs, ESTAs, or ETIAS), and the difference matters. An eVisa is a full visa issued digitally. It grants you legal permission to enter for a stated purpose and duration, just like a traditional visa. An eTA is a pre-screening tool for travelers whose nationality already qualifies for visa-free entry. It clears you to board a flight but does not by itself grant entry.
If your citizenship requires a visa for the destination, you need an eVisa. If your citizenship already allows visa-free travel but the destination requires advance screening, you need an eTA. Canada, the United States (ESTA), Australia (ETA), and the European Union’s upcoming ETIAS all use the eTA model. Applying for the wrong one wastes your fee and delays your travel, so check the destination’s immigration website for your specific nationality before you start.
What You Need Before You Apply
Every eVisa application asks for a core set of documents and personal details. Getting them right the first time matters. Most systems reject mismatched data automatically, and fees are almost never refunded for errors.
Your Passport
Your passport must be machine-readable, with a bio-data page that scans cleanly. Many countries require at least six months of validity beyond your planned departure date. Some only require validity for the length of your stay. Check the specific rule for your destination rather than assuming the six-month standard applies everywhere. You will upload a high-resolution scan of the bio-data page, usually as JPEG or PDF.
The Photo
A recent digital photograph is required. Specifications vary, but a common standard is a 2×2-inch (51×51 mm) square with a plain white or off-white background, taken within the last six months. The photo must show your full face without glasses or head coverings, unless worn for documented religious reasons. Digital uploads have their own file format and size limits.1U.S. Department of State. Photo Requirements Read the portal’s upload instructions before resizing your image.
Personal and Security Information

Electronic Visa Update System (EVUS) FAQs You will also face questions about criminal history, past immigration violations, and sometimes prior travel to certain countries. Answer honestly. Lying on an immigration application can result in a permanent ban and fraud charges, not just a denial. You will also need a confirmed itinerary, including flights and accommodation address. Every detail must match your passport exactly.
Travel Insurance
Some destinations require proof of travel medical insurance before they approve an eVisa. The Schengen area (29 European countries) requires a minimum of €30,000 in medical coverage, including emergency treatment and medical repatriation. Turkey, Saudi Arabia, and several others build insurance requirements into the eVisa application itself. Even where insurance is not mandatory, a policy covering medical emergencies and trip disruption is worth carrying. Arriving without required insurance can get you turned away regardless of your visa status.
Children on Their Own Passports
A child traveling on their own passport needs a separate application. Most countries also require a birth certificate and a signed parental consent form from any parent or legal guardian not traveling with the child. Some countries exempt young children from biometric enrollment. If you are not the child’s biological parent, expect to provide proof of legal guardianship. These rules exist to prevent child trafficking and are enforced strictly.
Apply Through the Official Portal, Not a Reseller
More money is wasted here than in any other part of the process. Professional-looking third-party sites charge $50 to $200 on top of the real visa fee to “process” your application. They are filling out the same government form you would fill out yourself. Some are outright scams that collect your passport data and payment details without submitting anything.
Official government portals use the “.gov” domain or the country’s equivalent administrative domain. The U.S. State Department warns that any visa-related website not ending in “.gov” should be treated as suspect, and that payments made to non-governmental sources do not go toward actual visa processing.3U.S. Department of State. Fraud Warning Before entering any personal information, verify the URL through the destination’s official embassy or consulate site. A sponsored ad at the top of a Google search for “[country] eVisa” is almost certainly a reseller. Scroll past it.
How the Application Itself Works
The workflow is broadly similar across countries. You create an account on the government portal with an email address that will handle all communication about your application. The portal walks you through form pages where you enter biographical data, upload your passport scan and photo, and answer the security questions.
Most portals validate uploads as you go, flagging files that don’t meet size or format requirements before you can continue. Once everything passes, you move to the payment gateway. Official fees vary widely by destination and nationality.4Government of India. Country/Territory Wise e-Tourist Visa Fee Electronic travel authorizations tend to cost much less, often under $25. Portals generally accept major international credit and debit cards, though accepted methods and currencies vary.
After payment clears, a final review screen shows everything you submitted. Check it carefully. This is your last chance to catch errors. Submitting the final page generates a unique reference number. Save it. This alphanumeric code is the only way to track your application and the only thing customer support can use to look up your file.
Processing Times
Processing varies enormously. Some countries approve tourist eVisas within hours. Others take three to seven business days, and complex applications or peak seasons push that longer. Do not book nonrefundable flights or accommodation until your eVisa is confirmed.
A few countries offer expedited processing for an extra fee, with turnaround as short as one or two business days and some same-day emergency channels. These options are not universal. The government portal will list any rush tier. If the only “express processing” you can find is on a third-party site, that is a markup, not a real service tier.
After submission, you will receive an automated email confirming receipt and payment. Most systems do not send frequent status updates, so log back into the portal with your reference number to check progress. Approval arrives by email with a link to download your visa grant notice, usually a PDF containing a barcode or QR code linked to your passport record.5Embassy of Japan in China. At the Border
When you arrive at the port of entry, the immigration officer scans your passport, which triggers a lookup in the country’s border control database. If your eVisa is linked properly, the officer sees your authorization, purpose of visit, and permitted stay on their screen. This works the same whether you arrive by air, sea, or land.
Do You Need To Print It?
That depends on the destination. Some countries rely entirely on the passport scan to pull up your record. Others still ask to see a printout, and airlines may request one at check-in before you board. Printing a copy on standard paper and keeping it with your passport eliminates the risk of being stuck at a gate with a dead phone. Electronic travel authorizations do not produce a printable document at all, since they are linked directly to your passport number.
Questions You May Be Asked
Even with an approved eVisa, the immigration officer has discretion to ask about the purpose and duration of your stay, your accommodation, and your plans. You may also need to show proof of sufficient funds. Acceptable proof includes credit cards, cash, or a letter from your host if someone in the country is sponsoring your stay.6U.S. Customs and Border Protection. Once satisfied, the officer grants entry. Some countries stamp your passport with the arrival date and authorized stay period. Others record everything digitally and email a confirmation. Either way, note the date your authorized stay expires. It is the most important number from your entire trip, and the one most travelers forget to check.
Validity, Entries, and What the Visa Lets You Do
Every eVisa specifies three things: how long the visa itself remains valid, how many times you can enter, and how long you can stay per visit. These are not the same number, and confusing them is a common and expensive mistake.
A single-entry eVisa allows one entry. Once you leave, the visa is used up regardless of how much validity remains. A multiple-entry eVisa lets you enter and leave repeatedly within the validity window. Turkey, for example, issues 30-day single-entry eVisas for some nationalities and three-month multiple-entry eVisas for others.7Republic of Türkiye Ministry of Foreign Affairs. Visa Information For Foreigners The maximum stay per visit is often shorter than the visa’s total validity, so a visa valid for 90 days might only permit stays of 30 days at a time.
Tourist eVisas almost universally prohibit paid employment. Indonesia’s official portal states it plainly: you may not sell goods or services or work in any employment relationship.8Government of Indonesia. General Information and FAQ Violating this condition can bring fines, deportation, and a ban on future entry. Business eVisas typically cover meetings, conferences, and contract negotiations, but still do not authorize employment. If you plan to work abroad, you need a work visa, and that is a different process entirely.
If Your Application Is Denied
Denials happen, and the process for challenging one is less forgiving than most travelers expect. Common reasons include incomplete applications, missing documentation, prior overstays, criminal history, and misrepresentation.9U.S. Department of State. Visa Denials Photos that fail specifications and blurry scans also trigger automatic rejection.
Most eVisa systems do not offer a formal appeal. If you were denied for missing documents, you may be able to provide them within a set window. Otherwise, your option is to submit a new application and pay the fee again. Fees from a denied application are not refunded. If your eVisa was approved but contains an error in your name or passport number, the issued visa generally cannot be amended. You have to apply and pay again. That is why the final review screen deserves more than a quick glance.
For denials based on criminal history or prior immigration violations, some countries allow you to apply for a waiver of ineligibility. Waivers are discretionary and far from guaranteed. The reviewing officer or agency will tell you whether one is available for your situation.
What Overstaying Costs You
Overstaying your authorized period is the fastest way to create long-term immigration problems for yourself. The consequences go well beyond a warning at the airport.
Indonesia’s rules reflect the general global pattern: staying beyond the permitted period can bring fines, deportation, and criminal charges.8Government of Indonesia. General Information and FAQ Many countries impose escalating re-entry bans tied to the length of the overstay. U.S. law, for instance, bars re-entry for three years after an overstay of more than 180 days and for ten years after an overstay of a year or more.10U.S. Department of State. 9 FAM 302.1 Ineligibility Based on Inadequate Documentation Your existing visa is automatically voided the moment you overstay, so you would need a brand-new visa from your home country just to return.
The downstream effects compound. An overstay on your record makes future visa applications to any country harder, not only the one where the violation occurred. Immigration databases are increasingly interconnected, and consular officers in unrelated countries routinely ask about prior violations. If you realize your stay is about to expire and you cannot leave in time, contact the local immigration authority about an extension before the deadline passes. Fixing an overstay after the fact is exponentially harder than extending beforehand.
