How Does an Etsy Deposit Appear on Your Bank Statement?

An Etsy deposit usually appears on your bank statement labeled “Etsy,” often followed by a three-letter code beginning with a # sign, though depending on your bank and country it may instead show the name of Etsy’s payment processor, such as Adyen, WorldPay, or Envoy.1Etsy. How to Update and Verify Your Bank Account for Etsy Payments Deposits The amount will almost always be smaller than your gross sales, because Etsy subtracts fees before sending anything to your account.

The Descriptor You’ll See

For U.S. sellers, Etsy’s own documentation says the deposit description contains a three-letter code beginning with a # sign.1Etsy. How to Update and Verify Your Bank Account for Etsy Payments Deposits Your bank may truncate or reformat that, so in practice the entry can read something like “ETSY #ABC” or just “ETSY” followed by a reference number.

Because Etsy uses third-party processors to move money, the descriptor sometimes shows the processor’s name instead. Common ones are Adyen, WorldPay, and Envoy. Sellers outside the United States may also see “Stichting Custodia,” “Stichting Custodian,” or “Etsy Ireland Limited.”1Etsy. Why the Amount Is Smaller Than Your Sales

The deposit is a net figure. Etsy subtracts every applicable fee from your Payment Account before initiating the transfer, so it will never match the price your buyer paid at checkout.

The usual deductions on a typical order include:

  • Transaction fee of 6.5% of the displayed price plus shipping and gift wrapping charges.2Etsy. Fees and Payments Policy
  • Payment processing fee of 3% plus $0.25 per transaction for U.S. sellers.3Etsy. What Are Payment Processing Fees for Selling on Etsy
  • Listing fee of $0.20 per listing, charged at publication and again every four months on auto-renewal, or after each unit sells in a multi-quantity listing.2Etsy. Fees and Payments Policy
  • Offsite Ads fee, if applicable, of 15% of the sale for shops earning under $10,000 in the past year, or 12% for shops at $10,000 or more, capped at $100 per order.4Etsy. How Etsy Offsite Ads Work
  • Currency conversion fee of 2.5% when the buyer pays in a different currency than your payment account.5Etsy. Currency Conversion Fees

Sales tax that Etsy collects and remits on your behalf also passes through your Payment Account as a line item, but it’s sent to the state, not to you. Shipping label costs come out the same way if you buy labels through Etsy.

To see exactly what came out of a specific deposit, open Shop Manager, then Finances, then Payment Account. The ledger there breaks down every credit and debit for the period, which is what you use to reconcile a deposit against a bank statement line.3Etsy. When a Reserve Is Holding Part of Your Money

If the deposit is smaller than the fee math alone would predict, Etsy may be holding a portion of your earnings in a payment reserve. Reserves are common for newer shops, sellers with a sudden spike in orders, and accounts with late shipments or missing tracking.6Etsy. What Is a Payment Account Reserve

When a reserve is active, a percentage of each sale is set aside and not available for deposit until 45 days after the sale, though funds can release earlier if you add valid tracking showing the order is in transit.6Etsy. What Is a Payment Account Reserve The percentage varies by account; Etsy’s Payments Policy gives an example of 30% held on a rolling 45-day cycle.7Etsy. Etsy Payments Policy For most sellers, the reserve is removed within 90 days of consistent good standing, and earning Star Seller status triggers automatic removal. The Reserve section of your Payment Account page shows whether one is currently in effect.

When to Expect the Deposit to Post

New shops default to weekly deposits sent every Monday. You can switch to daily, biweekly, or monthly under Shop Manager, Finances, Payment Settings. Daily deposits only go out when your available balance is at or above the minimum, which for U.S. sellers is $25.00; if the balance is below that on a given day, Etsy waits for the next scheduled date that clears the threshold.8Etsy. How to Receive Your Etsy Payments Deposit

Once Etsy initiates the transfer, expect three to five business days before the money shows in your bank.9Etsy. My Deposit Was Sent But I Haven’t Received It Weekends and bank holidays stretch that out, because ACH transfers don’t process on non-business days. A deposit sent Friday can easily land Wednesday or Thursday of the following week.

If a Deposit Never Arrives

If your Payment Account shows a deposit was sent but nothing has posted after five business days, the three most common causes are incorrect bank details at the time of the transfer, a currency mismatch between the deposit and your bank account, or a processing issue on the bank’s end.9Etsy. My Deposit Was Sent But I Haven’t Received It

Start by confirming the deposit appears as a line item in Payment Account under Finances. Then ask your bank whether they received an incoming ACH transfer from Etsy or one of its payment processors, using the alternate names above. If the bank confirms nothing arrived and 90 days have passed, contact Etsy Support to open an investigation with the processor. Etsy will need a signed letter from your bank confirming the funds were not received, listing the account holder’s name, the account currency, and the last four digits of the account number.9Etsy. Your Bank Deposits Won’t Match Your 1099-K

Worth flagging before tax season: if Etsy issues you a Form 1099-K, the total on it will be considerably larger than what actually landed in your bank over the year. The form reports gross payments processed through Etsy Payments, without subtracting fees, refunds, shipping costs, or the sales tax Etsy collected on your behalf.10Etsy. How Is the Total on My 1099-K Calculated The current federal reporting threshold is more than $20,000 in payments and more than 200 transactions in a calendar year.11Internal Revenue Service. Understanding Your Form 1099-K The gap between the 1099-K and your bank deposits is the fee and tax pass-through you already saw taken out at the deposit stage; you report the gross figure and deduct the business expenses separately.
