The fastest way to get a W-2 is to ask your employer’s payroll or HR office for a replacement, since federal law requires them to furnish one by January 31.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees If that doesn’t work, you have three backup paths: download it from your payroll provider’s employee portal, request a Wage and Income Transcript from the IRS, or file your return using Form 4852 as a substitute. Which one to use depends mostly on how close you are to the April filing deadline.
Ask Your Employer First
A quick call or email to payroll usually solves it. Every employer that pays wages must give each employee a written statement of compensation and taxes withheld on or before January 31 of the following year.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees For tax year 2026, the deadline shifts to February 1, 2027, because January 31 falls on a Sunday.2Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026)
When you call, the first thing to check is your mailing address on file. A wrong or outdated address is the single most common reason W-2s go missing. If the original was lost or damaged, federal regulations require your employer to issue a replacement.3eCFR. 26 CFR 31.6051-1 – Statements for Employees An employer that willfully refuses faces a $50 penalty per violation and possible criminal penalties.4Office of the Law Revision Counsel. 26 USC 6674 – Fraudulent Statement or Failure to Furnish Statement to Employee
One thing worth knowing: there’s no minimum-earnings threshold for W-2s. If you worked as an employee and were paid any wages, your employer owes you the form regardless of the amount.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees
Check Your Payroll Provider’s Portal
If your company runs payroll through a service like ADP, Workday, or Paychex, you can usually download a PDF of your W-2 the day it’s available. Log in to the employee self-service portal with your existing credentials and look under tax documents. This is often faster than waiting on the mail and doesn’t depend on your address being current.
Former employees can typically still get in for several months after leaving. If you’ve forgotten your password, use the account recovery feature before you call your old HR department. Some providers charge a small fee to reissue a paper copy, so try the digital download first.
Contact the IRS After the End of February
Don’t call the IRS the day after the January 31 deadline. The agency’s own guidance says to wait until the end of February, which gives your employer and the postal system time to fix the delivery.5Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
Once you’re past that window, call 800-829-1040 or schedule an appointment at a Taxpayer Assistance Center. Have this ready before you call:5Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
- Your full legal name, current mailing address, Social Security number, and phone number.
- Your employer’s full legal name, mailing address, and phone number.
- Dates you worked there and an estimate of your total earnings and taxes withheld.
Your employer’s Employer Identification Number helps too. Look for it on a prior-year W-2 or a year-end pay stub. The IRS will then send your employer a letter requesting the missing form and generally expects a response within 10 days.5Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
Pull a Wage and Income Transcript
The IRS keeps its own record of what your employer reported. Sign in to your Individual Online Account at irs.gov and request the Wage and Income Transcript, which shows figures from Forms W-2, 1099, and similar documents your employer filed. If you can’t register online, you can order a transcript by mail or by calling 800-908-9946.6Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
There’s a timing catch. Current-year wage data generally doesn’t start populating until the first week of February, and some employer filings arrive later. If your employer was slow to file, the transcript may be blank for weeks. It’s a solid backup and a way to double-check numbers, but it won’t help if your employer never filed at all.
File With Form 4852 If the Deadline Is Close
When April is closing in and you still don’t have your W-2, Form 4852 lets you file on time using estimated figures. The IRS treats it as a legitimate substitute.7Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement
Grab your final pay stub of the year. You’ll need:
- Total wages, tips, and other compensation (W-2 Box 1).
- Federal income tax withheld (Box 2).
- Social Security wages (Box 3).
- Social Security tax withheld (Box 4).
You sign the form under penalty of perjury, affirming the estimates are as accurate as possible given what you have.8Internal Revenue Service. Form 4852 (Rev. If the actual W-2 shows up later with different numbers, file an amended return using Form 1040-X to correct the discrepancy.10Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted
Or File an Extension
If you’d rather wait for the real W-2 than estimate, file Form 4868 before April 15 to push your filing due date to October 15.11Internal Revenue Service. File an Extension Through IRS Free File
The catch that trips people up: an extension to file is not an extension to pay. If you owe, the IRS still expects payment by April 15, and interest and penalties start accruing on any unpaid balance after that date.12Internal Revenue Service. Taxpayers Should Know That an Extension to File Is Not an Extension to Pay Taxes Use your last pay stub to estimate your liability and pay that amount when you file the extension. Overpaying slightly beats underpaying and drawing a penalty.
What you don’t want to do is nothing. The failure-to-file penalty runs 5% of unpaid tax per month up to 25%, and if the return is more than 60 days late, the minimum penalty for returns due after December 31, 2025 is $525 even if you owe very little.13Internal Revenue Service. Failure to File Penalty Filing Form 4852 or an extension is always cheaper than silence.
