If you lost your W-2, the fastest way to get a copy is to ask the employer that issued it, either through your HR or payroll contact or through the online payroll portal they use. If the employer won’t help or has closed, you can pull a free wage and income transcript from the IRS, ask the IRS to contact the employer on your behalf, or file your return with Form 4852 using your final pay stub as a substitute. The right path depends on how close you are to the filing deadline and whether the employer is still reachable.
Ask the Employer First
Employers are required to furnish W-2s to employees by January 31, or the next business day if that date falls on a weekend or holiday, so the company that paid you already has your wage data on file.1Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) Contact the payroll or human resources department and request a reprint. Current employees can often get one the same day.
If you’ve since left the job, confirm the company has your correct mailing address before they send anything, so the replacement doesn’t go to a former residence. Some employers reprint W-2s free; others charge a small administrative fee, and there’s no federal cap on what they can charge for a duplicate.
Check Your Online Payroll Portal
Many employers use third-party payroll providers such as ADP, Workday, or Paychex, and those services host digital copies of your tax documents. Log in to your employee dashboard and look for a “Tax Statements” or “Documents” section. In most cases you can view and download a PDF immediately, and the archive usually covers several prior years, which helps if you’re chasing an older W-2 too.
Former employees sometimes retain access to these portals, but that’s up to the employer’s settings. If your account has been removed, the payroll provider can’t hand over the document on its own — you’ll need to go back through the employer’s HR or payroll department.2ADP. Ask the IRS to Contact Your Employer
If you’ve reached out and still don’t have your W-2 by the end of February, call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center to file a formal complaint.3Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong Have this information ready:
- Your name, address, phone number, Social Security number, and the dates you worked for the employer
- The employer’s name, address, and phone number
The IRS will send the employer a letter within ten days requesting the missing W-2. The agency will also mail you a copy of Form 4852, the substitute form you can use to file if the W-2 still doesn’t arrive in time.4Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted
Pull a Free Wage and Income Transcript
The IRS keeps the wage information reported on your behalf and will give you a transcript of it at no cost.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them The quickest way is to sign in to your IRS Individual Online Account and view, print, or download it right away. If you can’t register online, you can order one by calling 800-908-9946 or by mailing Form 4506-T. Mailed transcripts generally arrive in five to ten calendar days.
Two limits are worth knowing before you rely on this route. The transcript shows only the federal data from your W-2, not state or local withholding, so if you need state figures for a state return you’ll still need to get them from the employer or your state tax agency.6Internal Revenue Service. Transcript or Copy of Form W-2 And current-year W-2 data usually isn’t in the IRS system until the year after it’s filed. W-2 information for tax year 2025, filed in early 2026, may not appear until 2027, which makes this option better for prior years than for the return you’re filing this spring.
File With Form 4852 if the Deadline Is Close
If April is approaching and none of the paths above have produced a W-2, you don’t have to wait. Form 4852 is a substitute for a missing or incorrect W-2 and attaches to your return in its place.7Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R
Use your final pay stub of the year to estimate total wages and taxes withheld. The form asks you to explain how you arrived at your figures, so note that you used pay stubs or bank records. Attach the completed Form 4852 to the back of your return, ahead of any supporting schedules.3Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
If the actual W-2 shows up later and the numbers don’t match what you estimated, file an amended return on Form 1040-X to correct the difference.4Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted
Or Request a Filing Extension
If you’d rather wait for the real W-2 than file with estimates, submit Form 4868 for an automatic extension until October 15 to file.8Internal Revenue Service. Get an Extension to File Your Tax Return The extension covers filing only, not payment. You still need to estimate what you owe and pay it by the original April deadline, or interest and penalties will accrue.
If Your W-2 Is Wrong Rather Than Missing
Different problem, similar playbook. If the W-2 arrived but shows the wrong wages, withholding, Social Security number, or other details, ask the employer to issue a corrected version on Form W-2c. Employers must file W-2c as soon as they discover an error and give you a copy.9Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing If the correction hasn’t come through by the end of February, call the IRS at 800-829-1040 with the same information listed above and the IRS will contact the employer. If a corrected form still doesn’t arrive before you file, use Form 4852 with the figures you believe are accurate from your pay stubs, and amend later with Form 1040-X if the eventual W-2c differs.4Internal Revenue Service.
