A charge labeled “HOTWIRE-SALES FINAL” on your credit or debit card statement is a purchase made through Hotwire, the discount travel site owned by Expedia Group. The full line usually reads something like “HOTWIRE-SALES FINAL 866-468-9473 CA 94111 USA,” and the “sales final” wording reflects Hotwire’s no-refund policy on its discounted “Hot Rate” bookings.1Digital Commerce 360. How to Respond to Top E-Commerce Chargeback Codes If you recognize the charge as a hotel, car, flight, or vacation package you booked on Hotwire, it is almost certainly legitimate and almost certainly nonrefundable. If you don’t recognize it, treat it as a potential unauthorized transaction and contact your bank or card issuer right away.
Why the Charge May Not Look Familiar
Hotwire charges your card in full the moment you complete a booking, not at check-in or pickup. So a line item from last month can easily belong to a trip you haven’t taken yet. If someone else in your household books travel, that charge still lands on your statement under the same descriptor.
The “Hot Rate” model adds another layer of confusion. On Hot Rate deals, you get a steep discount in exchange for not seeing the hotel name, airline, or rental car company until after you pay. You might remember booking “a 3.5-star hotel near downtown” without connecting that memory to a line labeled “HOTWIRE-SALES FINAL.” Searching your email for a Hotwire confirmation, or signing in to your account at hotwire.com, is usually the fastest way to match the charge to a specific trip.
If nobody in your household booked anything, the charge may be fraudulent. Unauthorized use of Hotwire’s payment system does show up in consumer complaints, and it is worth treating seriously the first time you see it.
Refunds When You Did Book the Trip
On Hot Rate bookings, Hotwire’s own terms state the reservations “cannot be cancelled, refunded, exchanged, transferred, or changed, even for a fee,” and that your card will be charged in full even if you never use the reservation.2Hotwire. What if My Reservation Doesn’t Meet My Expectations
Not every Hotwire booking is a Hot Rate deal, though. Standard-rate hotel reservations can carry their own cancellation terms that vary by hotel and room type. A few narrow paths exist for getting money back even on a Hot Rate booking.
Trip Protection Insurance
If you added Hotwire’s optional Trip Protection plan (underwritten by Allianz Global Assistance) at checkout, you may be able to file a claim for covered emergencies such as illness, severe weather, or airline bankruptcy. The insurance does not cover a plain change of plans.5Hotwire. Trip Protection Insurance Claims go through Allianz’s online portal, and a decision typically comes within 10 business days.6NerdWallet. Low-Price Guarantee
If you find a lower publicly available rate for the exact same hotel, dates, and room type within 24 hours of a Hot Rate hotel booking, you can request the difference back through your Hotwire account. The refund link is only active for 48 hours after booking.7Hotwire. Low-Price Guarantee This refunds the price difference; it does not cancel the reservation.
Star-Rating Discrepancies
When a Hot Rate hotel does not match the star rating promised at booking, some consumers have obtained refunds by escalating. Hotwire’s site says it will “work directly with the hotel” and that decisions about rebooking or compensation are made at Hotwire’s sole discretion.8Hotwire. Hotel Ratings Frontline agents generally are not authorized to issue refunds without supervisor approval, but documented star-rating mismatches have led to full refunds after escalation or intervention by consumer advocates.9SFGate. If You Did Not Make the Purchase
An unrecognized Hotwire charge that nobody in your household authorized should be treated as a possible unauthorized transaction. Your rights depend on whether the charge posted to a credit card or a debit card.
Credit Card Charges
Under the Fair Credit Billing Act, you can dispute a credit card charge by writing to your card issuer within 60 days of the statement date on which the disputed charge first appeared. You may dispute charges you or an authorized user did not make, and charges for goods or services that were not delivered as agreed.11State of Michigan DIFS. Using Credit and Charge Cards Overseas Start by calling the number on the back of your card, then follow up in writing if the issuer requires it.
Debit Card Charges
Debit cards carry somewhat weaker protections, but your bank still has to investigate. Notify the bank as soon as you spot the charge. If you report it within 60 days of the statement date, and your physical card and PIN were not lost or stolen, the bank generally has 10 business days to investigate. If the investigation runs longer, the bank typically must issue a temporary credit for the disputed amount minus up to $50. Full resolution is generally required within 45 days, with that window extending to 90 days for certain transactions.12Consumer Financial Protection Bureau. How Do I Get My Money Back After an Unauthorized Transaction
If your debit card or PIN was lost or stolen, telling the bank within two business days caps your liability at $50 or the amount of the unauthorized charges, whichever is less. Waiting longer than two days can raise that exposure to $500.12Consumer Financial Protection Bureau. How Do I Get My Money Back After an Unauthorized Transaction
Beyond Your Bank
The Office of the Comptroller of the Currency recommends placing a fraud alert with one of the three major credit bureaus (Equifax, Experian, or TransUnion), which then notifies the other two. You can also report identity theft to the Federal Trade Commission at IdentityTheft.gov and file a report with local law enforcement.13Office of the Comptroller of the Currency. When Hotwire Won’t Resolve a Billing Dispute
If customer service cannot settle a billing dispute, Hotwire’s terms of use require you to attempt resolution through its customer support first. If the issue is still unresolved after 60 days, you may pursue binding arbitration or file a claim in small claims court. The terms specify that the Federal Arbitration Act governs the process and that class actions and class arbitrations are prohibited; every claim has to be brought on an individual basis.15Justia. Fulda v Hotwire, Inc. A New York court upheld these arbitration provisions in Fulda v. Hotwire, Inc., ruling that the clause is valid even when a consumer alleges fraud in the underlying transaction, unless the fraud claim targets the arbitration agreement itself.
