An HGV driver tax rebate refunds the income tax you paid on money you spent doing your job — overnight subsistence, uniform laundry, CPC training, D4 medicals, and safety gear that your employer didn’t fully reimburse. Employed drivers on PAYE claim using Form P87, or through Self Assessment if the total tops £2,500 in a tax year. You can go back four tax years, and a typical claim runs into four figures.
Who Can Claim
The test is set out in Section 336 of the Income Tax (Earnings and Pensions) Act 2003: the cost has to be incurred “wholly, exclusively and necessarily in the performance of the duties” of your employment.1Legislation.gov.uk. Income Tax (Earnings and Pensions) Act 2003 – Section 336 In practical terms, you had no real choice but to pay it in order to do your job, and your employer didn’t cover it in full.
Partial reimbursement doesn’t disqualify you. If your firm pays £20 a night for sleeper cab subsistence and the HMRC-approved rate is £26.20, you can claim relief on the £6.20 gap. The only hard bar is full reimbursement: if the money has already come back to you, there’s nothing left to relieve.
A note on scope. Self-employed owner-drivers don’t use this route at all. They deduct business costs directly on their Self Assessment return, which is a different system covered briefly at the end.
What You Can Claim
Overnight Subsistence
This is where the money is. HMRC publishes agreed industry scale rates for lorry drivers who stay away from their normal base overnight: £34.90 per night, or £26.20 if you sleep in your cab.2GOV.UK. Employment Income Manual – EIM66205 – Tax Treatment of Lorry Drivers: Employer Guidance Those figures are the maximum an employer can pay tax-free. Where your employer pays less, or nothing, you can claim relief on the shortfall.3UK Parliament. Large Goods Vehicle Drivers: Tax Allowances
The numbers stack up quickly. A driver spending 200 nights a year in a sleeper cab with no employer subsistence has £5,240 of qualifying expense — over £1,000 back at the basic rate. A midday meal allowance is also available when you’re away from your normal workplace, though the sums are smaller.
Uniform Laundry
If you wear branded or specialised clothing for work and wash it at home, you can claim a flat rate without itemising every wash. The standard rate is £60 a year where your specific job isn’t listed in HMRC’s industry table.4GOV.UK. Check How Much Tax Relief You Can Claim for Uniforms, Work Clothing and Tools Some transport roles carry a higher £80 rate, so check the list against your employer’s sector. At 20%, the £60 rate returns £12 in cash — modest, but it adds nothing to the workload.
Driver CPC Training
Professional drivers need 35 hours of periodic training every five years to keep their Driver Certificate of Professional Competence. Pay for it yourself and the full cost qualifies for relief in the tax year you pay. A five-day course typically runs around £200.
D4 Medicals
The D4 medical needed to obtain or renew an HGV licence is a claimable work expense where your employer doesn’t cover it. Fees start from around £50 and can top £100 depending on the provider.
Safety Gear
High-visibility jackets, steel-toed boots, and other protective kit you buy for work are claimable at actual cost, so keep the receipts. The flat-rate shortcut only applies to laundry.
How Much It’s Worth
Tax relief doesn’t refund what you spent. It refunds the tax you paid on that spend, at your marginal rate. £1,000 of qualifying expense returns £200 to a basic-rate taxpayer and £400 to a higher-rate taxpayer.
A worked example. An employed driver claiming 200 sleeper-cab nights (£5,240), the £60 uniform flat rate, and a £75 D4 medical has £5,375 of qualifying expenses. At the basic rate, that’s a £1,075 rebate for one year. Backdated four years, the total can run into several thousand pounds.
The Four-Year Deadline
You can claim for the current tax year and the four preceding it. The statutory cut-off is four years from the end of the tax year concerned.5GOV.UK. Self Assessment Claims Manual – SACM3035 – Making and Amending Claims: Time Limits For 2021/22, the deadline is 5 April 2026; after that date, relief for that year is gone. If you’ve never claimed, submitting four years at once is the single most valuable move. Every April you wait, a year drops off the end.
How to Claim
Employed drivers with expenses of £2,500 or less per tax year use Form P87.6GOV.UK. Claim Tax Relief for Your Job Expenses by Post Above £2,500, you file a Self Assessment return instead.
There are two routes: submit online through the GOV.UK claim service, or download the P87, complete it, and post it to HMRC with supporting documents.7GOV.UK. Claim Tax Relief for Your Job Expenses: Overview The form asks for your employer’s name, their PAYE reference (on your payslip or P60), your dates of employment, and the amounts claimed under each expense category. HMRC cross-checks against your employer’s records, so accurate figures matter.
What to Have Ready
For each tax year you’re claiming, gather:
- Your P60 for that year. Your employer must issue this by 31 May if you were on payroll on 5 April.8GOV.UK. Your P45, P60 and P11D Form: P60
- Your National Insurance number.
- Tachograph records or logbooks proving nights away from base. Digital tachograph downloads are date-stamped and hard to dispute.
- Receipts for CPC courses, D4 medicals, and safety gear. You don’t need receipts for the laundry flat rate or for subsistence at the HMRC scale rate.
- Payslips or expense statements showing what your employer already paid you, so HMRC can see you’re only claiming the gap.
After You Submit
HMRC’s processing times vary and aren’t fixed, so don’t count on a specific date. The rebate comes as a bank transfer, a posted cheque, or a tax code adjustment. A tax code change means no lump sum: less tax is deducted from your wages each month until the relief is recovered. HMRC tends to use this route when it expects the expense to continue in future years.
Tax Codes and the 2026/27 Change
Once a claim goes through, HMRC often builds the expense into your tax code, giving you the relief automatically in future years without a fresh claim. That’s changing. From 2026/27, HMRC will strip employment expenses over £120 out of tax codes where certain conditions apply — for example, a gap in PAYE employment or no Self Assessment returns filed in recent years.9ICAEW. Tax Code Changes for Employment Expenses and Gift Aid Relief
If you change employers or have any break in employment, don’t assume the relief carries across. Check your tax code at the start of each tax year and resubmit a claim if it’s been removed. Drivers who’ve relied on automatic adjustments for years could see take-home pay drop with no warning.
Self-Employed Drivers
Owner-drivers operating as sole traders or through a limited company don’t use Form P87. Business costs come off directly on the Self Assessment return, and the range is wider: fuel, vehicle maintenance, insurance, licence fees, CPC training, work clothing, and meals while travelling. You don’t submit receipts with the return, but you must keep them for at least five years in case HMRC opens an enquiry. Photograph them the day you get them and store them digitally.
Skip the Refund Companies
Firms that offer to “get your tax refund” for a percentage of the money are all over the haulage sector. Some take 30% to 50% of what you recover — £600 to £1,000 out of a £2,000 rebate. HMRC has repeatedly warned about aggressive refund agents and noted that incorrect claims submitted by an agent can leave you owing money back with interest while the agent keeps the fee.10GOV.UK. New Homeowners Warned Over Tax Refund Claims
The P87 takes about 20 minutes with your documents to hand. The online service is quicker still. Nothing in a standard subsistence and laundry claim needs paid help. If your situation is genuinely complicated, a qualified accountant on a flat fee is a better answer than a cut of the rebate.
