Hayward Warranty Claim Form: Filing by Phone and Denial Appeals

To file a Hayward warranty claim, call Hayward’s technical service department at 908-355-7995, Monday through Friday from 8:00 a.m. to 5:00 p.m., or bring the equipment to an authorized Hayward service center. There is no online warranty claim form. The process runs through Hayward’s phone support or a local authorized dealer who can inspect the equipment, confirm coverage, and order parts on your behalf. Before you make contact, have your serial number, model number, and proof of purchase ready.1Hayward. What Is the Warranty and How Do I Get Warranty Service

What to Have Ready Before You Call

Three pieces of information will keep the call short: the serial number, the model number, and proof of purchase.

Hayward serial numbers for most products are 17 digits long and begin with “21.” Pumps carry multiple labels, so look for the tag on the main pump housing, not on the motor or the shipping box. Controls and chlorinators use a different format, but the label still lives on the unit itself.2Hayward. Hayward Pool Product Warranty Registration FAQ If a pump serial reads as something like “(21) 11…” with parentheses and spaces, drop those characters when you give it to the representative.3Hayward. Proof of purchase means your original receipt, invoice, or order confirmation showing the date and place of purchase. Hayward’s warranty applies only to products bought from Hayward directly or from an authorized seller, and the company reserves the right to reject claims on equipment purchased from unauthorized sellers, including unauthorized internet sites.4Hayward. Pool Product Warranty: Quality and Peace of Mind If you bought through a marketplace seller rather than a recognized Hayward dealer, expect friction.

Also write down a clear description of the failure. When did it start? What are the symptoms — leaking seals, error codes, unusual noise, loss of pressure? Did the problem come on gradually or all at once? The more specific you are, the faster the support team can decide whether the failure is likely covered and whether you need to see a service technician in person.

The Two Ways to File

Calling Hayward Directly

When you call 908-355-7995, a representative will ask for your serial number, model number, purchase details, and the failure description. Expect basic troubleshooting over the phone to rule out user-correctable issues. If the problem points to a covered defect, the representative opens the claim and directs you to next steps, which usually means either arranging replacement parts or sending you to an authorized service center for hands-on inspection.1Hayward. Working Through an Authorized Service Center

You can also start with the dealer who sold you the equipment or the nearest Hayward authorized service center, findable through the dealer locator at hayward.com.4Hayward. Pool Product Warranty: Quality and Peace of Mind Many owners prefer this route when the equipment needs hands-on diagnosis. The dealer inspects the unit, confirms the failure, and submits the claim through their professional portal. A technician’s in-person assessment tends to carry weight with the warranty department when the nature of a defect is ambiguous. The service center handles the parts order and, if your coverage includes field labor, schedules the repair.

Register the Product First If You Haven’t Already

Hayward offers a 90-day parts-only warranty extension to owners who register their equipment online. The 90 days stack on top of whatever standard warranty applies, so a pump with three years of parts coverage effectively gets three years and 90 days.5Hayward. Hayward Pool Product Registration Registration is free and takes a few minutes with the serial number, model number, and in-service date.

Registration is not required to file a claim, but skipping it can cost you time later. Without registration, you must produce proof of purchase to establish your warranty period. If you have no receipt at all, Hayward defaults to the manufacturing date stamped into the equipment as the purchase date, which almost always shortens your effective coverage window.4Hayward. Know Your Coverage Tier Before You File

Hayward organizes its warranties into three tiers, and the tier changes what the claim can actually get you.4Hayward. Pool Product Warranty: Quality and Peace of Mind

  • Expert Line products are sold only through brick-and-mortar locations and qualify for both parts and field labor coverage. Standard in-ground coverage is three years for parts and one year for field labor.
  • Open Line products, including W3 model numbers, replacement parts, and accessories, are approved for sale online and in stores. In-ground coverage is one year, parts only. Buying from a store or having a professional install it does not extend that period.
  • Totally Hayward is an enhanced Expert Line tier available through participating Hayward Rewards dealers. When such a dealer sells and installs Expert Line equipment, field labor extends by an additional year on in-ground products.

Coverage length also varies by product category. It’s worth checking the warranty chart on Hayward’s site or in your owner’s manual for the specific product before you call, so you know what you’re entitled to ask for.

Why Claims Get Denied

Hayward warrants that product components will be free from defects in materials and workmanship, and defective parts will be repaired or replaced at Hayward’s option.4Hayward. Pool Product Warranty: Quality and Peace of Mind You do not choose between repair and replacement; Hayward does. Several categories of failure fall outside the warranty entirely.

The warranty does not cover damage from freezing, negligence, improper installation, improper use or care, acts of God, or conditions specified in the installation and operations manual. A heater heat exchanger that cracked because the plumbing was not winterized is not covered. A pump motor that burned out because it ran dry is not covered. Components manufactured by other companies and included in a Hayward product carry only the original manufacturer’s warranty, not Hayward’s.4Hayward. Pool Product Warranty: Quality and Peace of Mind

Certain parts are classified as normal wear items, excluded from extended coverage and covered only for manufacturing defects, which Hayward notes normally appear within 30 days of installation. That list includes:4Hayward. Pool Product Warranty: Quality and Peace of Mind

  • Pump basket-strainers, o-rings, and pump seals
  • Filter cartridges, fingers, grids, o-rings, and pleated filter elements
  • Heater heating elements and o-rings
  • Cleaner bottom skirts, debris bags, discs, flaps, footpads, hammers, shoes, sweep hose rollers, tires, and wings
  • Light bulbs

If a pump seal starts leaking six months after installation, it will almost certainly be classified as normal wear and the claim will be denied.

Labor and transportation are their own trap. Hayward’s terms say the company is not responsible for cartage, removal, repair or installation labor, or any other costs incurred in obtaining warranty replacements or repair.6Hayward. Terms and Conditions of Sale The field labor coverage listed for Expert Line products softens that during the labor window, but once the labor period expires, you pay the technician even if the parts are still covered. On Open Line products, labor is never covered.

Your Rights Under the Magnuson-Moss Warranty Act

Federal law adds protections that matter when a claim gets contested. The Magnuson-Moss Warranty Act requires manufacturers who offer a written warranty on consumer products to disclose the terms fully and in plain language, including what the warrantor will do in the event of a defect, what expenses the consumer must bear, and the step-by-step procedure for obtaining warranty service.7Office of the Law Revision Counsel. 15 USC 2302 – Rules Governing Contents of Warranties

The tie-in sales prohibition is the piece most pool owners never hear about. A manufacturer cannot condition its warranty on your use of a specific branded article or service unless it can prove to the Federal Trade Commission that the product only functions properly with that branded part. In plain terms, Hayward cannot automatically void your warranty because you installed a third-party replacement cartridge or a non-Hayward salt cell. Hayward can deny a specific claim if it can show the aftermarket part caused the failure, but the mere presence of a non-Hayward component is not grounds for denial.8Office of the Law Revision Counsel. 15 USC 2302 – Rules Governing Contents of Warranties

If Your Claim Is Denied

Hayward does not publish a formal appeals process. If a claim is rejected, the warranty page directs you back to the place of purchase, an authorized service center, or Hayward’s general contact page.4Hayward. Pool Product Warranty: Quality and Peace of Mind That is not much help when the denial itself is what you want to dispute.

A few steps tend to move things. Ask for the denial in writing with the specific reason stated. If the reason is “improper maintenance” or “normal wear,” ask what evidence supports the finding. If you believe the denial violates the tie-in prohibition, you can file a complaint with the Federal Trade Commission or your state attorney general’s consumer protection division. The Magnuson-Moss Act also allows consumers to sue in state or federal court for breach of warranty, though the cost of litigation over a pool pump rarely makes economic sense. For most owners, a detailed written escalation to Hayward’s customer support, backed by photos of the failure and a copy of the relevant warranty terms, resolves the dispute faster than any legal route.
