H1B Stamping Process: DS-160, Dropbox Waiver, and Interview

The H-1B stamping process is what turns your approved petition into a visa you can actually travel on: you complete the DS-160 online, pay the $205 visa fee, attend a biometrics appointment and a consular interview at a U.S. embassy or consulate abroad, and then collect your passport with the physical visa foil inside. USCIS approval alone doesn’t let you board a plane or clear Customs and Border Protection. The stamp does. Documents to Gather First

Get your paperwork together before you open the online application. A missing document can stall you at the DS-160 stage or send you home from the consulate window.

If you’ll be placed at a client site rather than your employer’s own office, bring documentation of the employer-employee relationship and the specifics of your assignment. Filing the DS-160

The DS-160 is the online nonimmigrant visa application. You complete it through the Consular Electronic Application Center at ceac.state.gov, and it takes roughly 90 minutes.4U.S. Department of State Electronic Application Center. Enter your I-797 receipt number and your employer’s tax identification number carefully. One wrong digit means the DS-160 won’t link to the underlying petition, and that mismatch creates avoidable trouble at the window.

Photo Requirements

The digital photo has to be in color, taken within the last six months, shot against a plain white or off-white background, with your full face toward the camera, a neutral expression, and both eyes open. Glasses aren’t allowed unless you’ve had recent ocular surgery and a medical professional provides a signed statement.6U.S. Department of State. A rejected photo is a small delay that feels much bigger than it is, so get it right the first time.

Fee and Appointments

After you submit the DS-160 and get the confirmation page, log into the appointment scheduling portal for the country where you’re applying. In most locations, that’s a site like ustraveldocs.com, where your profile gets linked to your DS-160 confirmation number.

Most countries have you book two dates: biometrics first, then the consular interview. H-1B interview wait times swing widely by post. As of early 2026, some consulates in India show two to three month waits while others open up within weeks. Biometrics

Your first in-person appearance is at a Visa Application Center. Staff photograph you and take electronic fingerprints. Bring your passport and the printed appointment confirmation. The visit is quick and administrative, with no questions about your job or qualifications.

The Dropbox Interview Waiver

If you’re renewing an H-1B and your prior visa expired less than 12 months before your new application, you may qualify for an interview waiver, which the State Department calls the dropbox process.   • Apply in your country of nationality or residence.
  • Have no prior visa refusals, unless the refusal was overcome or waived.
  • Have no apparent visa ineligibility.

When it works, dropbox turns two trips into one. A prior refusal, a gap in status, or a change in employer since your last stamp will usually push you into the full interview instead.

The Consular Interview

Security screening comes first. Leave electronics, large bags, and anything else that could be flagged at home or in your car. Inside, you wait to be called to a window for a short conversation with a consular officer. That conversation is where the decision gets made.

The officer’s questions center on whether your job is a genuine specialty occupation and whether you’re qualified to do it. Expect questions about your employer’s business, your daily responsibilities, how your degree connects to the work, your salary, and your work location. Consistency is what carries the interview. The officer is matching your answers against the LCA, the petition, and your DS-160. If your petition says software engineer in Chicago and you describe work at a client site in Dallas, the discrepancy needs a clear explanation. Concise, honest answers about what you actually do every day work better than rehearsed language about your employer’s mission.

If You’re Refused or Held for Review

Two provisions account for most H-1B refusals.

Section 221(g)

A 221(g) refusal means the officer didn’t find eligibility established on the application and interview alone. It isn’t necessarily permanent. The officer may request additional documents, such as pay stubs, client letters, or organizational charts, and reconsider. You have one year from the refusal date to submit what was requested. Section 214(b)

Administrative Processing

When a case goes into administrative processing, additional security or background checks are being run before a final decision. The officer should tell you at the end of the interview. There’s no fixed timeline. The State Department asks applicants not to inquire until 180 days have passed from the interview or from the date you submitted any requested documents, whichever is later.13U.S. Department of State. Certain technical fields, including advanced computing, nuclear technology, aerospace, robotics, information security, and biotechnology, are more likely to draw extended review under what’s known as the Technology Alert List. Even tangential work can get flagged. If your specialty falls in this range, plan travel accordingly and talk to your employer about timing before the interview.

Some cases get Form DS-5535, which asks for 15 years of travel and address history, five years of phone numbers and email addresses, social media accounts, and an extended employment history. Receiving it is not a denial. Complete it thoroughly and submit it quickly, since your one-year clock from the initial 221(g) is running.

Getting the Passport Back

After a successful interview, the consulate keeps your passport to apply the visa foil. Track the case through the CEAC Visa Status Check by entering your case number and selecting “Nonimmigrant Visa.”14U.S. Department of State. When you get the passport back, inspect the foil right away. Check your name, date of birth, nationality, petition receipt number, and expiration date. Catching a typo before you fly is far less disruptive than finding it at the CBP booth. Report any errors to the consulate immediately.

What the Dates on Your Visa Actually Mean

The dates on the visa stamp control how long you can use it to travel to a U.S. port of entry. They do not control how long you can stay once you’re inside. That distinction trips people up constantly. Validity and number of entries depend on your nationality under reciprocity agreements between the U.S. and your home country.15U.S. Department of State. Your authorized stay is set by the CBP officer at the port of entry, not the visa stamp. For H-1B holders, the officer typically records D/S (duration of status) on the I-94, meaning you can stay as long as your approved H-1B employment continues. Entering the United States

A valid stamp doesn’t guarantee entry. The CBP officer at the airport makes the final call. Keep your stamped passport, I-797 approval notice, LCA copy, and offer letter in your carry-on, not your checked bag, because you clear CBP before baggage claim. Have your employer’s address and a contact ready in case the officer asks.

After you clear inspection, verify your electronic I-94 record at i94.cbp.dhs.gov.17U.S. Customs and Border Protection. The I-94 is your official proof of lawful admission. Errors can cause problems months later when you file for an extension or change of status, so check it in the first few days after arrival while corrections are still straightforward.

Stamping in a Third Country

You aren’t strictly required to stamp in your home country. Some applicants prefer a consulate in a third country while they’re traveling. Third-country national processing has been significantly restricted in recent years. Several U.S. consulates, including those in Mexico, no longer accept TCN appointments for H-1B and other work visa categories unless the applicant resides in that country. If a third-country consulate refuses your case, you can find yourself outside the U.S. without a stamp and unable to return. Most immigration attorneys recommend stamping in your home country unless you have a real reason to do otherwise and have confirmed the third-country consulate will process you.
