H-1B Dropbox Appointments in India: New Rules and Booking Steps

H-1B dropbox appointments in India are no longer automatic. Since October 1, 2025, H-1B is not on the Department of State’s standard interview waiver list, but individual consulates in India can still offer dropbox on a case-by-case basis. Whether you actually see a dropbox slot depends on what the scheduling portal shows for your profile at the moment you apply, so check current availability before you plan a trip.¹

What Changed on October 1, 2025

The Department of State announced in September 2025 that, effective October 1, most nonimmigrant visa applicants must appear in person for an interview. The waiver now applies to a short list: diplomatic and official visa holders, B-1/B-2 tourist and business visa renewals within 12 months of expiration, and H-2A agricultural worker renewals.¹

H-1B is not on that list. Earlier in 2025 the waiver window for H-1B renewals had already been cut from 48 months to 12 months, and the October change removed employment-based categories from the standard waiver flow entirely.²

Dropbox is not gone, though. Consular officers keep statutory discretion under INA Section 222(h) to waive interviews in individual cases, U.S. missions in India still operate Visa Application Centers, and the scheduling portal still routes some applicants to a dropbox flow. What you get depends on how the consulate is exercising that discretion when you log in.³

When You May Still Qualify

If the portal offers dropbox to your profile, the underlying conditions are the ones the State Department has used all year:

You’re renewing a visa in the same classification as your previous one.
Your prior visa is still valid or expired within the last 12 months.
You have not been refused a visa since your last issuance, unless the refusal was overcome or waived.
You’re applying from your country of nationality or residence, which means being physically in India when you submit.²

Even then, a consular officer can pull your case for an interview if anything on your record looks like it needs a closer look.

Who Cannot Use Dropbox

A few situations rule out dropbox regardless of what the general policy says. If you changed to H-1B from another status inside the United States and have never had an H-1B stamp in your passport, you’re a first-time H-1B applicant for visa stamping and must attend an in-person interview. If your prior visa was in a different classification, such as F-1 or L-1, the same-classification requirement isn’t met. And any apparent ineligibility on your record lets the consular officer require an interview.

Documents to Have Ready Before You Book

Line these up before opening the scheduling portal. A mismatch found after you’ve locked a date is one of the more painful ways to lose time.

DS-160 confirmation from the Consular Electronic Application Center. Employer name, job title, and work location on the DS-160 must match your I-797 exactly.
Your current I-797 approval notice. You’ll enter the receipt number when you build your profile.
Your current passport, valid at least six months beyond your intended stay, plus any previous passports carrying prior U.S. visa stamps.
Two color photos taken within the last six months, plain white or off-white background, neutral expression, no eyeglasses, head size between 1 inch and 1⅜ inches from chin to crown.⁴
MRV fee payment of $205 for petition-based categories including H-1B. Pay through the scheduling portal; the calendar won’t unlock until payment clears.⁵
Employer support documents: a copy of the I-129 petition, the approved Labor Condition Application, and an employment verification letter confirming your role, salary, and that the position is still open. Recent pay stubs and W-2s strengthen the package, especially if anything about your role has shifted since your last visa.

How Booking Works

All scheduling runs through the U.S. visa appointment portal. Create a profile using your DS-160 confirmation number and I-797 details. The system asks a series of questions to test whether you qualify for the interview waiver. If it treats you as eligible, it routes you to the dropbox scheduling flow instead of the standard interview calendar.

The calendar only appears after the portal confirms your fee payment, which can take from a few minutes to a full business day. Availability is often pooled across cities, so you may see openings in Hyderabad but nothing in Mumbai on the same day. Pick a slot and print the confirmation page. You’ll need the physical copy to enter the Visa Application Center.

Slots appear unpredictably. The Department of State says embassies and consulates release additional appointments on a regular basis and encourages applicants to keep checking if the first dates shown are too far out.⁶

Where to Submit in India

India has two tiers of submission locations. Full Visa Application Centers, where document submission is included, are in Chennai, Hyderabad, Kolkata, Mumbai, and New Delhi. Six additional document drop-off centers operate in Ahmedabad, Bangalore, Chandigarh, Cochin, Jalandhar, and Pune for a fee of ₹1,200 per application.³

On the day of your appointment, bring your printed confirmation, current and previous passports, both photos, and the full document package. Security is strict, so plan to leave electronic devices and large bags outside. Staff will check your documents against a checklist and give you a tracking receipt confirming custody has transferred to consular authorities. Keep it. That receipt is your proof of submission and holds the details you need to track passport return. For return delivery, you can accept standard courier or pay ₹1,200 for premium home delivery, payable at submission or collection.

Processing Time and Tracking

Once the Visa Application Center accepts your package, it travels to the assigned consulate for adjudication. Typical dropbox processing currently runs roughly 7 to 14 business days from receipt, longer in peak periods or when a case needs extra review. Summer and the post-cap window from October through January tend to be busier.

Track status at ceac.state.gov by choosing “Nonimmigrant Visa” and entering your DS-160 case number with your passport number and surname. “Issued” means your visa has been approved and is in final processing; if you haven’t received your passport within 10 working days of that status, contact the consulate. “Administrative Processing” means further review is underway and can last weeks or months. “Refused” is not always a permanent denial; it covers administrative processing, cases pending additional documents, and cases denied under INA Section 214(b). Read whatever instructions the consulate provides with the status.

If You Get a 221(g) After Submitting

A dropbox refusal is not the same as a visa denial. If the consular officer decides an in-person conversation is needed, you’ll receive a 221(g) notice, which is a procedural hold requiring you to attend a standard interview before your visa can be decided.

The notice usually lists specific documents the officer wants to see at the interview. Common requests include the original I-129 petition, the Labor Condition Application, recent pay stubs, W-2s, client engagement letters, and project documentation. Tell your employer immediately since some items may take time to prepare.

Schedule the interview through the same portal. Don’t try to resubmit through dropbox; your case is already in the system and needs to move through the interview track. If additional documents are requested after the interview, most consulates accept them within about seven days through a designated drop-off window. Watch your CEAC status after 30 days, and if nothing has moved after 60, send a written inquiry through the consulate’s online contact form.

If the Slots Are Too Far Out

You can request an expedited appointment through the online scheduling system, but only after you already have a confirmed appointment on the calendar. If approved, you’ll get email instructions for the earlier date. Don’t cancel your existing appointment until that confirmation arrives, because approvals are not guaranteed and expedited slots are very limited.³

The embassy warns that even time-sensitive travel may not be accommodated given demand. Medical emergencies and humanitarian situations carry the most weight. Detailed supporting documentation helps; a general note about work deadlines is less persuasive than a specific letter from your employer explaining the business impact of your absence.

Domestic Renewal as an Alternative

If you’d rather not travel to India at all, the Department of State launched a domestic visa renewal pilot in January 2024 that lets certain H-1B holders renew their visa stamps without leaving the United States. The pilot initially opened to about 20,000 participants, and the Department has indicated plans to expand it.⁷

Eligibility and availability change often, so check the State Department’s domestic renewal page for current status before committing to a trip. If you qualify, the domestic route removes the dropbox scheduling problem entirely, though its own processing times vary. For many H-1B workers, the choice comes down to timing, risk tolerance, and whether there are other reasons to be in India anyway.
