To set up direct deposit with Gesa Credit Union, fill out the Gesa Credit Union direct deposit form with the credit union’s routing number (325181248) and your account number, sign it, and give it to your employer’s payroll department. The form is a short PDF available on Gesa’s website or at any Gesa branch. Most employers need one to two pay cycles before the first electronic deposit lands.
What You Need Before You Start
Gather these details before you sit down with the form:
- Gesa’s routing number: 325181248. The same nine digits for every Gesa member.
- Your Gesa account number, found on your checks, your statements, or inside online and mobile banking. If you can’t locate it, call member service at (888) 946-4372.
- Account type: checking or savings. The form asks you to pick one.
- A voided check, if your employer asks for one. Write “VOID” across the face of a blank check in large letters, keeping the printed numbers along the bottom readable.
No physical checks? Not a problem. Gesa publishes the routing number online, and your account number is visible through online banking or by phone. Many employers now accept a letter or printout from the credit union confirming both numbers in place of a voided check.1Nacha. Direct Deposit Without a Voided Check? Absolutely!
Filling Out the Form
Gesa’s authorization form has four core fields.2Gesa Credit Union. Direct Deposit Instructions
- Direct Deposits to: pre-filled with Gesa Credit Union’s name and Richland, WA 99352 address.
- Routing/Transit (or ABA) #: 325181248. Some versions of the form pre-print this.
- For credit to: your full legal name as it appears on your Gesa account. A name that doesn’t match your payroll records can cause confusion, though under ACH rules the receiving institution posts transactions based on account number alone and isn’t required to reject a deposit over a name mismatch.
- Account Number: your Gesa account number, written carefully. A single transposed digit can send your paycheck to the wrong place.
Sign and date where indicated. Many employers have their own authorization form with extra fields for your Social Security number, employee ID, and deposit allocation choices. If so, the Gesa information above is what fills the banking section of that form.
Submitting It to Payroll
Hand the completed form to your employer’s payroll or human resources department. Some companies collect it through an HR portal or a secure upload tool. Others want a paper copy in person. Ask your payroll contact which method they prefer and whether they want any attachments, like a voided check or a bank verification letter.
Treat the completed form the way you’d treat a blank check. Don’t send it over unencrypted email and don’t leave it sitting on a shared printer. Payroll diversion scams, in which someone impersonates an employee and submits fake banking details, are common enough that many employers now verify a direct deposit change by calling the employee at a known phone number before processing it.3Beazley Group. Protect Our Paychecks — Beware of Payroll Diversion Scams If your employer doesn’t do this, it’s worth suggesting.
When the First Deposit Will Arrive
Don’t shut off your old payment method the day you turn in the form. Most employers need one to two full pay cycles before the first electronic deposit arrives. The delay comes from a behind-the-scenes verification step called a prenote: your employer sends a zero-dollar test transaction to Gesa through the ACH network, and if no error code comes back within a few banking days, the account is cleared for live deposits.4Modern Treasury. What Is an ACH Prenote? ACH rules require that prenote to precede the first live deposit by at least three banking days.
During the waiting period, expect one or two more paper checks or whatever payment method your employer used before. Watch your Gesa transaction history in online or mobile banking to see the first deposit post.
ACH files don’t process on weekends or Federal Reserve holidays. If payday lands on a holiday or the day after, your deposit may arrive a day early or a day late depending on how your employer batches payroll. Once a deposit posts, Gesa typically makes the funds available that morning, though the federal guarantee under Regulation CC is next business day, not same day.5eCFR. 12 CFR 229.10 – Next-Day Availability
If you’re switching from another bank, keep that old account open and funded for at least two months so automatic payments and subscriptions tied to it don’t bounce while you move them over.
Splitting Your Paycheck Across Accounts
Many payroll systems let you route your pay into more than one account. You might send a flat dollar amount to a Gesa savings account for emergency savings and the rest to checking, or split by percentage so the ratio holds whatever you earn. How many accounts you can split across, and whether you can pick a flat amount or a percentage, depends on your employer’s payroll software, so ask HR for specifics.
To split between Gesa and another bank, you’ll usually fill out a separate authorization section (or a second form) for the other institution, giving its routing and account numbers.
Fixing Mistakes and Rejected Deposits
A wrong routing or account number usually causes the deposit to bounce back to your employer. The common ACH return codes are R03 (no account or unable to locate account) and R04 (invalid account number structure) for account errors, and R13 (invalid ACH routing number) for a mistyped routing number. Funds go back to the originator, and your employer will typically cut a paper check while you submit a corrected form. Returned deposits take three to five business days to cycle back, so bills due that week may be affected. Checking every digit before you submit is the easiest way to avoid the whole mess.
A worse scenario: the account number you wrote is wrong but belongs to someone else’s valid account. Receiving banks are allowed to post ACH transactions based on account number alone, without matching the name to the account holder. Call Gesa and your employer right away so both can start a trace and try to recover the money.
If a deposit posts to your Gesa account in the wrong amount, posts as a debit instead of a credit, or shows up as an unauthorized transfer, you have rights under the Electronic Fund Transfer Act. Notify Gesa within 60 days of the statement date that first showed the error.6Consumer Financial Protection Bureau. 1005.11 Procedures for Resolving Errors You can start the report by phone; Gesa may ask for written confirmation within 10 business days. For unauthorized transfers, your liability is capped at $50 if you report within two business days of learning about it, and up to $500 if you report between two and 60 days. After 60 days of silence, you can be on the hook for the full amount.7Office of the Law Revision Counsel. 15 USC 1693g – Consumer Liability
Changing or Canceling Direct Deposit
To stop direct deposit or move it to a different account, submit a new authorization form to payroll. The old instructions keep running until the new ones take effect, which again takes one to two pay cycles. Moving funds between two Gesa accounts (checking to savings, for example) means updating only the account number; the routing number stays 325181248. Leaving Gesa for another institution means giving payroll the new bank’s routing and account numbers on a fresh form, and keeping your Gesa account open until you’ve confirmed the first deposit landed at the new bank.
Using the Same Information for Social Security and Tax Refunds
The Gesa direct deposit form is for employer payroll. Federal benefits and tax refunds use different channels but the same two numbers.
For Social Security, Supplemental Security Income, and other federal benefit payments (which must be delivered electronically rather than by paper check), update your banking details through your my Social Security account online, by calling 1-800-772-1213, or at a local Social Security office.8Social Security Administration. Direct Deposit You’ll give the same routing number (325181248) and your account number.
For an IRS tax refund, enter Gesa’s routing number and your account number on your tax return. To split a refund across two or three accounts, attach IRS Form 8888 and list the dollar amount, routing number, account number, and account type for each; each deposit has to be at least one dollar, and the amounts must total your full refund.9Internal Revenue Service. The Benefits of Having a Tax Refund Direct Deposited The IRS caps direct deposit at three refunds per year into a single account; anything beyond that comes as a paper check.10Internal Revenue Service.
