To fill out Form W-4 for 2026, work through its five steps in order: enter your personal information and filing status, address multiple incomes if they apply, claim dependents, make optional adjustments for other income or deductions, then sign. Only Steps 1 and 5 are required. The other three exist to make your withholding match what you’ll actually owe, so skipping them is fine only when your situation is simple: one job, no dependents, standard deduction, no side income.
The 2026 form looks different from earlier versions. Recent tax legislation added new deductions to the worksheet on page 4, and the standard deduction and child tax credit amounts have changed. Even if you filled one out a few years ago, walk through it fresh.
Step 1: Personal Information and Filing Status
Enter your full legal name, home address, and Social Security number, then choose one of three filing statuses: Single or Married Filing Separately, Married Filing Jointly or Qualifying Surviving Spouse, or Head of Household.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate Filing status drives which tax brackets and standard deduction your employer applies to every paycheck, so a wrong pick throws off withholding for the whole year.
Head of Household is the box people check incorrectly most often. You qualify only if you are unmarried and pay more than half the cost of keeping up a home for yourself and a qualifying dependent.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate Recently divorced with no qualifying dependent in your home? You file as Single. The 2026 standard deduction for Head of Household is $24,150 compared to $16,100 for Single filers, so guessing wrong here has real consequences.2Internal Revenue Service. Step 2: Handling Multiple Jobs or a Working Spouse
Skip this step if you have one job and either a non-working spouse or you’re single. Complete it if you hold two jobs at once, or you’re married filing jointly and both spouses work. Without Step 2, each employer withholds as though its paycheck is your only income, treating far too much of your earnings as if it falls in a low bracket. A tax bill in April is the usual result.
The form gives you three ways to handle it.
- The IRS Tax Withholding Estimator at irs.gov/W4App produces the most accurate result, especially if there’s self-employment income in the household. Have your most recent pay stubs and prior-year return ready.3Internal Revenue Service. Tax Withholding Estimator
- The Multiple Jobs Worksheet on page 3 of the form uses a lookup table. Enter annual wages from each job, find the intersection, and put the result in Step 4(c). The numbers stay off the main form your employer sees.
- The Step 2(c) checkbox is a shortcut when exactly two jobs exist in the household and the lower-paying job earns more than half of what the higher-paying one does. Both W-4s need the box checked. When the pay gap is wide, this method tends to overwithhold, and the gap grows with the pay difference.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate
If you’d rather not signal outside income to your employer, the IRS offers a workaround. Instead of checking Step 2(c), use the Multiple Jobs Worksheet and route the answer into Step 4(c) as extra withholding. Instead of reporting other income on Step 4(a), calculate the tax it would generate and add that to 4(c). Your employer sees a flat dollar figure and nothing about where the money comes from.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate
Step 3: Claiming Dependents
Step 3 reduces the tax pulled from each paycheck to account for the child tax credit and credit for other dependents. Multiply each qualifying child under age 17 by $2,200 and each other dependent by $500, add the two totals, and put the combined figure on the single line provided.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate
Two cautions. First, $2,200 is the maximum per child for 2026, and the credit phases out at higher incomes.2Internal Revenue Service. IRS Releases Tax Inflation Adjustments for Tax Year 2026 If your income is high enough that the phaseout hits you, claiming the full amount will leave you underwithheld; the Withholding Estimator gives a better number. Second, if both spouses work and file jointly, only one W-4 in the household should claim the dependents. Doubling them up across two forms almost guarantees a tax bill in April.
Step 4: Other Income, Deductions, and Extra Withholding
Step 4 has three optional lines. Use whichever ones apply.
Step 4(a): Other Income
Enter 2026 income you expect to receive that won’t have taxes withheld from it, such as interest, dividends, and retirement distributions. Do not include wages from jobs (that’s Step 2) or self-employment income.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate For self-employment, the IRS points you to the Withholding Estimator, because the income generates both regular income tax and self-employment tax that this line doesn’t cover.
Step 4(b): Deductions
If your deductions will exceed the standard deduction for your filing status, use this line to reduce withholding. The 2026 standard deductions are $32,200 for married filing jointly, $24,150 for Head of Household, and $16,100 for Single or Married Filing Separately.2Internal Revenue Service. IRS Releases Tax Inflation Adjustments for Tax Year 2026 The Deductions Worksheet on page 4 walks you through itemized deductions like mortgage interest, medical expenses above 7.5% of income, and state and local taxes, along with several new deductions covered below.
Step 4(c): Extra Withholding
A flat dollar amount you want added to each paycheck’s withholding. It’s the most flexible line on the form. Use it to cover freelance income, adjust for a mid-year change, or build in a cushion if you’d rather see a refund than risk owing. Both the Withholding Estimator and the Multiple Jobs Worksheet route their answers here.
New 2026 Deductions on the Worksheet
The 2026 Deductions Worksheet includes deductions that didn’t exist on previous versions. Each has income limits that phase out the benefit at higher earnings.
- Qualified tips: workers who receive tips can deduct up to $25,000 in tip income. The deduction phases out above $150,000 in modified adjusted gross income, or $300,000 for joint filers.4Internal Revenue Service. What the No Tax on Tips Deduction Means for You
- Qualified overtime: the time-and-a-half portion of overtime pay is deductible up to $12,500 ($25,000 if married filing jointly), with the same $150,000 and $300,000 phaseouts.5Internal Revenue Service. What to Know About the No Tax on Overtime Deduction
- Auto loan interest: interest on a loan for a qualifying vehicle assembled in the United States is deductible up to $10,000. The loan must have originated after December 31, 2024, with phaseout starting at $100,000 of income ($200,000 joint).6Internal Revenue Service. - Senior bonus deduction: taxpayers age 65 or older can claim an extra $6,000 per qualifying individual, phasing out above $75,000 ($150,000 joint).1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate
The SALT deduction cap also changed. For 2026, you can deduct up to $40,400 in state and local taxes if total income is below $505,000 ($20,200 and $252,500 for Married Filing Separately).1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate That’s a large jump from the $10,000 cap that applied in prior years, and it may push you from the standard deduction into itemizing. If you live in a high-tax state and haven’t revisited your W-4 recently, this change alone is a reason to update.
Even if you take the standard deduction, the worksheet lets you add up to $1,000 in cash charitable contributions ($2,000 joint) on top of the standard amount.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate
Step 5: Sign and Submit
You sign under penalties of perjury, certifying the information is true and complete. The form is not valid without your signature.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate Give the completed form to your employer’s HR or payroll department, or upload it through the company payroll portal. Do not send the W-4 to the IRS yourself.
Your employer must apply the new withholding no later than the first payroll period ending on or after the 30th day from when they received the form.7Internal Revenue Service. Claiming Exemption From Withholding
If you had zero federal income tax liability last year and expect the same for 2026, you can claim exemption. Both conditions must hold: your total tax on your 2025 return was zero (or you weren’t required to file), and you anticipate no tax for 2026.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate Check the “Exempt from withholding” box, complete Step 1 and sign Step 5, and leave every other step blank.
Exemption is common for students and very low-income workers, and it expires every year. If you claim it for 2026, you must submit a new W-4 by February 16, 2027, or your employer will revert to withholding as if you filed Single with no adjustments.1Internal Revenue Service. Form W-4 (2026) – Employee’s Withholding Certificate If your situation changes mid-year and you realize you’ll owe, file a new form immediately.
When to Update Your W-4
Any change that shifts your tax liability is a reason to revisit the form. Common triggers are marriage or divorce, the birth or adoption of a child, a spouse starting or leaving a job, and picking up freelance or investment income.8Internal Revenue Service. Earlier in the year is better. A correction made in February spreads across roughly 22 paychecks; the same correction in October has to be crammed into a handful, and each check takes a bigger hit. A useful benchmark: you generally avoid an underpayment penalty if withholding and estimated payments cover at least 90% of your current-year tax or 100% of last year’s tax (110% if your adjusted gross income exceeded $150,000).10Internal Revenue Service. Publication 505 (2026), Tax Withholding and Estimated Tax If you’re close to either line, a mid-year update is worth the five minutes.
If You Don’t Submit One
Starting a new job without turning in a W-4 doesn’t leave your employer guessing. Federal rules require withholding as if you selected Single or Married Filing Separately with no adjustments in Steps 2 through 4.11Internal Revenue Service. Publication 15-T (2026), Federal Income Tax Withholding Methods That default is close to accurate for a single person with one job and no dependents. For nearly everyone else, too much comes out of each check. Married filers and parents lose the benefit of joint brackets and dependent credits until they submit the form.
