Form T2200: Declaration of Conditions of Employment, Deductions, and Filing

Form T2200, the Declaration of Conditions of Employment, is a Canada Revenue Agency document your employer signs to confirm that your job requires you to pay certain work-related costs out of your own pocket. Without a signed T2200 on file, you cannot deduct employment expenses on your tax return, even if your contract genuinely obliges you to cover those costs. The form itself does not get filed with your return. It sits in your records as the authorization that makes every dollar you claim on line 22900 legally valid.

Who Qualifies for a T2200

You qualify if your employment contract, written or verbal, requires you to pay for expenses your employer does not fully reimburse.1Canada Revenue Agency. Eligibility Criteria – Detailed Method Salaried and commission-based employees can both use the form, though the categories of expenses each group can claim differ.

One thing catches many people off guard. Section 8 of the Income Tax Act lists every type of employment expense that can be deducted, and if a cost is not on that list, you cannot claim it regardless of how necessary it feels to your work.2Justice Laws Website. Income Tax Act RSC 1985 c 1 5th Supp – Section 8 A signed T2200 does not expand the list. It confirms you meet the conditions to claim from it.

Your employer completes and signs the form. The CRA leaves it to the employer to decide who inside the organization is authorized to sign, but someone must.1Canada Revenue Agency. Eligibility Criteria – Detailed Method If your employer refuses, you are largely stuck. No formal CRA mechanism overrides an employer’s refusal, though you can file a complaint if you believe the refusal is unjustified. Your right to the deduction depends on your employer’s cooperation.

What the Form Asks

The form opens with the employer’s business name, payroll account number, and the period of employment during the calendar year. Those dates define the window during which your expenses are eligible.3Canada Revenue Agency. T2200 Declaration of Conditions of Employment

After that, the employer answers a series of yes-or-no questions about your working conditions. Were you required to work away from the employer’s place of business? Were you required to use part of your home for work? Did you receive any allowances or reimbursements, for motor vehicle use or otherwise? The employer also indicates whether they are a GST/HST registrant, which matters later if you claim a sales tax rebate on your expenses.

The answers must reflect reality. If the form says you used your car for work but your T4 shows a tax-free vehicle allowance covering those costs, the inconsistency will invite scrutiny. Accuracy protects you and the employer both.

What You Can Deduct

What you can claim depends on whether you earn a salary, earn commissions, or earn a mix of both. Every employee authorized by a T2200 can claim office supplies used directly in their work, motor vehicle expenses for work-related travel, and home office costs when the conditions are met.4Canada Revenue Agency. T4044 Employment Expenses 2025 Salaried employees can also deduct travel food and lodging when required to be away from the office for at least 12 consecutive hours.

Commission employees get a longer list. On top of everything above, they can deduct advertising and promotion costs such as business cards and promotional gifts, entertainment expenses like client meals and event tickets, rent paid specifically for a workspace used to earn commissions, travel fares such as airline, bus, or train tickets, and bonding premiums or medical underwriting fees connected to customer risks. Salaried employees cannot claim any of those commission-specific categories.4Canada Revenue Agency. T4044 Employment Expenses 2025 This distinction trips people up, particularly salaried employees who entertain clients and assume those meals are deductible. They are not, unless the employee also earns commission income.

Home Office Costs

Home office expenses are one of the most common reasons employees ask for a T2200. To qualify, you must meet one of two conditions: either your home is where you mainly do your work, meaning more than 50% of the time, or you use a dedicated space exclusively for work and regularly meet clients or customers there. You need to satisfy only one test.

Starting with the 2023 tax year, the temporary flat rate method is gone. Every employee claiming home office expenses now uses the detailed method, tracking actual costs and calculating the portion attributable to the workspace.5Canada Revenue Agency. What the Changes Are – Home Office Expenses for Employees

Eligible home office costs include a proportional share of electricity, heat, water, home insurance, property taxes, and maintenance. Renters can also claim a proportional share of their rent. The proportion is based on the size of the workspace relative to the finished area of the home. A 150-square-foot office in a 1,500-square-foot home represents 10% of the usable space, so you would claim 10% of eligible costs.6Canada Revenue Agency. Vehicle Expenses

If your T2200 confirms you were required to use your own vehicle for work, you can deduct fuel, maintenance and repairs, insurance, and licence and registration fees proportional to your work-related driving.4Canada Revenue Agency. T4044 Employment Expenses 2025 The key word is proportional. Drive 25,000 kilometres in a year with 10,000 for work, and you can claim 40% of your total vehicle costs.

Getting the proportion right takes a logbook. For each work trip, record the date, destination, purpose, and kilometres driven. Note the odometer reading at the start and end of the tax year, and record it again if you sell or trade the vehicle during the year. Keep the logbook for six years from the end of the last tax year it supports. If you use more than one vehicle for work, keep a separate log for each.

What You Cannot Deduct

Some costs remain off-limits even with a signed T2200. If you work from home, you cannot deduct mortgage interest, mortgage principal payments, or the rental value of a home you own.6Canada Revenue Agency. Expenses You Can Claim – Home Office Expenses for Employees Homeowners are limited to operating costs like utilities, property taxes, and home insurance.

Capital expenditures are also prohibited. Renovating a home office, replacing a window, upgrading the flooring, or installing a new furnace does not qualify. The CRA draws a firm line between maintaining a workspace, which is deductible, and improving it, which is not.6Canada Revenue Agency. Expenses You Can Claim – Home Office Expenses for Employees

Special clothing and tools are another area where people overestimate what qualifies. The CRA does not allow employees to claim clothing required for work, and tools are generally treated as equipment that cannot be deducted. The exception is for tradespersons, including apprentice mechanics, who may be able to deduct eligible tools purchased to earn employment income.4Canada Revenue Agency. How to File the Claim

The T2200 authorizes your deductions but is not where you calculate them. The math goes on Form T777, Statement of Employment Expenses. You list each category, apply the appropriate proportions, and arrive at a total.4Canada Revenue Agency. T4044 Employment Expenses 2025 The total from T777 goes on line 22900 of your income tax return.7Canada Revenue Agency. Line 22900 – Other Employment Expenses

You do not submit the T2200 or T777 with your return, whether filing electronically or by mail. The CRA may ask to see them later, which is why retention matters. The T2200 proves you were entitled to claim, the T777 shows your working calculations, and line 22900 is the single number the CRA sees on your return. All three need to tell the same story.

The GST/HST Rebate

If you paid GST or HST on your employment expenses and your employer is a GST/HST registrant, you may qualify for a rebate of the sales tax portion using Form GST370. Both conditions must be true: you deducted the expenses on your return, and your employer is a registered GST/HST collector.8Canada Revenue Agency. Who Can Apply – GST/HST Rebate for Employees and Partners You cannot claim it if your employer is not a registrant or is a listed financial institution.

Only one GST370 can be filed per calendar year, and you cannot claim a rebate for any amount already refunded, credited, or rebated to you through another mechanism.8Canada Revenue Agency. Who Can Apply – GST/HST Rebate for Employees and Partners Many employees who carefully claim their T777 deductions overlook the sales tax component entirely. Individual amounts are small; a year of fuel, supplies, and utilities adds up.

Records and Signatures

Keep your signed T2200, all supporting receipts, and your vehicle logbook for at least six years from the end of the tax year they relate to.9Canada Revenue Agency. Keeping Records The CRA can request these at any point in that window. If you cannot produce the signed T2200 during a review or audit, the CRA can disallow every related deduction, and interest applies to the resulting tax owing.4Canada Revenue Agency. T4044 Employment Expenses 2025

Your employer does not need to sign in ink. The CRA accepts electronic signatures on the T2200 when certain conditions are met. If applied in person, the signature can be made with a stylus or finger on a tablet. If signed remotely, the form must be sent through the electronic address most recently provided for that purpose, or through a secure, access-controlled website. The CRA recommends retaining any certificate of completion the electronic signature service generates, especially if the signed form does not display a date-and-time stamp.10Canada Revenue Agency. Using Electronic Signatures Remote workers can now get the form completed without chasing down a physical signature.
