FedEx Employer Identification Number for W-2 and W-9

FedEx does not use a single employer identification number across its whole organization, so the FedEx employer identification number you need depends on which FedEx entity actually pays you or contracts with you. Employees find the right nine-digit number in Box b of their W-2. Contractors and vendors should request a completed Form W-9 from the specific FedEx subsidiary on their contract.

Why There Isn’t One FedEx EIN

An EIN is the nine-digit number the IRS assigns to a business, functioning as that company’s tax ID.1Internal Revenue Service. Understanding Your EIN Each corporation files its own returns under its own EIN, and FedEx is organized as a parent company with several operating subsidiaries, each registered as a separate legal entity.

FedEx Corporation is the publicly traded parent (NYSE: FDX) and primarily handles corporate governance and investor relations. The shipping, freight, and logistics work happens inside subsidiaries. According to FedEx’s most recent SEC filing, those include Federal Express Corporation, FedEx Ground Package System Corporation, and FedEx Freight, Inc.2U.S. Securities and Exchange Commission. What matters for taxes is the legal entity name on your pay stub or contract, not the brand on the truck. Using the parent company’s EIN for a transaction with a subsidiary creates a name/TIN mismatch that will invalidate the tax document.

Finding the EIN on Your W-2

If you are a FedEx employee, the EIN appears on your Form W-2 in Box b, labeled “Employer identification number.” It is nine digits with a dash after the second digit (XX-XXXXXXX) and sits just above or below the employer’s name and address. That is the number you enter on your individual return.

If your W-2 never arrived, is missing, or shows the wrong information, the IRS recommends contacting your employer first. If FedEx does not supply a corrected W-2 by the end of February, you can call the IRS at 800-829-1040 to file a formal complaint. The IRS will send FedEx a letter requesting the corrected form within ten days.3Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted

If a corrected W-2 still won’t reach you in time to file, Form 4852 works as a substitute. You estimate wages and withholding from your final pay stub for the year. Expect slower refund processing while the IRS verifies the numbers. If a corrected W-2 shows up later with different figures, file an amended return on Form 1040-X.3Internal Revenue Service. How Contractors and Vendors Get the Right EIN

The most reliable method is asking the specific FedEx entity you work with for a completed Form W-9. The W-9 is the IRS form that supplies an entity’s exact legal name, EIN, and tax classification in one place.4Internal Revenue Service. About Form W-9, Request for Taxpayer Identification Number and Certification Send the request to your primary contact, whether that is Accounts Payable, a contracting manager, or an onboarding specialist. Ask early. Waiting until invoices are already in the system creates pressure and increases the odds of a filing error.

FedEx also publishes W-9 forms for some of its entities on its website at fedex.com/en-us/trust-center/w9. The page has historically included W-9 documents for entities such as FedEx Custom Critical Inc. and FedEx Office, though which documents are posted changes over time. Registered vendors can sometimes pull tax compliance documents through the FedEx Supplier Registration Portal. Whichever source you use, confirm that the legal entity name on the W-9 matches the entity name on your contract.

Do not rely on third-party EIN lookup sites, databases, or numbers posted on forums. Those sources frequently list outdated or parent-level numbers that will not match the subsidiary you actually bill. An EIN tied to the wrong legal name will cause problems with the IRS regardless of whether the number technically belongs to “FedEx.”

What Happens If the EIN Is Wrong

A wrong or missing EIN is more than a paperwork problem. When a payee fails to furnish a correct TIN, or the IRS notifies the payor of a mismatch, federal law requires the payor to withhold 24% of all reportable payments and send that money to the IRS.5Office of the Law Revision Counsel. 26 USC 3406 – Backup Withholding This is backup withholding. It is automatic. FedEx has no discretion to waive it, and if FedEx fails to withhold when required, FedEx becomes liable for the uncollected amount.6Internal Revenue Service. Instructions for the Requester of Form W-9 (Rev. March 2024)

For nonemployee compensation, backup withholding applies immediately if no TIN is provided. There is no grace period like the 60-day window available for interest and dividend payments.6Internal Revenue Service. Instructions for the Requester of Form W-9 (Rev. March 2024) A FedEx contractor who submits an invalid W-9 can see nearly a quarter of every payment diverted to the IRS starting with the first check.

Separately, the IRS imposes penalties on the filer for submitting information returns with incorrect TINs. Under 26 U.S.C. ยง 6721, the per-form penalty scales with how long the error goes uncorrected: a reduced amount if corrected within 30 days of the filing deadline, a mid-tier amount if corrected after 30 days but by August 1, and the full amount if not corrected by August 1 or not filed at all. Intentional disregard carries a significantly higher penalty with no annual cap reduction. Amounts are adjusted for inflation each year.7Office of the Law Revision Counsel. 26 USC 6721 – Failure to File Correct Information Returns Those penalties fall on FedEx as the filer, which is why FedEx enforces strict TIN accuracy and will reject inconsistent W-9s.

Verifying an EIN Before You File

If you file your own information returns and want to confirm a name/TIN combination before sending anything to the IRS, the agency offers a free TIN Matching Program through its e-Services portal. It checks whether the TIN and name you have on file match the IRS database and is built to catch mismatches before they trigger penalty notices.8Internal Revenue Service. Taxpayer Identification Number (TIN) Matching You can run individual lookups or bulk batches at no charge, around the clock. The program is open to any payer or authorized agent who files information returns.9Internal Revenue Service. Federal Agency TIN Matching Program

For most people trying to track down a FedEx EIN, the quicker path is getting a clean W-9 from the right subsidiary at the start of the relationship, or reading Box b off a W-2. Those two steps answer almost every version of this question.
