To find out whether the IRS has your W-2, check your free Wage and Income Transcript through your IRS Individual Online Account, or request it by mail. W-2 data typically shows up in IRS systems during the first week of February each year, because your employer files the form with the Social Security Administration first, and the SSA then forwards the information to the IRS.1Internal Revenue Service. Why the IRS Doesn’t Have Your W-2 Right Away
Employers don’t send W-2s directly to the IRS. They file Copy A with the Social Security Administration, which processes the records in batches and then shares the data electronically with the IRS.2Internal Revenue Service. Form W-2 and Other Wage Statements Deadline Coming Up for Employers That two-step transfer builds in a lag.
Employers must send W-2s to the SSA and to you by January 31. If that date falls on a weekend or holiday, the deadline shifts to the next business day.3Social Security Administration. Deadline Dates to File W-2s After the SSA processes millions of records, the data flows to the IRS, which is why checking too early in the season usually turns up nothing. What the Wage and Income Transcript Actually Shows
The transcript isn’t a photocopy of your W-2. It’s a summary of what your employer reported. An unmasked transcript displays your name, address, and Social Security number, along with your employer’s name, address, and Employer Identification Number.8Internal Revenue Service. About Tax Transcripts It also shows wages paid, federal income tax withheld, Social Security wages, and other amounts pulled from the form. Each employer or 1099 payer appears as its own entry.
Two limits are worth knowing. Online transcripts cap out at roughly 85 income documents per year. If you’re above that (common for gig workers stacking 1099s), the online system won’t generate the transcript and you’ll need to file Form 4506-T instead.1Internal Revenue Service. For records older than that, the Social Security Administration keeps lifetime earnings history that may reach further back.9Internal Revenue Service. Transcript or Copy of Form W-2
If you need an actual photocopy of the W-2 rather than a data summary, that’s a different request: Form 4506, with a $30 fee per tax year (waived for federally declared disaster areas). The IRS only keeps physical copies when the W-2 was attached to a paper-filed return. For most uses, including filing your taxes or verifying income for a lender, the free transcript has the same numbers.10Internal Revenue Service. If Your W-2 Isn’t There
If your transcript doesn’t show a W-2 you were expecting, start with your employer’s payroll department. Confirm the form was filed and that your address on record is correct. If the end of February arrives and it still hasn’t been resolved, call the IRS at 800-829-1040. Have your name, address, Social Security number, dates of employment, and your employer’s name and contact details ready. The IRS will reach out to your employer on your behalf.11Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
Keep checking your Wage and Income Transcript in the meantime. Even if the paper W-2 never made it to your mailbox, your employer may have filed on time with the SSA, in which case the IRS already has the numbers you need and you can pull them straight from the transcript to prepare your return.
If the W-2 Is There but Wrong
If the transcript shows figures that don’t match your records, ask your employer for a corrected W-2. Employers use Form W-2c to fix errors and must file it with both you and the Social Security Administration.12Social Security Administration.
