If you are documentarily qualified but still waiting at the NVC, your file has been accepted and you are in line for an interview, but no appointment has been scheduled yet. The wait can run weeks or years depending on your visa category, your priority date, and the backlog at the embassy or consulate that will handle your case. What you do during that wait matters, because documents expire, Visa Bulletin dates move, and ignoring NVC communications for a year after a visa becomes available can end your case entirely.
What Documentarily Qualified Means
The NVC marks a case documentarily qualified (sometimes “documentarily complete”) once it has reviewed your Form DS-260, your civil documents, your financial evidence and Form I-864, and confirmed payment of the required fees.1Travel.State.Gov. Immigrant Visa Process – Complete Online Visa Application At that point your file is ready to be forwarded for interview scheduling. It has not been scheduled.
You can confirm status through the Consular Electronic Application Center at ceac.state.gov. Choose “Immigrant Visa,” then enter your case number, passport number, and the first five letters of your surname.2CEAC. Visa Status Check A status of “Ready” or a documentarily qualified notation means you are in the queue. The status will change again once an interview is set.
How Long the Wait to an Interview Runs
The NVC schedules interviews only after two conditions are met: a visa number must be available for your category, and the consulate must have open appointment slots. Within those constraints, NVC assigns appointments in the order cases became documentarily complete, so an earlier completion date moves you up the queue.3U.S. Department of State. When your interview is scheduled, the NVC emails you, your petitioner, and your attorney (if you have one) roughly two to three months before the appointment.3U.S. Department of State. IV Scheduling Status Tool The wait to get that email varies. Immediate relatives of U.S. citizens are not subject to visa number caps, so their wait tracks embassy capacity. Preference category applicants face an added bottleneck: their priority date has to be current in the Visa Bulletin before NVC can schedule them.

If your embassy is scheduling January 2025 completions and you became complete in June 2025, that gap tells you roughly how far behind the queue is. Check it monthly.
Priority Dates and the Visa Bulletin
If you are in a preference category, your priority date is the gate. For family-sponsored cases, it is generally the date the Form I-130 was filed with USCIS. For employment-based cases, it is usually the date the Department of Labor accepted the labor certification, or the date USCIS accepted the I-140 if no labor certification was needed.4U.S. Citizenship and Immigration Services. When the date listed for your category and country of chargeability is on or after your priority date, a visa number is considered available and the NVC can schedule you.5U.S. Citizenship and Immigration Services. If Your Priority Date Retrogresses
Visa Bulletin dates can move backward when demand exceeds supply. If your priority date was current last month but the new bulletin’s cutoff falls before your date, NVC cannot schedule an interview until the date advances again.
Your documentarily qualified status survives retrogression. The Visa Office records your interest, and a number is reserved for you when your priority date becomes current again. You do not have to re-register, resubmit documents, or contact the consulate to confirm you still want the visa.8U.S. Department of Homeland Security. Keeping Documents Current During the Wait
Long waits create expiration problems. Two categories matter most.
Police certificates are valid for two years from the date of issue, unless the certificate is from a former country of residence you have not returned to since it was issued.9U.S. Department of State. Civil Documents Certificates are required from every country where you lived more than six months (twelve months if it was not your nationality or current residence) once you were 16 or older. If your wait crosses the two-year mark, plan on fresh certificates before the interview.
Financial documents also go stale. The Affidavit of Support has to reflect the sponsor’s current income relative to the federal poverty guidelines in effect. If a new tax year has passed since submission, the consular officer may ask for current tax transcripts or W-2s.10Travel.State.Gov. When to Do the Medical Exam
Every immigrant visa applicant must be examined by a physician approved by the U.S. embassy or consulate, called a panel physician.12Foreign Affairs Manual. Ineligibility Based on Health and Medical Grounds – INA 212(a)(1) Your own doctor cannot do this. The panel physician handles the physical and mental health evaluation, reviews vaccinations, and completes the State Department forms.
Do not schedule the exam early to get it out of the way. Results are valid for six months, and they must still be valid on both your interview date and the date you enter the United States. Most applicants book the exam after receiving the interview notification, which comes roughly two to three months out. That window generally fits, but panel physicians in some cities book weeks ahead, so check lead times as soon as you have your appointment date.
The One-Year Response Rule
Federal law requires the Secretary of State to terminate your visa registration if you fail to apply for your immigrant visa within one year after being notified that a visa number is available.13Office of the Law Revision Counsel. 8 USC 1153 – Allocation of Immigrant Visas If you miss the window, you can request reinstatement within two years, but only by showing the delay was caused by circumstances beyond your control. After two years, reinstatement is unavailable and the petition itself may be revoked.
This rule most often catches applicants who moved without updating their contact information, or who assumed silence from NVC meant nothing was happening. Keep your address and email current with the NVC and respond promptly to any correspondence, even if it looks routine.
Life Changes That Need Action While You Wait
Children Approaching Age 21
If a dependent child on your case is nearing 21, the Child Status Protection Act may preserve their eligibility. For preference categories, the child’s CSPA age is their actual age on the date a visa number first became available, minus the number of days the underlying petition was pending with USCIS.14Foreign Affairs Manual. Immigrant Visa Classifications Overview If that adjusted age is under 21 and the child is unmarried, they remain eligible as a derivative.
The catch: the child has to “seek to acquire” permanent residence within one year of a visa becoming available. Filing the DS-260, paying the DS-260 or I-864 fee to the NVC, or filing Form I-485 all qualify. Immigrant Visa Classifications Overview For a borderline age, this is where legal counsel earns its fee, because the calculation is unforgiving once the deadline passes.
Petitioner Naturalizes
If a permanent resident petitioner naturalizes while your case is pending, the category shifts from F2A to immediate relative, which removes the visa number cap. If the petition included minor children as derivative beneficiaries, though, naturalization creates a wrinkle: children cannot be derivatives on an immediate relative petition, so the petitioner has to file a separate I-130 for each child.15U.S. Department of State. Petitioner Dies
If the petitioner dies after the visa petition was approved, the approval is automatically revoked by regulation, but Section 204(l) of the Immigration and Nationality Act provides a path to reinstatement. There is no form or fee. You submit a written request to USCIS with the death certificate, proof of your U.S. residence at the time of death and continuing through the present, and a new Affidavit of Support from a substitute sponsor.16U.S. Citizenship and Immigration Services. Basic Eligibility for Section 204(l) Relief for Surviving Relatives The substitute sponsor must be a U.S. citizen or lawful permanent resident, at least 18, and related to you (spouse, parent, sibling, child, in-law, grandparent, grandchild, or legal guardian). Relief is discretionary, but USCIS has stated that the sympathetic circumstances weigh heavily in the applicant’s favor.
When the Interview Is Finally Scheduled
Once the appointment email arrives, book the medical exam right away and start assembling the interview packet. You will want your appointment letter, a passport valid at least six months beyond your intended U.S. entry date, original civil documents (birth, marriage, divorce, police certificates), a copy of the filed Affidavit of Support along with any updated tax transcripts or employment letters if a new tax year has passed, medical exam results from the panel physician (usually delivered in a sealed envelope or sent electronically to the embassy), and two recent passport-style photos meeting State Department specifications.
At the interview, a consular officer reviews your documents, asks about your background and the basis for immigration, and decides eligibility. Straightforward files move quickly. If the officer identifies a problem, the case is typically placed on hold under Section 221(g) with written instructions on what to submit, rather than permanently denied.
Until that appointment email arrives, the work is patience and maintenance: watch the Visa Bulletin, keep documents from expiring, keep your contact information current, and answer anything the NVC sends.
