Do You Need a Tax ID to Sell on Etsy: EIN, LLCs, and Verification

Yes. If you sell on Etsy from the United States, you need a tax ID on file — an SSN, EIN, or ITIN — and Etsy will suspend your shop once sales hit $500 in a calendar year if you haven’t provided one.1Etsy Help Center. What Do I Need to Know About My 1099-K Tax Form Which of the three numbers you give depends on how your shop is set up and whether you’re eligible for a Social Security number in the first place.

Which Number You Give Etsy

Etsy accepts three taxpayer identification numbers, and only one will be correct for your situation.2Etsy Help Center. How to Update Your Legal Name and Taxpayer Information

Use your Social Security number if you sell as an individual or sole proprietor. Shop earnings flow onto your personal tax return, and the SSN is what the IRS expects to see.

Use an Employer Identification Number if you operate as a corporation or a multi-member LLC. Some sole proprietors also get an EIN so they don’t have to hand their SSN to a platform.

Use an Individual Taxpayer Identification Number if you have a U.S. tax filing obligation but aren’t eligible for an SSN. This covers certain resident and nonresident aliens.

Picking the wrong one — for instance, entering your LLC’s EIN when the IRS is looking for your personal SSN — creates a mismatch that can delay verification or push Etsy into backup withholding on your payouts.

Single-Member LLC? Read This Before You Enter Anything

This is where sellers most often get tripped up. If you formed a single-member LLC and never elected corporate tax treatment, the IRS calls your LLC a “disregarded entity.” For income tax reporting, a disregarded entity uses the owner’s SSN or personal EIN, not the LLC’s own EIN. The LLC’s separate EIN exists only for employment or excise tax filings, and a single-member LLC without employees or excise tax liability doesn’t need its own EIN at all.3Internal Revenue Service. Single Member Limited Liability Companies

Etsy follows the same rule. A disregarded-entity seller enters their individual legal name, not the LLC’s business name, on the taxpayer form.2Etsy Help Center. How to Update Your Legal Name and Taxpayer Information Put another way: your LLC has an EIN, but Etsy still wants your SSN and your personal name.

How to Get an EIN for Free

If you do need an EIN, the IRS issues them at no charge through its online application. You get the number on screen as soon as you finish, and the whole thing takes a few minutes. Two things to know before you start: the application has to be completed in one sitting because it times out after 15 minutes of inactivity and won’t save your progress, and the IRS warns you should never pay a third-party site for this service.4Internal Revenue Service. Entering Your Tax ID on Etsy

Your taxpayer details go on the Legal and Tax Information page, which sits under the Finances tab in Shop Manager.2Etsy Help Center. How to Update Your Legal Name and Taxpayer Information You’ll do four things:

  • Select your taxpayer classification — individual, sole proprietorship, LLC, corporation, and so on.
  • Enter your legal name. For individuals this is the name on your Social Security card; for businesses it’s the name on your EIN confirmation letter.
  • Enter the number itself and choose the ID type (SSN, EIN, or ITIN) from the dropdown.
  • Save and submit.

Your dashboard will show a pending status while Etsy cross-references your details against federal records, then a verified status once it clears. Keep this information current. For 1099-K purposes, whatever’s on file as of December 31 is what appears on your form for that tax year.1Etsy Help Center. What Do I Need to Know About My 1099-K Tax Form

Why Verification Fails

Small mismatches with IRS records are the usual culprits. The three that come up most often:

  • A recent legal name change (marriage, divorce) where Etsy shows the new name but the Social Security Administration still has the old one. Update your name with the SSA first, then Etsy.
  • Entering the LLC’s business name instead of the owner’s individual name on a disregarded-entity shop.
  • Entering the LLC’s EIN instead of the owner’s SSN or personal EIN on a disregarded-entity shop.

If verification fails, Etsy support can help you correct the information. There’s a March 14 deadline each year for making corrections that affect your 1099-K.1Etsy Help Center. What Do I Need to Know About My 1099-K Tax Form

What Happens If You Skip It

Etsy’s own threshold is stricter than the IRS’s. Once your shop crosses $500 in calendar-year sales without a valid tax ID on file, Etsy suspends the shop. The suspension lifts automatically as soon as you add your SSN, EIN, or ITIN through the Legal and Tax Information page.5Etsy Help Center. How to Reinstate Your Suspended Account

Beyond suspension, missing or invalid taxpayer details trigger federal backup withholding. Etsy has to withhold 24% of your gross payments and send it to the IRS.6Internal Revenue Service. Topic No. 307, Backup Withholding It isn’t a penalty — you get any overpayment back when you file — but the withholding comes off gross sales rather than profit, so the amount held can dwarf what you actually owe, and that money is locked up until you file your return.7Internal Revenue Service. If You’re Not a U.S. Seller

Sellers outside the United States don’t provide an SSN or EIN. Instead, you certify your foreign status to Etsy using IRS Form W-8BEN if you’re an individual, or Form W-8BEN-E if you’re a foreign entity.8Internal Revenue Service. Form W-8BEN – Certificate of Foreign Status of Beneficial Owner for United States Tax Withholding and Reporting These forms may ask for your foreign tax identification number, and for a U.S. ITIN if you have one.

EU-based sellers should also add their VAT identification number in Account Settings. Without a VAT ID on file, Etsy has to charge VAT on your seller fees; submitting it establishes a business-to-business relationship and stops that charge. Sellers in other regions may face similar local requirements.
