A deceased indicator is a flag placed on a person’s Social Security record showing they have died, and once it is set at the Social Security Administration it spreads to credit bureaus, banks, the IRS, and benefit programs, freezing accounts and blocking new activity under that Social Security number. If you are handling a relative’s affairs, the flag is what stops new credit being opened in their name. If you have been flagged in error while still very much alive, it is why your bank card stopped working and your tax return bounced back.
Where the Flag Shows Up
The Social Security Administration is the source. It maintains the Death Master File, a federal database with over 100 million death records, and death information recorded there flows out to other federal agencies, financial institutions, and credit bureaus.
At Experian, Equifax, and TransUnion, the flag on a credit file tells any lender checking that file that the person has died, which blocks new credit applications under that identity.1Experian. What Happens to Your Credit File When You Die
At a bank, learning of a customer’s death triggers a freeze on individual accounts. The bank then waits for direction from an authorized court or estate representative before releasing funds.2Investopedia. Deceased Bank Accounts Process, Notification, and Closure
At the IRS, a deceased indicator locks the Social Security number. A return filed under that locked number will not be processed, and the IRS sends a CP01H notice rejecting it.3Taxpayer Advocate Service. The IRS Incorrectly Recorded me as Deceased – What Should I do
One caveat that matters for families: the SSA’s records are not a comprehensive record of every death in the country.4Social Security Administration. Requesting SSA’s Death Information Deaths can slip through, so do not assume every downstream system will update on its own.
How the Indicator Gets Set
Funeral homes usually report deaths directly to the SSA, so most families do not need to make that call. If no funeral home is involved, a family member can call the SSA at 1-800-772-1213 and provide the deceased person’s name, Social Security number, date of birth, and date of death.5Social Security Administration. What to Do When Someone Dies
The SSA records the death on its Numident file, which feeds the Death Master File. A version of the DMF is sold through the National Technical Information Service to banks, credit companies, and other organizations, which is how the flag reaches private-sector systems.4Social Security Administration. What to Do After a Death in the Family
Credit Bureaus
You only need to contact one of the three major bureaus. When one adds the deceased notice, it notifies the other two on your behalf.6Equifax. Contacting Credit Bureaus After Relative’s Death Send a copy of the death certificate along with the deceased person’s legal name, Social Security number, date of birth, and date of death. TransUnion processes the notation within five business days of receiving the letter.
Speed matters. Roughly 800,000 deceased Americans are deliberately targeted by identity thieves each year, and a credit file without the flag is essentially unguarded because lenders checking it have no signal that the applicant is a fraud.1Experian. What Happens to Your Credit File When You Die
Banks
The next of kin or executor should bring a certified copy of the death certificate to each bank where the deceased held accounts. The bank freezes individual accounts until probate concludes or an executor produces proper documentation.2Investopedia. Deceased Bank Accounts Process, Notification, and Closure
Joint accounts work differently. Most are held with rights of survivorship, meaning the money passes automatically to the surviving account holder.7Consumer Financial Protection Bureau. What Happens if I Have a Joint Bank Account With Someone Who Died Less commonly, joint accounts are titled as tenants in common, and the deceased person’s share passes through their estate. Confirm the account type with the bank rather than assuming.
Authorized Users on Credit Cards
An authorized user on a deceased relative’s credit card is generally not liable for the remaining balance. Authorized users are not co-signers. If a collector says otherwise, ask for proof that you co-signed; your credit report’s authorized-user notation should resolve the dispute.8Consumer Financial Protection Bureau. Effect on Benefits and Tax Returns
Social Security benefits stop in the month of death. Payments issued for months after the person died are overpayments the SSA will recover, and a representative payee who received them is personally responsible for repaying them regardless of the amount. Medicare Parts A and B coverage ends on the date of death.
Once the death is on the SSA’s systems, the flag propagates automatically to Medicare, Medicaid, and other connected systems.9Social Security Administration. SSA POMS GN 02408.700 – Erroneous Death Termination Involving EFT Payments Banks receiving electronic fund transfers from SSA will also flag the account and return future payments.
On the tax side, a return filed under a locked Social Security number will not process until the underlying records are corrected, and this can also snag a surviving spouse who files a joint return using the flagged number.3Taxpayer Advocate Service. If You Have Been Flagged as Deceased by Mistake
According to the SSA’s Office of the Inspector General, fewer than 1,000 living people are mistakenly added to the Death Master File each month. The consequences move fast: frozen bank accounts, denied insurance claims, credit cards that stop working, halted pension payments, and rejected tax returns.
Errors can come from SSA processing mistakes, inaccurate data from external sources, or a typo on someone’s tax return that matches a deceased individual’s record.3Taxpayer Advocate Service. The IRS Incorrectly Recorded me as Deceased – What Should I do Fixing the root record does not instantly fix everything downstream. You will need to chase corrections through each organization.
Start at the SSA
Visit your local Social Security office as soon as possible. Bring at least one current, unexpired, original piece of identification such as a passport, driver’s license, or state ID.10Social Security Administration. What Should I Do If I Am Incorrectly Listed as Deceased in Social Security’s Records The SSA will correct its records and give you a letter called the Erroneous Death Case – Third Party Contact notice. That letter is the document you hand to banks, employers, insurers, and anyone else who needs proof that the death report was wrong.11Social Security Administration. Social Security Provides Update About its Death Record Keep multiple copies.
Then Fix Your Credit Reports
You have the right under federal law to dispute inaccurate information on your credit report. File a dispute with each bureau showing the erroneous flag, and include copies of your identification and the SSA correction letter.12Consumer Advice (FTC). Disputing Errors on Your Credit Reports The bureau must reinvestigate and either correct or delete the disputed information before the end of a 30-day period, which can extend by up to 15 additional days if you submit new information during the initial 30 days.13Office of the Law Revision Counsel. 15 USC 1681i – Procedure in Case of Disputed Accuracy
If the bureau cannot verify the deceased indicator, it must delete it and notify whoever supplied the incorrect information.13Office of the Law Revision Counsel. 15 USC 1681i – Procedure in Case of Disputed Accuracy If you disagree with the outcome, you can escalate through the Consumer Financial Protection Bureau.14Consumer Financial Protection Bureau. What if I Disagree With the Results of my Credit Report Dispute
Then Unlock Your IRS Record
If you received a CP01H notice, first check that you entered your Social Security number correctly. Then get the SSA correction done if you have not already. Once the SSA has fixed its side, send the IRS a copy of your CP01H notice, a written request to unlock the account, your tax return with original signatures, and a photocopy of your passport, driver’s license, Social Security card, or other government-issued ID.15Internal Revenue Service. Understanding Your CP01H Notice The IRS will not process the return until the lock is removed, so moving quickly protects any refund you are owed.
