CEAC Visa Status: How to Check It and What Each Code Means

You can check your CEAC visa status at ceac.state.gov/ceacstattracker/status.aspx, the Department of State’s Consular Electronic Application Center tracker for immigrant and nonimmigrant visa cases. The page returns a short status message — At NVC, Ready, Administrative Processing, Refused, Issued, and a handful of others — that tells you where your case sits and whether anything is required from you. The messages are terse, and several of them are easy to misread, so knowing what each one actually signals is the point of checking at all.

How to Pull Up Your Case on CEAC

Open the status tracker and choose either “Immigrant Visa (IV)” or “Nonimmigrant Visa (NIV).” The fields change based on that choice.

For an immigrant visa, enter your NVC case number, your passport number, and the first five letters of your surname. The National Visa Center assigns the case number after USCIS approves the underlying petition, and you receive it by letter or email along with a separate invoice ID.1Travel.State.Gov. CEAC FAQs It typically opens with a three-letter embassy code followed by digits.

For a nonimmigrant visa, enter your DS-160 barcode number and select the location of your interview or where you filed. The barcode begins with “AA” followed by eight digits and appears on the confirmation page produced when you finished the DS-160.2U.S. Department of State. DS-160 Frequently Asked Questions

If You Lost Your Case Number or DS-160 Barcode

Both are recoverable. For a missing NVC case number, submit the Public Inquiry Form at nvc.state.gov/inquiry. You cannot pay fees or upload documents without it, so retrieve it before anything else.3Travel.State.Gov. NVC Contact Information

For a missing DS-160 barcode, go to the DS-160 application page on CEAC and click “Forgot your Application ID?” You’ll be asked the security questions you set when you started the form. What Each Immigrant Visa Status Means

Immigrant cases move through more stages than nonimmigrant ones, and the labels don’t always mean what they sound like.

At NVC. Your case is with the National Visa Center. This is where you pay fees, file the DS-260, and upload civil documents such as birth certificates, police clearances, and evidence of financial support. NVC posts updates inside CEAC as things change, so a return visit is more useful than a phone call.5Travel.State.Gov. CEAC Visa Status Check – How to Track Your Case

Documentarily Qualified. The NVC has reviewed your documents and accepted them. It is a good sign, not an interview date. Weeks or longer can pass between this status and an appointment, depending on embassy workload and visa availability.

In Transit. Your file has left the NVC for the U.S. embassy or consulate that will interview you. There is nothing to do during this phase. The status updates again once the post receives it.

Transfer in Progress. Your case is moving between consular offices, not from the NVC. This usually reflects a change of interview location, either at your request or for operational reasons.

Ready. The application is prepared for the next step, typically the interview. If no appointment letter has arrived yet, it should follow shortly.

Refused. A consular officer has declined the application. This label covers both temporary holds — usually under Section 221(g) of the Immigration and Nationality Act, pending documents or additional review — and final denials on specific ineligibility grounds. Read the next section before assuming the worst.

Issued. Your visa has been approved and the foil is being printed for your passport. You’ll receive pickup or delivery instructions from the post.

Case Expired. Your immigrant visa registration was terminated under Section 203(g) of the INA, typically because you did not apply for the visa within one year of being notified it was available, or did not submit requested documents within one year of a 221(g) refusal.6Department of State. 9 FAM 504.13 – Termination of Immigrant Visa Registration Reinstatement is possible if you can show the delay was caused by circumstances beyond your control, such as a medical emergency or natural disaster. Preference or convenience does not qualify. The request generally has to be made within one year of the termination notice.

What Each Nonimmigrant Visa Status Means

Nonimmigrant statuses are simpler. The most common are Issued (approved, foil being printed), Refused (denied, either temporarily under 221(g) or on a final ineligibility ground), and Administrative Processing (additional review needed before a decision). If your status reads Refused with a 221(g) reference, you should receive a letter explaining whether documents are needed from you or whether the case is simply under review.

Why “Refused” Often Isn’t a Denial

Administrative processing is extra review that starts after your interview when the consular officer cannot immediately confirm eligibility. It involves background checks, security screening, and sometimes inter-agency consultation. The State Department does not describe the specific steps.

While that review is underway, your CEAC status reads Refused under Section 221(g). This is where applicants understandably panic. A 221(g) refusal during administrative processing is not a final denial; it is a procedural hold.7U.S. Department of State. Visa Denials The officer will tell you at the end of your interview if your case needs this step.8Travel.State.Gov. Administrative Processing Information

Timelines are the hard part. The State Department publishes no specific durations because each case turns on its own facts. Some resolve in weeks, others in many months. Do not buy non-refundable travel until your status changes to Issued.

The department does not accept status inquiries until at least 60 days after the interview, and even then responses are not guaranteed. If there is a genuine hardship such as a medical emergency, notify the consular section where you applied; officers have some discretion to flag urgent cases.8Travel.State.Gov. Administrative Processing Information

If the refusal is under 221(g) because documents are missing, you have one year from the refusal date to submit what was requested. Do that within the window and the officer reassesses without a new application or fee. Miss it, and you start over.7U.S. Department of State. Visa Denials

After “Issued”

Once the status flips to Issued, the post prints the visa foil into your passport and sends instructions for pickup or courier delivery. Options and fees vary by country.

Immigrant visa holders also receive a sealed packet with the passport. Do not open it. Hand it, still sealed, to the Customs and Border Protection officer at your port of entry.9Department of State. 9 FAM 504.10 – Immigrant Visa Issuance One exception: if the visa is annotated “IV Docs in CCD,” the case was processed electronically and no physical packet is issued. In that case you travel with just the passport and valid visa.10U.S. Embassy in Argentina. What to Expect After Your Visa Is Approved and Issued

Before you travel, check the foil for errors in your name, date of birth, passport number, and visa classification. If anything is wrong, contact the issuing post immediately. Nonimmigrant corrections are only available for visas issued within the past year; immigrant visa corrections can be made on any unused, still-valid visa.

When CEAC Won’t Load or Accept a Document

Some CEAC problems are technical and have nothing to do with the case. An “Invalid Image Detected” error during document upload usually clears if you save the file as a PDF and try again. A URL rejection error on IRS documents typically resolves if you save the document as a PDF and then save or print it to PDF a second time before uploading.11Travel.State.Gov. Troubleshooting

If a fee payment fails, take screenshots of the error and send them through the Public Inquiry Form at nvc.state.gov/inquiry. The same form is the fallback for any error the department’s troubleshooting page does not address.11Travel.State.Gov. Troubleshooting

One quirk catches people whose priority dates moved. If you filed the DS-260 while a visa number was available, the category then retrogressed, and a number is now available again, the DS-260 may not be accessible. Contact the NVC through the inquiry form to have it reset.11Travel.State.Gov. Troubleshooting

For non-technical delays, check the NVC’s published processing timeframes at travel.state.gov before contacting anyone. As of early 2026, the NVC is answering inquiry form submissions within roughly a week. If your case has passed the published timeframe, send one inquiry and wait. Duplicate submissions slow responses for everyone.12Travel.State.Gov. NVC Timeframes
