Capital One Medallion Signature Guarantee: Branches, 360, Alternatives

Capital One is legally allowed to issue a Medallion Signature Guarantee, but whether you can actually get one depends entirely on how you bank with them. The bank meets the SEC’s definition of an eligible guarantor institution under the federal signature guarantee rule.1eCFR. 17 CFR 240.17Ad-15 – Signature Guarantees It does not, however, advertise the service, and Capital One 360 customers (the online-only side of the business) have historically been unable to obtain one through the bank. If you hold a traditional account at a physical branch, the service may be available, but you need to confirm it with that specific branch before you go.

Branch Customers Versus Capital One 360

Capital One does not publish a policy page for this service, which is itself a signal about how prominently the bank treats it. Availability turns on two things: whether you have an in-person branch relationship, and whether the particular branch has an authorized officer and a stamp on hand at the right tier for your transaction.

Capital One 360 customers should plan on the answer being no. Online-only accounts lack the in-branch relationship the service depends on, and 360 customers have reported being turned away. If that is your only account with the bank, skip ahead to the alternatives below rather than spending time trying to route the request through customer service.

Branch customers have a real chance, but not a guarantee. Not every location participates, and not every participating location carries a stamp tier that covers larger transactions. Call the branch directly before making a trip.

What to Ask the Branch Before You Go

Three questions get you a usable answer in a single phone call:

  • Does this branch participate in a medallion program and have the stamp on site?
  • What account tenure or relationship requirements apply? Many institutions require you to have held an account for a minimum period, often around six months.
  • What is the surety limit on the stamp, and does it cover the dollar value of my securities?

The last question matters more than people expect. Every medallion stamp has a maximum transaction value tied to a letter prefix. Retail bank branches typically carry lower-tier stamps; brokerages that handle securities transfers as a routine business tend to carry higher-tier stamps. If your transaction exceeds the branch’s limit, the officer cannot apply the stamp legally, and a stamp applied over its limit will be rejected by the transfer agent. Give the branch the dollar figure up front. If they cannot cover it, ask whether another Capital One location in the area carries a higher tier.

Fees vary. Many banks, including Capital One, provide the service at no charge to qualifying account holders, while other institutions charge somewhere in the range of $10 to $50. Confirm the fee, if any, on the same call.

What to Bring If the Branch Says Yes

The officer applying the stamp is putting the bank’s own money behind your signature. If the signature turns out to be forged or unauthorized and the transfer agent suffers a loss, the transfer agent can demand payment from the guarantor institution under the program’s indemnity agreement.2Securities Transfer Association. STAMP Medallion Guarantee That is why the documentation review is thorough and why walking in unprepared usually means walking back out.

Bring the transfer document fully completed but unsigned. You sign in front of the authorized officer. A pre-signed document is one of the most common reasons requests get refused.

Bring proof of identity: a valid, unexpired government-issued photo ID such as a driver’s license or passport. For jointly owned securities, every owner must appear in person with their own ID.

Bring proof of ownership: the original stock or bond certificates, or a recent account statement from the transfer agent showing the account number, security name, and current market value. Statements older than six months may be rejected.

If you are signing for someone else, bring the document that proves your authority. For an estate, that means Letters Testamentary issued by the court; a will alone is not enough. For a trust, bring the trust agreement or a trustee certification form. For a corporation, bring a board resolution authorizing the transfer.

Also check that the name on your ID matches the name on the securities registration. Mismatches, blanks, or errors on the transfer form will stop the process.

A Note on Notaries

A notarized signature will not substitute for a Medallion Signature Guarantee, and the guarantee will not substitute for a notarization where one is required.3U.S. Securities and Exchange Commission. Medallion Signature Guarantees: Preventing the Unauthorized Transfer of Securities A notary confirms that you appeared and signed; the notary takes no position on your authority over the securities and assumes no financial responsibility. Transfer agents will reject a document that has one when they asked for the other.

If Capital One Cannot Help

The pool of eligible guarantor institutions is wide. Federal law includes banks, brokers, credit unions, savings associations, and clearing agencies.1eCFR. 17 CFR 240.17Ad-15 – Signature Guarantees A few routes work well.

Your Brokerage

If you hold an investment account with a firm like Fidelity, Schwab, or Vanguard, start there. Brokerages handle securities transfers constantly and are more likely to carry higher-tier stamps than a retail bank branch. Some will process the guarantee by mail or through a local office. For anyone already holding the securities through a broker, this is generally the smoothest path.

Credit Unions and Other Banks

Many credit unions participate in medallion programs, and their membership rules can be more flexible than a large bank’s customer-tenure requirements. Regional and national banks other than Capital One also offer the service. Call ahead, confirm participation, and ask about account-tenure requirements before you go.

Computershare’s Medallion Waiver

If Computershare is the transfer agent for your securities, you may be able to skip the stamp. Computershare offers a waiver for U.S. residents whose total account value is under $10,000. Instead of the medallion stamp, you submit a $50 check payable to Computershare along with a copy of your government-issued photo ID, and write the check number on the transfer request form where the stamp would normally go.4Computershare. What Is a Medallion Guarantee – Section: Computershare Medallion Waiver Program The account-value cap limits this to smaller holdings, but where it applies it removes the branch visit entirely.

If You Are Outside the United States

The SEC notes that it may be possible to obtain a medallion guarantee from an overseas branch of a U.S. or Canadian bank, broker, or credit union where you already have an account.3U.S. Securities and Exchange Commission. Medallion Signature Guarantees: Preventing the Unauthorized Transfer of Securities If that is not available, the Securities Transfer Association identifies two companies that provide medallion stamps to shareholders abroad: ShareData, based in the United Kingdom and not requiring UK residency, and Fortrend, which serves Australia and the Asia-Pacific region.5Securities Transfer Association. Medallion Guarantee When none of those work, contact the transfer agent directly; agents deal with stuck international transfers regularly and may offer a workaround.
