You cannot walk into an embassy without an appointment. Every U.S. embassy and consulate now requires scheduled appointments for routine American Citizens Services, and security protocols keep anyone without verified authorization outside the compound. The only real exception is a genuine, life-threatening emergency, and even then the right move is to call ahead, not arrive at the gate.
Why the Gate Turns People Away
U.S. diplomatic facilities operate like secured government installations. How to Book the Right Appointment
The booking channel depends on the service. For passport applications and renewals, Consular Reports of Birth Abroad, and other American Citizens Services, the State Department uses an online scheduling portal at mytravel.state.gov. Each post sets its own available time slots, and popular locations can book up weeks ahead. Notarial and document authentication services vary by post, and the State Department directs you to contact the specific embassy or consulate for scheduling instructions.5Travel.State.Gov. Foreign nationals seeking a U.S. visa use a different system altogether, at ustraveldocs.com. Whichever service you need, book early. Peak travel seasons tighten availability, and a full calendar can push you out by weeks.
What to Bring, What to Leave Behind
Showing up prepared is non-negotiable. You need your appointment confirmation, completed application forms, and every supporting document listed for your specific service. For a passport application, that typically means proof of citizenship, a valid photo ID, a recent passport photo, and proof that the applicable fee has been paid. A single missing document can cost you the trip; consular officers may issue what amounts to a temporary refusal and hold the rest of your paperwork until you return with the missing item.
Arrive at the time printed on your confirmation. Getting there too early doesn’t help, because security will not let you through before your window, and arriving late risks losing your slot. If you’re turned away for any reason, you rebook through the same online system and start the wait over.
Leave the following at your hotel or in your vehicle:
- Electronics of any kind, including phones, laptops, tablets, cameras, smartwatches, fitness trackers, and recording devices
- Backpacks, luggage, and purses larger than roughly 12 by 10 by 6 inches
- Firearms, knives, pepper spray, and similar weapons
- Food and drinks, which some facilities prohibit entirely

One boundary worth flagging for families: applying for a passport for a child under 16 requires both parents or legal guardians to appear in person with the child at the appointment.7Travel.State.Gov. Apply for a Child’s Passport Under 16 If one parent can’t attend, you’ll generally need a notarized statement of consent from the absent parent, along with a photocopy of that parent’s ID. Arriving without that documentation almost always means being sent back to reschedule.
The Genuine-Emergency Exception
A real emergency is the one scenario where posts step outside the normal appointment system. If you or another U.S. citizen faces arrest, a serious crime, a medical emergency, a death, or an urgent need for a travel document, the consulate’s American Citizens Services unit can help outside scheduled hours.
Call first. Most embassies and consulates post emergency phone numbers on their websites. If you need to travel urgently but your passport is lost, stolen, or expired, embassies can issue a limited-validity emergency passport. Once you return to the U.S., you can replace the limited-validity passport with a full-validity one at no additional charge.
